I am giving trainings about online facilitation, normally in Zoom or QiqoChat 
but on occasions also on Teams. I have used the “channels” as breakouts – I 
assume you do too? I give a simple instruction for how to enter a breakout and 
then the first person starts a videomeeting in that breakout. Do you know if I 
can prepare so there is a videomeeting already there that people can enter. I 
thought they disappear when no one is in it? So is it the link to a 
videomeeting in a different room that you share? That would of course mean that 
the video meeting is there, so no one of the participants needs to start one. 
It can create confusion if several persons start a videomeeting in the same 
breakout (channel) then the group can be accidentally divided into two or even 
more
 😊

 

I haven’t done an OST meeting in Teams yet, but might try it soon! I do have a 
client who will do it in 2 weeks, so she’ll be interested. 

I have used OneNote in Teams (under files, next to the wiki when you are in a 
breakout. I assume it would work nice to have the agenda wall there too. Is 
Stormboard integrated into Teams when you use it? Or else I guess it must mean 
another window is open for that space.

 

I’d be happy to learn more in detail how you do it, so if you have anything to 
send me that helps my understanding I’d appreciate!

PS – on the previous discussion, since Sept 21 you can choose to let your 
participants move from their own choice between rooms in Zoom! Everyone needs 
to have an updated account.

ï»żThis also works well using Microsoft Teams. We prepare a ‘ticket’, just as 
when you register for a festival, with a link to a Teams meeting in the main 
room and a link for a meeting in every  breakout room. The main room also 
serves as butterfly space during sessions. We send the ticket to all 
participants in advance, with some simple directions for how to use them, and 
also put the ticket with all links in the chat of the main room and on a 
digital wall, e.g. Stormboard. This wall can also be used for displaying 
posters with the rules and law of two feet, for agenda setting and as News wall 
with all the reports. A wall with unlimited size. Thing is that all 
participants have to make an account to be able to work on this wall. Just 
invite them to do this before the meeting.

 

Using two screens allows for seeing the session and working on the wall. If you 
have only one screen: use ‘split windows’, and you get the same effect, only a 
bit smaller.

 

Tip: When you make an account on stormboard.com, select ‘account for 
education’. Otherwise you have to pay something like 8 dollars per month per 
participant of a board. An account for education is free (I think until June 
2021).

 

You only need 1 acount for Teams and participants can walk in and out breakout 
rooms Since using Zoom is not allowed in many organizations, this is a good 
solution. Only disadvantage is that you can see only 9 people at the same time. 
For most subsessions this will be enough though, and it is also less tiring not 
seeing 100 faces or more on a screen in the main room. Walking the circle is 
still possible, by passing the mic to every participant on the list, or by 
asking to raise hands for the mic.

In larger Zoom OST sessions where you can’t make everyone a co-host, we have 
asked people to add the room number they want to go to at the front of their 
Zoom name. We have one or two “Zoom pilots” who scan the participant list and 
make breakout room assignments once the marketplace opens. Then to move between 
rooms you just have to come back to the main room and ask one of the pilots to 
switch you. It seems to work pretty well.

Another alternative I learned (probably from the great DC Liberating Structures 
<https://bit.ly/2X6ctaG>  group) is in Zoom making everyone a Host.

 

This gives everyone the ability to move between breakouts. It is a little 
tedious because the original Host must go through the Participant list and 
one-by-one make each person a Host, but if your partner is Opening Circle, then 
you can do this in the background. When sessions are posted, folks then select 
the appropriate breakout to join (just like a Host). To use their two feet, 
they leave the breakout room, end up in the main room, then butterfly or bumble 
bee. The caveat here is to not select “Leave Meeting” because you’ll be taken 
out of Zoom have to click back in; just click “Leave Room”. I’ve only tried it 
this one time and it seemed to work well. First-time Zoom users would need some 
instructions.

In the online OST design, we use plain old Zoom accounts, one per room and 
define Lobby, Hallway, Lounge, and people use these to hang around and chat 
with others who congregate there. 

 

We also stay put in the big room after the Open to handle questions and welcome 
strays...

 

....and people come and go to/from there and often hang for a while, sometimes 
people have beverages with them.

Play4Agile Global, a collaboration of three Play4Agile OS Conferences that used 
to be held in person, is holding our first online conference Oct 3-4. While a 
number of us have organized and participated in online Open Space conferences 
we were wondering about what ideas people have or have tried to replicate the 
butterfly experience. Our organizers haven't come up with too many ideas that 
creates the same experience.

 

We tried https://theonline.town/ which is pretty cool but the technology is 
still a bit young and people were challenged getting in and connected. (It has 
loads of potential).
