Nigel, it sounds like you like taking on extra work, or your situation makes
this so.

I would look into forming strict guidelines for digital submission, stating
the min file size in pixels, tagged ICC colour space requirements,  embedded
IPTC and other metadata etc.

If the incoming work does not fit the mould, it is rejected.

This business model may not work for all, but it is nice if you can dictate
it. <g>

There are many photographers on this list who have love/hate [mostly hate]
relationships with stock agencies - I'm sure they can chime in with some
pros and cons.

If you must do this yourself, then there are a number of IPTC and other
metadata methods available out there, quite often in browser/catalogue/image
database software.
