My advice to you:

1. Do read the GnuCash concepts and tutorial guide, especially Chapter
12 /Multiple Currencies/

do not use them, because I have not tried.

But I have not yet found the place where I can enter my second currency
KHR - I only see the many things I will be able to do AFTER I will have
entered it.

Can you please help me trough this step?

3. I second Paul Kroitor's excellent advice that you make a "test book"
for practice and experiments. Accept a default chart of accounts. Make a
few accounts in KHR currency. Enter a few test transactions. See how
things work.  Then set up your real book.


Of course I will do this.


4. I use the one currency structure for my asset accounts, and a
different currency structure for my expense accounts. See if either of
these makes sense for you.

Thanks – moving on; I followed this:

1) Just create a new file:
 File -> New File (I called it spf2)

2) Save to a folder in your personal workspace. Just like you'd do with
your personal word processing files. - (I did it into gnucash on Documents)


Now I get the list of

Asets
Equity
Expenses
Income
Liabilities

and their sub-accounts which I created.

Question 1) I still think I should get a GnuCash Common Entry or
something, when I click on the GnuCach icon on the desktop. Wrong?

Question 2) Before I make entries into the accounts, I would like to
select a second currency (the Cambodian Riel) which I am using almost
daily, together with the US$ which is the main currency already set
during installation. I did some reading of the GnuCash documents, but I
did not find out how to start to do it. Any help with more detailed
recommendations please.
Some time ago, I saw on the list here a clear graphic example: the
Groceries heading, with two subheadings with two different currencies –
but my download was lost with my recent hard-disk crash.

Thanks - that helped me to do the next step:

   Just create a new file:

   File -> New File

I followed the recommendations, at the end I gave a name, and should
download everything to C:\Program Files
(x86)\gnuucash\bin]\spf-total.gnucash

BUT I got: ...may be on a read-only file system ... you may not have
write permission... or your anti-virus software is preventing this action.

Why? So what next?

I see the whole range of directories have been created:

*Assets*

*Expenses*

*Income*

*Liabilities*

but I cannot save what I created.

I beg to be aware that I do not have any people around (in the Cambodian
countryside, where I live) whom I could ask here...

But I still have a previous unsolved question: Why did I have to take
action (thanks for the advice!), initiating the creation of New Files -
is this not part of the setup? Any problem on my side?

Similar to what I wrote yesterday (but no reaction yet) - I had a new
disk - no data files on a separate partition - but as my screen-print
showed, after installation there was no program visible on the screen,
but only the small note: "Unsaved Book - GnuCash"

Any idea what went wrong? Thanks for any help.

[GNC] A new start - somewhat strange

Self introduction: I am Norbert Klein, a 88 year old German, living
since 32 years in Cambodia.

Some years ago, I had been using GnuCash on a computer running under Ubuntu.

Some months ago, I wanted to set up GnuCash again, this time on a
computer using Windows  -  but before I could move ahead, I had a
hard-disk failure and had to get a news hard-disk.

Now I wanted to start again, Windows 10, GnuCash 4.11-1 setup
downloaded, I accepted all suggestions during setup; at the end I saw
the GnuCash icon on the desktop. I clicked on it, expecting some kind of
initial GnuCash program – but I got only this:

“Unsaved Book – GnuCash”




















Before I might make some mistakes, I rather ask. Any suggestions? Please…

[GNC] GnuCash installation problems

After installation (in Windows 10), I get when I click the GnuCash icon
on the desktop, in “Program Files (x86)” the following.  But it says
“Unsaved Book” – and the screen shows:

bin
doc
etc
lib
share
uninstall

I tried to find a “trigger” file to start GnuCash runnig – but I could not.

Maybe there is an installation error on my computer? Any helpful
suggestion please.

thanks for the detailed advice - I am working through it.

But I get aware that my problems start sometime one more level down,
when I read: "When you create a new account, you have the option to
define the commodity in which that account is denominated."

Yes, I try to create a sample database, but "when I create a new
account" - I have not yet been able to define the commodity (in which
that account is denominated).

I hope to get it soon (others tell me at my ago of 88 I should just not
try new things. I do not agree.

segment of the path when I type just the first few characters. If I
type "Ex:P:Gro:C" then GnuCash expands those initial characters to
"Expenses:Personal Expenses:Groceries:CAD Groceries".

5. Don't feel like you have to get the account tree right the first
time. You can change the structure and the account names later, and
the transactions will move with the changes.

Or more accurately: when you create an Account, GnuCash gives it a
unique identifier behind the scenes. The transactions are linked to
these unique identifiers, not to the Account's name or parent
accounts. When you change the Account's name, or move it to a
different parent Account, the identifier remains unchanged. Thus the
transactions are still attached to the account, despite its new name
and parent.

I think they will result in what I need - I will try to implement it and 
will let you (and gnucash-user@gnucash.org) know after some days.


There will be - as far as I can see now - only one additional procedure 
necessary (and a short additional time) for every shop action: to do the 
transaction from Riel to US$. But that is OK if all the other results 
will be what we need.

transaction from your US$ cash box account to your income account. As the
currencies match there's no conversion rate to apply.

The same goes if you pay for expenses or goods to a supplier. If you pay in
Riel you create a transaction from the Riel cash box account to the
appropriate expense account (which is always in US$). If you pay in US$ the
money goes out of your US$ cash box account into the (same) US$ expense
account.

That will give you all the information you request:
Do you want to know what's in your cash boxes ? Check the appropriate cash box
account or generate a report over it.
Do you want to know how you did as a business ? Generate a report over your
income/expense accounts which are in US$.

Unless you have other requirements you didn't mention I don't think you need
the parent/multi-currency-subaccount structure in your income and expense
accounts as you have currently set up. And it will probably simplify your
accounting if you could do without.

same purchase I enter the amount either into the sub-account "Vegetables
$" or "Vegetables R" - both under ONE Placeholder account "Vegetables"
(set for US$)


Or put differently - do you want to track your income in the two
currencies or just in one (hence the placeholder account) ?

For the actual conducting of purchases, I am tracking the US$ purchases
and the Riel purchases separately - but I put both under ONE placeholder
because I am not only interested in individual purchases, but also in
the overall income (or loss) situation. I had assumed to have a common
placeholder would serve this purpose. Maybe this was wrong.

amounts. But again, there is no general definition what is "larger" - it 
is easier to handle bigger "values" in US$, where 1 US$ corresponds to 
roughly 4000 Riels.


We may ask in our shop - as an example - for a price of US$ 4.00, but 
the person may hand over 16,000 Riel. Or the other way round. I do not 
know if there are many countries with such a situation. But here it is 
totally flexible - every person, for every purchase, may choose one way, 
and the next minute for another purchase the other way.


So the answer is: BOTH - we pay in two currencies, but we also have to 
account in two currencies.


So in the shop we have a Riel cash box, and a US$ cash box, and while we 
enter for each purchase an amount - and I have to enter the amount 
either into the "Cash in wallet $" or into the "Cash in wallet Riel" - 
because we have all the time changes in both cash boxes. And for the 
same purchase I enter the amount either into the sub-account "Vegetables 
$" or "Vegetables R" - both under ONE Placeholder account "Vegetables" 
(set for US$)

Or put differently - do you want to track your income in the two currencies or
just in one (hence the placeholder account) ?
For the actual conducting of purchases, I am tracking the US$ purchases 
and the Riel purchases separately - but I put both under ONE placeholder 
because I am not only interested in individual purchases, but also in 
the overall income (or loss) situation. I had assumed to have a common 
placeholder would serve this purpose. Maybe this was wrong.

But you do want to be able to
accept/make payments in the two currencies ?
Yes - it depends on the buyer - depending of which of the two currencies 
he of she has in their purse.

If you only want to accept/make payments in two currencies but just track it
in one, the account structure would be slightly different.
"track it only in one" - for the actual operation of the shop this is 
not possible. I have to know - at the end of the  day - how many US$, 
and how many Riel, should be in the cash boxes.

If you want to track your income in multiple currencies as you have set up,
you'll need to make sure you have entries in your price database for
conversion rates between USD and Cambodia Riel.
In my former mail, I had said: "(In Tools, Price Editor, I have set 
Khmer Riels as the second currency in addition to US$.)" - saying that 1 
US$ corresponds to 4000 Riel, with hardly any fluctuation. Any more to do?


But while I have to keep track of the actual cash in the cash boxes, at 
certain times (daily, weekly, monthly etc.) I also need to know "how we 
did as a business" and this should say something in US$ (for all the 
activities which did happen in both currencies).

Or more generally between your
book's currency and the foreign currencies you trade in.
Well, I do not feel that "we trade in a foreign currency" - both 
currencies co-exist here in everybody's wallet. Te bill from the 
electricity company comes in Riel, the bill from the ISP comes in US$ - etc.


So what else can you please suggest to me to do?

reflected in the Placeholder account above the VEGR; I had assumed that 
this should be possible with Placeholder accounts which are “intended to 
be used for hierarchical organization of accounts” - but maybe not when 
different currencies are involved?


2) please give me advice if all this is wrong – how could I handle our 
situation? Every purchase and sale has to be recorded in one of the two 
currencies.


My hope was to get the overall results in US dollars in this way – and 
the goal remains the same: at the end of he day/week/month, I want to 
know how we did manage – all calculated in US$.

[GNC] Two currencies handling

Dear GnuCash Users,

I am fairly new here – no coding, just learning to use GnuCash 2.9.16 on 
Windows 10.


I live and work in Cambodia, on a farm, where I do some administration 
assistance.


In Cambodia, booth the Cambodian Riel (=KHR) and the US$ are legal, and 
both are being used everywhere and daily. So for many bookings (in and 
out) I have set up the possibility to enter either of the two 
currencies. The basic currency for the whole system is set to US$, with 
a standard exchange rate of US$1.00 to Khmer Riel = KHR4000.00


For Example (as we buy and sell vegetables):

I set an INCOME account “Vegetables” as a “Placeholder” marked for US$.

I set up two Sub-accounts under it, one in US$ and the other in KHR (and 
in both are Expense and Rebate [why is this called “rebate” and not 
“income”???] columns).


As it happens, there are vegetables SOLD in US$, and there are 
vegetables sold in US$, and I make the entries in the respective 
sub-accounts.


And there are vegetables BOUGHT in KHR, and there are vegetables bought 
also in KHR, and I make the entries in the respective sub-accounts.


Of course every sale or purchase in Vegetables is also shown (“double 
booking” system) in the “US$ Cash in Wallet” or the “KHR Cash in Wallet” 
accounts.


Now I thought GnuCash will add up the sub-accounts – one in US$ and the 
other, changing the KHR also into US$, and show the sum in the 
Placeholder above of the two.


But actually, the placeholder shows only the US$21.00 which were booked 
in the US$-Sub-Account, while the KHR2114400 are still only visible in 
the KHR-Sub-Account, where they were entered.


I can also change cash US$ to cash KHR, or the other way round, with 
ACTIONS and TRANSFER – no problems.


Where/when/how are the Expenses/Incomes in KHR re-calculated and their 
exchanged values will be combined with the original US$ entries?


Please help me, I want to learn.

Let me start by saying that you should have started a new thread for your
question and not hijacked the existing thread
I am sorry - but when I started my mail with "One account for both 
Income and Expenses possible?" I was not aware that that this was an 
existing thread.


How can I check - when I start to write something again - that what I 
want to use is NOT YET an existing thread?

One account for both Income and Expenses possible?

I am a complete newcomer to GNUcash, using version 2.6.19 on Windows 10.

My name is Norbert, living in the countryside in Cambodia.

This is my first posting.

Apologies for my very simple question. I would appreciate to get help.

I live on a farm – we produce, sell, and buy vegetables, fruits, and 
handicrafts.


When I set up a GNUcash system it created an Expense and an Income 
section, and under them I created specific accounts and sub-accounts.


When I now enter something like “Selling vegetables” I can enter the 
price under “Charge/Income” into Income. - When I enter something like 
“Buying vegetables” I can enter the income under “Expense/Rebate” into 
Expenses (and as a double-entry to Cash, increasing or decreasing).


The same for fruits, and for handicrafts.

But could I instead set up an account “Vegetables” where I can enter 
both BOUGHT Vegetables and SOLD Vegetables? (same for fruits and 
handicrafts)


When I tried to create such an account, I can select only ONE Account 
Type: Expense or Income.


Please kindly advise.
