Ditto, run it whenever to get the bulk of the data copied.  Then kick everyone 
out, run it again to roll up any changes, let everyone back in.
If you want a GUI with a ton of options you can look at this app.  I use it as 
my primary file level back solution but it also works great for little projects 
like this.  It's dirt cheap for everything it can do.
