Location ======== The event will take place at: Fasangasse Seminarzentrum ibsc Seminar Center Fasangasse 25 1030 Vienna Austria https://www.ibsc.at/ibsc-seminarzentrum/allgemeine-informationen/ Other attendees =============== If you believe somebody should attend, please feel free to forward this mail to them and/or let them know they should contact us at: [email protected] Sponsors wanted =============== If you think you or your company/organization can help out, please reach out to us at <[email protected]> and/or pass on our sponsor plans for entities donating €1000: https://reproducible-builds.org/images/vienna2025/sponsor_invitation.pdf If you are attending on behalf of your company, a corporate registration to the summit is available, starting at €750, more details are included in the file linked above. Please contact us if you are interested in this option. Likewise, if you or your company can pay for your own meals, please do let us know as well. Participation costs and financial support ========================================= Attendance to the summit itself is free of charge! We hope we'll be able to confirm more sponsors to support the event, who will offset the shared expenses for everybody (meeting rooms, meals, stationary, etc.) In an effort to maximize inclusion and expand the diversity of the community, we are offering additional travel support on a case-by-case basis. See the event page linked earlier in this email for more information, and tell us if you need such support. Accommodation & Meals ===================== This year we won't oranize accommodation for the attendees, so you are encouraged to look for yourself at solutions nearby. Similar to previous years, however, we will still provide attendees with lunches and dinners during the days of the event. Registration deadlines ====================== Deadline for the registration is: 20th September 2025 After that date we will start to finalize things, so we may or may not be able to accommodate you. Note that we have a limited number of space for attendees, and acceptance will be on a first-come-first-served basis. If you plan to attend, you *MUST* reply to this email (ie. to [email protected]) with: "I want to attend!" For our planning purposes, please also include whether you are interested in attending the "extended hacking time" too; and, if so, until when you plan on staying. Please also provide us with any *special* dietary requirements. Do note that, if you simply want to eat (no) meat and/or are strictly vegan, there will be such options without letting us know. (If you'd rather not share this information with the whole planning team, please mail [email protected] directly). If you do not plan to attend, a short "no thank you" response would also be highly appreciated, so we know that you are still interested in our project. Equally, please do tell us if we should cease with these invitations in the future. Meeting goals and likely topics =============================== First and foremost, we want to meet each other and see how we are doing a year after our last meetup! :) After that, the exact content of the meeting is going to be shaped by the participants: see the event page on the website for some examples. The meeting will have a different shape depending on how many people will register for attendance. We plan to ask Gunner from Aspiration for help running the meeting just as we have done in the past. We will collect your input in subsequent emails to make the best of everyone's time. Please note that we are very likely to spend large parts of the meeting away from laptops and closer to Post-It notes. If you have attended previous summits, you should know how this works! ;) Contact ======= If you need to get in touch with the organizing team, you can write to: [email protected] In case you need to talk about private issues that you'd rather not send to a (private) mailing list, you can mail me (Mattia) privately.
