Job Title: IT Officer

*Salary*: $75K + super, reviewed annually

*Location:* Torquay, VIC

*Reports to*: General Manager

*Direct Reports*: None

*Key Relationships*: Web hosting provider (BottleIT) and IT infrastructure
provider (Fixation)
Key Responsibility Areas (KRA’s)



The job description could  be distilled to a single line: ensure initially
that all IT system requirements are met.  This will be manually at first,
with an expectation of creating new or improving existing systems to allow
full automation of these processes in future, such that the Event
Administrator(s) have no dependence on IT.  There are however, numerous area
which currently require IT assistance and some which will always require IT
support.  A complete job description is listed below:
Event Specific Responsibilities

·         Maintain event photography data (photographers & photo locations)

·         Maintain Event details (generic event meta data, leg types and
lengths)

·         Generate pre-event reporting package (competitor listing,
registration listing, MC sheets, medical reports)

·         Create media/press area (creation of new media category per event
and uploading selected)

·         Collect results data from timing vendor, apply manual fixes,
convert to standard format if required, upload and publish to web

·         Bulk upload of “on the day” entries to entry system where
applicable

·         Allocate race numbers

·         Respond to ad-hoc data related queries as requested by other
company officers

·         Send post event surveys as required and collate responses for
consolidated reporting

·         Co-ordinate and assist in on the day photographer cataloguing and
uploading requirements
Marketing

·         Collate newsletter stories as directed and convert to standard
newsletter format.  Prepare, test and send to recipient database

·         Ad-hoc recipient list generation.
Photographic Ordering Information

·         Ensure all photos are cataloged and uploaded to Company website
and backed up to local servers

·         Arrange periodic photographers payments via data extract and send
to financial officer

·         Create weekly photo batches via data query to produce image
printing files
Maintenance of existing websites and database

·         Liaise with Bottle IT in regards to web backups and any issues

·         Maintain company merchandise system and add new items or
information until an administrative function can be built

·         Update sponsors data (logos, links and images) until an
administrative function can be built

·         Arrange menu options and site hierarchy for all event websites

·         Maintain entry system for all company events including ensuring
payment gateway continue to function

·         Ensure continued performance of database and websites

·         Ad-hoc report generation as requested by directors or financial
officer
Creation of new websites and new features

·         Liaise with graphic designer to create new websites as required.
Test and implement.

·         Identify areas where IT solutions could automate or improve
existing processes.  Build, test and implement.

·         Build and implement ad-hoc functionality requests as requested by
directors.
Office Infrastructure

·         Maintain office server and internet connection

·         Maintain backup of all office data
    Key Performance Indicators (KPI’s)



The following indicators will give company management and indication of
whether the job has been performed in a satisfactory manner:



·         All websites continue to operate as intended with bugs being
identified and fixed in a timely manner

·         Requests for data based information are met

·         New requirements are built and implemented with minimal or no
intervention

·         New websites are built in line with designer’s suggestions

·         Areas for operational efficiency via IT are identified and acted
upon

·         Entry, photography and results sub-systems continue to operate as
intended
