Making plans for Hamburg's Mini-DebConf in May

Hi!

A week ago, h01ger announced there would be a Mini-DebConf in Hamburg,
Germany, from May 16th to May 20th. [1]

From our latest meeting, both Tobi and Olasd were planning to go.

Is anyone else from the videoteam planning to be there? I think I can
make it, but I would need to ask for a travel sponsorship.

We should start thinking about the gear we need to bring and what needs
to be rented.

AFAIU, there will only be one talk room, so we could bring the exact
same hardware we did at Cambridge [2].

That means the only thing we would need the orga team to provide would be:

* a PA system
* microphone stands
* ambient microphones (x2 preferably)

Thoughts and ideas on this?

In our recent tests, a 2015 i5 was not sufficient to run voctomix

If you buy capture cards, please try to get the same cards we have. Ours
are Blackmagic Decklink Mini Recorder and cost around 150USD/card.

It might also be a good idea to think about getting tally lights [1]. We
bought serial PCI-e cards for our mixing computers and pair those with
serial to ethernet adapters and a serial led at the end.

In theory, the 'Hardware' section of our documentation [2] lists
everything you need.

Autumn sprint -- any ideas?

Hello folks!

DebConf18 is now somewhat over and most of us are back at home now. Time
to plan ahead!

We normally held our Autumn sprint during the Cambridge mini-conf, but
it seems there won't be one this year (blame renovations at ARM).

Are you still interested in having a sprint somewhere? I'm not 100%
certain I can make it if it happens in $COUNTRY, but I'd be happy to
participate remotely if something happens.

I do have some free time this winter though, so if people are interested
we can try to have a winter sprint in Montreal.

Hamburg Mini-DC: microphones for the videoteam

Hey Holger!

The videoteam decided that we would not be able to buy a new audio kit
in time for the Hamburg Mini-DC.

As you already know, our microphones are slowly dying and we are not
sure they'll be reliable enough to use them in a satisfactory way during
the conference.

We would thus need to borrow/rent a microphone kit. Maybe the CCC VOC
could lend us one?

We need:

* 2 x wireless handheld microphones
* 2 x wireless headset microphones (lapels can work, be we prefer headsets)
* the wireless receiver to go with the mics

We have cables and a mixing desk, so we won't need those.

DebConf Video team sprint @ FOSDEM 2019

We had a misunderstanding with folks from the linuxbe.com training
center and we had to change our sprint dates.

We'll thus be sprinting from Monday January 28th to Friday February
1st, still at the Linux BE training center in Diegem.

We are asking for a total budget of €2,250, mainly for travel

Mini-DebConf Marseille -- videoteam sprint

Hey Gregory!

Turns out a few people of the videoteam will make it to the Marseille
Mini-conf. At the moment 4 people confirmed, but another person is also
thinking about coming.

If possible, we'd like a space where we can sprint before the event. It
doesn't have to be very big as we won't be unpacking the cameras there,
but somewhere not too far from the mini-conf venue with an internet
access would be nice.

Do you think you could hook us up with something? I'm arriving on the
21st, so if we could start on the 22nd or the 23rd it would be great.

Are you going to DebConf19?

Hello!

In preparation for DebConf19, it would be nice to know who from the
videoteam is planning to go this year.

If you are part of the videoteam and need travel sponsorship to come,
please ping me on IRC and give me a rough guesstimate of how much you
need. I'll ask the DPL to modify the videoteam budget accordingly.

*You have until April 1st (not a joke) to do so, so make up your mind!*

As for me, I've decided I would stay home this year and enjoy the short
Montreal summer :p

The Marseille mini-DebConf [1] (May 25-26 2019) is coming in fast and we
are looking for people from the Videoteam who could go and help with
setup and various video tasks!

At the moment, the only one who's sure to go is Nicolas. It would be
very nice if he wasn't alone :D

I told Nicolas if he's the only one from the videoteam to go, I would
consider going too. I'd much prefer staying home though :p

Bleh, I forgot to remind y'all about the meeting and I myself ended up
forgetting.

I've trying hard to adopt some new habits recently and it's taking a
bunch of my spoons.

DebConf19 local team. With my videoteam hat on, I'm also glad we'll have

I don't really see why this is a problem at all. Even if the money goes
through SPI, it's not as if SPI was directly buying the projector for UTFPR.

SPI can buy it for the Debian project, and then the Debian project can
do whatever it wants with it.

As Hector puts it, we can 'forget' the projector there and never claim
it back if that really causes a legal problem.

Semi-automated sync to vittoria -- SSH key management

Hi!

I'm following up on issue #13 in our ansible bug tracker [1] about
setting up a semi-automated sync to vittoria.

During confs and mini-confs, we need to be able to sync files from the
voctomix (live video mixer) machines in the rooms to Vittoria.

Currently, the way we do it is that a member of the videoteam group adds
temporary SSH keys to their Debian account for that machine.

What we would like to do is to be able to add restricted SSH keys,
allowed to access the sreview user, in the form of:

/srv/sreview.debian.org/input",no-agent-forwarding,no-port-forwarding,no-pty,no-user-rc,no-X11-forwarding

The actual sync is done via a CLI script (which is a basic rsync
wrapper) that can be found here [2]. The rrsync script is directly
gunzipped from rsync's documentation.

It seems that 1 year ago when Wouter approached DSA on IRC, you seemed
open to the ideas as long as the authorized keys changes were done
through a command line interface rather than through a webinterface.

Modifying the authorized_keys file would be done manually by a member of
the team at the beginning of each conference.

The current /etc/ssh/sshd_config file uses:

AuthorizedKeysFile /etc/ssh/userkeys/%u /var/lib/misc/userkeys/%u
/etc/ssh/userkeys/%u.more

This means /home/sreview/.ssh/authorized_keys isn't read by openssh-server.

If DSA agrees to what were proposing, this file would need to be read by
the openssh-server to let us sync files via rrsync.

That'd be awesome!

You could also add a KGB webhook to the subs repository to send messages
to the #debconf-video channel. It would really help us see the work you
do and keep up with the subs team!

Setting sReview for the Marseille and the Hamburg mini-confs

We haven't heard from you in a while! I hope you're settling well in
South Africa and are enjoying the weather there :D

I'm writing to you to talk about the coming Marseille and Hamburg
mini-confs. I was wondering if you could setup sReview for us so that we
can publish the videos quickly.

The Marseille mini-conf will take place on May 25-26th. You can find the
current schedule here [1].

The Hamburg mini-conf will take place on June 8-9th. The schedule hasn't
been published yet, but should be in the coming weeks.

Happy to talk about this over mail, but if you have time to drop in, our
next IRC meeting will be Tuesday May 7th from 18:00 to 19:00 UTC.

That sounds perfectly OK to me. Setup shouldn't take much more than a
few hours if everything goes well.

That would be very nice. If we can scout the location beforehand it will
help us identify possible roadblocks like:

* network access issues
* camera location
* projector compatibility

We wouldn't need much more than an hour to verify those things.

"Retiring" from DebConf

Hey folks,

I had been waiting for DebConf19's end to send this email. For lack of
a better word, I'm "retiring" from all my DebConf involvement.

I can't picture myself participating in a conference taking place in
Israel, much less helping organise one there. Against the continued
disregard for the rights of the Palestinian people, I feel the only
power I have as an individual living in North America is to heed
the call of the BDS movement [1].

I hadn't been doing a lot of orga stuff lately anyway and I did little
work on the DebConf Sponsors team this year. I'm mainly stepping down
from my coordination tasks in the DebConf Videoteam. Someone else
will have to organise meetings and events, craft agendas and keep track
of the team's deadlines from now on :)

As a result, I've quit a bunch of DebConf mailing lists, RT tracker
queues, Salsa groups and IRC channels. I've also asked DSA to remove me
from *@debconf.org* aliases. I'll still lurk in the DebConf Videoteam
IRC channel and on the mailing list, but it saddens me to say I will
not be doing any concrete work for the videoteam this year, or at least
nothing related to DC20.

I want to thank all the people that have helped organise DebConfs
in the past few years, and in particular the incredible folks part of
the videoteam. Thanks for the amazing ride this has been. I've learned
and grew a lot as a person since Heidelberg and DC15. More importantly,
I've had a lot of fun.

I sincerely hope one day we'll all get to see peace in Palestine and
Israel.

The DebConf Video Team Needs YOU

DebConf relies on volunteers to record and stream videos. Each and every
talk given at DebConf this year needs two video volunteers, namely:

* a Talkmeister (to introduce the talks and manage Q)
* a Director (Video Mixer)

These tasks are documented in detail in the Video Team's online
documentation [1].

We need your help to do this work. We'll teach you how to do all of
these tasks, but rest assured, it's far simpler than compiling QT6.

Three training sessions will be held on Saturday August 22nd on Jitsi
[2], at 11:30-12:30 UTC, 16:00-17:00 UTC and 23:00-00:00 UTC. Please
register on the wiki if you plan to attend a training session [3].

You can volunteer for a talk on the DebConf20 website [4]. If you can,
please register for talks in advance to help us plan accordingly.

Helping the Video Team can be a great way to contribute to the
conference and listen to talks at the same time.

I'm mostly concerned about this. Having a bare-metal machine lets us do
a lot of things, but also adds complexity to our system. Running an
hypervisor means more maintenance to keep things secure and I think we
could do without that.

If possible, I would prefer if we had VPSes.

We also currently ingest XLR audio via one of our camera, to try to
minimize sync problems. I could see problems with not being able to do
this anymore.

Questions from the videoteam for DC21

Hello Team people!

The Videoteam has had its first meeting in a while and we've started
planning for DC21. From now on, we'll have bi-weekly meetings on
Thursdays, the next meeting being on 2021-04-29 @ 18:00 UTC.

To help us plan ahead, we have two questions we'd like you to answer:

1. How many concurrent tracks should we plan for?

DC20 had a single official track and an ad-hoc one. That seemed to work
well, but you might have more ambitious plans for DC21.

2. When is DC21 going to be?

Terceiro's last email said "during the 3rd quarter of 2021", but that's
not very precise...

Having something clearer would help us build our work calendar and let
us manage our expectations. For example, some projects might not be
feasible for a conf in early July, and others might be for one in late Sept.

I understand you might not have an answer to these questions at the
moment. If not, giving us an estimate of when you will would be appreciated.

Thursdays at 16:00 UTC would work for me most of the time yes.

I was OK with the 17th for the next meeting, the problem was the
meetings after that one.

Are the DebConf Team meetings weekly? Otherwise, we could keep the
Monday @18:00 slot and alternate with them bi-weekly until further notice.

Call for travel and accommodation budget requests for core videoteam members for DebConf22

We've started preparing for the upcoming DebConf22, which will take
place in Prizren, Kosovo, from Sunday 17th to Sunday 24th July 2022.
DebCamp will be held between July 10th and 16th 2022. [1]

As per previous in-person DebConfs (it's been a while!), we will need to
give the bursaries team a clear overview of our budget requirements for
travel and accommodation for our *core team members*.

If you are planning to go to DC22, consider yourself a core videoteam
member (with great powers comes great responsibilities...) and require
either travel or accommodation sponsorship, please add your name to the

AFAIU, what you are describing is different than what was asked by
Kentaro / Gunnar.

I don't think documenting things that happen during DebCamp for remote
attendees is something the DebConf videoteam can do, as we're typically
swamped with getting our setup ready in time for DebConf (when we're not
participating in other sprints ourselves...)

DebConf videoteam travel and accommodation sponsorship requirements

Dear DebConf bursaries team,

In preparation for DC22, the DebConf videoteam has made and approved a
list of the accommodation and travel sponsorship needs of its core members:

1. Louis-Philippe Véronneau (pollo): Travel from Montréal to Kosovo:
~1400 EUR + on-site accommodation.

2. Kyle Robbertze (paddatrapper): Travel from Cape Town to Kosovo: ~1000
EUR + on-site accommodation.

3. Stefano Rivera (tumbleweed): Travel from ? to Kosovo (probably via
San Francisco to collect opsis in storage = an extra 1000 EUR): 1000 EUR
+ on-site accommodation.

4. Daniel Lenharo de Souza (lenharo): Travel from Curitiba (CWB) to
Kosovo: ~1550 EUR + on-site accommodation.

We deem these people essential to make video recording and streaming at
DC22 happen. As such, we kindly ask you approve their travel and
accommodation requests.

Now that DebConf23 is over, it would be a good idea to find a new 
regular meeting slot.

Call for videoteam volunteers for Debian Reunion Hamburg, May 23-30 2022

Hello video folks!

We've been asked if it would be possible to record and stream the
upcoming Debian Reunion Hamburg, which will take place from May 23rd to
May 30th 2022 in Hamburg, Germany. More details about this event can be
found here [1].

This is a call for volunteers! We will need people to help with the
cameras, the audio mixing and the video mixing, but help setting up the
gear before-hand would also be appreciated.

Many people from the videoteam core said they wouldn't be able to
attend, but tumbleweed has volunteered to be team lead for this event.

DebConf Videoteam sprint, November 10-13th -- Cape Town & Remote

In today's meeting, we decided we would have a hybrid in-person / remote 
sprint from Thursday November 10th to Friday November 13th.


We're doing this hybrid thing since a lot of the videoteam members 
happen to be in Cape Town at that time :)

We've started preparing for the upcoming DebConf23, which will take
place in Kochi, India, from Sunday September 10th to 17th 2023. DebCamp 
will be held from Sunday September 3rd to 9th 2023. [1]

(with great powers comes great responsibilities...), please reach out!


Our next meeting will be held on April 24th (see the other email I just 
sent to the videoteam mailing list). If you plan to go to DC23 and be

Videoteam sprint in July 2023

We have been talking about a possible sprint in July for some weeks now, 
but it seems things are taking form.


We've been offered a space in Paris (April's offices [1]) and I've 
created a poll to try to find the best suitable dates for the event:

I won't be at DebConf this year, but on my side, I feel like we've tried 
remote presentations and they don't work.


We can manage the technical side (although it's a hassle...), but they 
just aren't interesting. People don't go to DebConf to sit in a room and 
watch someone on a screen.


The result is very low audience participation compared to other talks 
and an overall feeling of disengagement that isn't great for anyone.


I would thus urge the content team not to accept remote presentations, 
if not for the very exceptional occasion.

I would also highly recommend you reach out on #debconf-team (or on 
their ML) to get them to spin you up a "MiniDebConf in a box" instance.


It makes our work much more pleasant and generally provides attendees a 
better UX than just a wiki page :)

The DebConf videoteam met last Friday and we agreed on the following budget 
request for travel, food and accommodation for the core videoteam.
