*Job Description and essential tasks:*

•             Schedule and coordinate meetings, workshops, and other
project events, distribute agendas, and document meeting minutes

•             Provide project management support on the implementation of
Serialization & ePedigree program and manage the tracking of detailed tasks
in MS Project, Excel, and MS PowerPoint

•             Follow the Gilead project management process and ensure that
required project deliverables are provided (project plan, project schedule,
specifications, etc)

•             Provide support to the Program Management team by assisting
with developing program communications and following up on program
activities

•             Manage program documentation and administer the program’s
SharePoint site (Gilead’s central repository for all program documentation)

•             Provide support to manage project budget financials within
approved funding and to input status and financial updates into the
relevant systems such as PPM Clarity (Gilead’s Project Portfolio Management
Tool)

•             Prepare weekly status reports that include project issues,
risks, milestones, decisions and status. Manage issues, risks and
escalations as needed.

•             Provide day-to-day oversight on the systems implementer tasks
and actions.

•             Coordinate on-boarding of all program resources (AWRs,
badges, a place to sit, obtaining PCs, etc.)

•             Initiate purchase requisitions on behalf of the program (most
likely as a delegate)

•             Coordinate program team travel



*Desired qualifications:*

•             Prior experience in providing administrative support to
technology projects.

•             Possesses a basic understanding and experience of project
management related methodologies, tools and techniques.

•             Good verbal, written, and interpersonal skills are required.

•             Requires basic knowledge and understanding of administrative
policies and procedures.

•             Requires strong skills in Word, Excel, Outlook and PowerPoint
and basic skills in MS Project.

•             Experience with Sharepoint and/or Clarity PPM desired, but
not required.
