you're getting some great advice, in my opinion.  in haiti, we usually have
little idea how many will show up.  sometimes it is many more than we
expected, sometimes, less.  rsvp ing is not a common habit for many reasons
not the least of which is poor telecommunications- or none at all in many
places.

also, regarding small groups (4-10?), for years we've used the procedure,
for staff meetings and meetings with our partners, of creating the agenda
together by having people write their subject on a piece of paper, post it,
and write on it, the approximate amount of time that they would like the
group to invest on the subject.  once all the subjects are on the wall, the
group organizes them and assures that there is adequate time to address all
of them. amazingly enough, it seems to always work and because folks
involved have the experience, we never even need to invest time in opening
the space.  we just convene and people begin writing and posting subjects.
your situation is different because this is the first time that people will
be meeting together, but the idea of posting subjects, even though the group
might decide to stay together, could apply to you.
