We created a homebrew regs database for Agilent products and because it was completely custom, required months of effort just to get the first working version - and then years of maintenance to get it working optimally. I'd stick with something off the shelf, as you've specified, and perhaps cloud-based. Here's a list of some popular packages: http://database.software.informer.com/software/. I've not found anything specifically designed for product regulations. Did this, and more. Offered to open-source on this forum if someone would be admin. No takers. Codebase now belongs to employer. Synopsis of what was done and tools used. 0. Python and SQLite 1. Webcrawler using Spyder 2. RSS feed using Google Reader API and pyrfeed 3. Data parser using BeautifulSoup 4. Data output as CSV, which the engineers use excel to view 5. 'sanitized' product data output via static HTML pages for the rest of company Due to JIG/RoHS/REACH/DoE/ErP/NRCan and others pulling me too many directions, then the updates required for 3d ed 60601 and 2d ed 60950, I played with the various data models intermittently for several years starting in late 2007, than a formal project authorized and started 1Q2011. Components tested by engineering staff during 2Q2011, sales people during 3Q2011, then released to all other employees 4Q2011. Bulk of work was done by me in 3 weekends. Testing and integration by staff about 8 weeks. Note that I said 'components'. Write small independent code units that stand alone and do a single data task well. Of course this assumes that you already have a hi-quality body of company product data available with a well-defined schema. If you do not want to do a big code project - use existing tools such as excel or access if you are windoze shop. KISS principle and control data like you would control the BoM for one of your products. Jim, There is not a real correct or best answer to your questions. There are many options and no matter what direction you go there are pros and cons. First I would look at the resources your company may already have. Also look at the skills and talent the people who work with you have and glean from that. Any over the counter database program you use will require resources for someone to learn it, set it up, and teach others to use. They can range widely in cost and in most cases require a license or site license for each user. Our company has several Microsoft Servers running on our network. Several departments have their own Intra-net pages where such information, documents, etc. are kept and shared. The network gods control who has access to what. The system works pretty well and is simple. We have a couple engineers in our department, including myself, who know how to program in ASP (very similar to Visual Basic). ASP and SQL databases are key features built into Microsoft Server software. So we have developed Intranet Webpages that display and edit several department specific databases. With this we keep track of our Compliance status of all our produces, our production audit schedule, calibration schedules, EMC Lab test schedule, a critical component parts database, etc.. We also have intranet pages with helpful information we share with our RD group and others throughout the company. Since we maintain this our self we can update it or make changes whenever we want. It has worked out well for us. In addition to the server software, you only need a text/html editor (which most everyone has), and an internet browser. No additional licenses required to view and edit the databases once it is setup. Hope this was helpful. Jim: And for the 90% of us who are not using those insanely incredible machines, but who also remember how to code, I can’t see why Excel wouldn’t handle all the sorting and flagging you would ever need. As for storing the documents, just establish a protocol for naming them, enter them as a field in your Excel sheet, and make them clickable links. You do your sorting and flagging and checking, and just click on any entry you want to go to. No servers, no clouds, and you already own a copy (Mac people must have something equivalent, I hope). I agree with Ed Price - use a spreadsheet with well-documented formatting unless you have a really good reason not to - from a person that has wasted 2 days automating a 15 min process that is done twice per year. OpenOffice and LibreOffice are available for Mac, Win, and Linux. The 'Calc' and 'Base' apps are spreadsheet and database, respectively. Neither are fully compatible with the MS Office products, but various version of Office have some compatibility problems. James,there were a lot of good suggestions on how to utilize what you have (Product Documentation Management SW, like Agile) or any other hands-on resource. I have actually came across a company specializing in providing engineering services, and one of them is Compliance Management SW. Its in a demo stage, but could be something very useful. It has all of the features you have mentioned plus actual technical requirements for a lot of countries, automated e-mail and text alerts, connecting to your PDM tools to import the information. Looks like they have extensive IT and Compliance support behind it. Not sure if I suppose provide their name, so anyone who is interested, I can send you their info. At my previous employer I created a database with Microsoft Access. It grew in functionality and the number of forms and reports over time. Even included ASP reports available on a website extracted live from the database. It handled tracking of active projects which would transition to the approval listing and tracked renewals. Metrics were available in the reports for approval durations by country as well. Worked out very good as was tailored specifically to the company processes. Easy to use too (if I do say so myself since I wrote it)! The original list of approvals was done in Excel by Marketing so importing into Access saved a lot of initial data entry. As for storing the documents, just establish a protocol for naming them, enter them as a field in your Excel sheet, and make them clickable links. You do your sorting and flagging and checking, and just click on any entry you want to go to. No servers, no clouds, and you already own a copy (Mac people must have something equivalent, I hope). I'd stick with something off the shelf, as you've specified, and perhaps cloud-based. Here's a list of some popular packages: http://database.software.informer.com/software/. I've not found anything specifically designed for product regulations.
