Expenses Report of Beijing GNOME Users Group from 2008 - 2009

Hi all,

This is the yearly expense report of Beijing GNOME Users Group in 2008 and
2009.

Bejing GNOME Users Group is growing dramatically this year in Beijing, we
had organized 14 meetings so far. At the beginning, we host it in a bar and
need to pay the venue, but later, lots of company is willing to sponsor our
regular meeting, like Intel China,  Novel Beijing, Sun China, SC2C, and
Google China. They sponsored the venue, food and drinks, T-shirts, gifts for
our meetings. We also organized several joint meetings with Beijing LUG,
Beijing OpenSolaris Users Group and Beijing Google technology users group.

Attach is the expense report for Beijing GNOME Users Group in the year 2008
to 2009. See more details from the attachment.
Generally:
Incoming : 10,855.97 CNY
Expense : 4961.36 CNY

The balance: 10,855.97 - 4961.36 = 5894.61 CNY. (About USD $725.35)

We plan to use this budget to building Beijing GNOME Users Group in
following years, like maintain the domain name and server, pay for the venue
or food for future events when needed.

Call for invitations to be the host of GNOME.Asia Summit 2010

Dear GNOME friends,

We are call for the host of GNOME.Asia Summit 2010 now !

GNOME.Asia Summit is the yearly GNOME Users and Developers Asian Conference.
The event focuses primarily on the GNOME desktop, and also covers
applications and the development platform tools. It brings together the
GNOME community in Asia to provide a forum for users, developers, foundation
leaders, governments and businesses to discuss both the present technology
and future developments.

GNOME.Asia Summit was held in Beijing, China during 2008 and in Ho-Chi-Minh
City, Vietnam during 2009. We would like to continue finding new national
locations as we spread GNOME throughout Asia, and we are looking for local
organizers to rise to the challenge of organizing an excellent GNOME event.
The GNOME.Asia committee will assist in the process, but there is a
definitive need for individuals to be actively involved and committed to the
planning and delivery of the event.

Summary

Hi, this Emily Chen. I participated in GNOME since 2006. Now I am continue
working in GNOME community because I believe in GNOME. I worked on LDTP
project in 2006, then participated in Google Summer of Code 2006 and 2007 on
GNOME LDTP projects as mentor. In 2008, I started the GNOME.Asia and
organized the GNOME.Asia Summit 2008 in China and GNOME.Asia Summit 2009 in
Vietnam. Now I am working on the GNOME.Asia 2010, which will be host in
Taiwan in August. Also, I start the Beijing GNOME Users Group in Beijing
since 2008 Nov. Now Beijing GNOME Users Group is one of the most active
organization in Beijing. I want to make GNOME grow in Beijing, China, and
Asia, it is meaningful to promote GNOME to more people, especially in Asia,
because I see many opportunity and good community here in Asian.

Who?

 * I am affiliated with Sun Microsystems China, where I work as a Quality
Engineer on the OpenSolaris Desktop team
 * I worked on Mozilla projects and lots of GNOME projects on Solaris as QE
 * I am the founder and president of Beijing GNOME Users Group, our monthly
meeting is supported by many companies, like (Intel, Novell, Sun, Google,
CS2C, etc). Those company provide venue, gifts and food for our monthly
meeting. We also work closely with other communities like: Beijing Linux
Users Group, Open Party, Ubuntu Community, Beijing OpenSolaris Users Group,
Unix-Center etc.
 * I have attended GUADEC 2007 in UK and GUADEC 2008 in Istanbul
 * I organized GNOME.Asia Summit 2008 and 2009, now preparing the 2010.

Why?

I have passion in GNOME. I inspired by the people in GNOME, they are smart,
creative and enthusiastic. I belive GNOME is a good desktop solution for
people all over the world.

If I was selected in the GNOME board, I plan to :
* Encourage more Asian students to participated in GNOME projects. A good
platform is GNOME under Google Summer of Code.
* Encourage more people from Asian to join GNOME Foundation, there many many
talent and skillful students and engineers in China, but they are not so
connected with GNOME, may due to the language barriers and culture
difference.
* Continue work on GNOME.Asia and Beijing GNOME Users Group. They are good
platform and we should continue to make it grow.
* I want to became the bridge of GNOME Foundation and Asian GNOME community,
spread the latest news to Asian, and bring feedback to Foundation.
* I want to share my limited experiences on organizing community events

Finally, my personal reason, I want to learn from senior people in GNOME
community. There are lots of skill I still need to learn.

The joint conference of COSCUP / GNOME.Asia 2010 is calling for papers now.
COSCUP is the largest open source conference in Taiwan, and GNOME.Asia
Summit is Asia’s GNOME user and developer conference, spreading the
knowledge of GNOME across Asia. The joint conference will be held in Taipei
on August 14 and 15. With a tagline of *Open Web and Mobile Technologies*,

 Hmm, no specific topic about education? I think it is a very important
 subject for GNOME and free software in general, and a specially
 relevant opportunity in developing countries.

 Companies whose business models are incompatible with free software
 know that and are making efforts so children come out from school only
 knowing about proprietary software, maybe something should be done
 about it?

 I originally wanted to have some questions included in the list of
 questions sent by the membership committee, but I feel like waiting for
 Friday while the voting period is already opened is waiting a long time
 and I'm not being patient here :-)

 I apologize because some of those questions are most likely a bit easier
 to answer for people who are already on the board...

 1) I've read with interest the mails from the candidates announcing
   they're running, and most (if not all -- I didn't double-check)
   include some motivations with examples of what they'd be interested
   in working on.
   Why are those tasks/ideas things you cannot work on while not being
   on the board?



 I will continue doing what I am doing now to contribute to GNOME, continue
grow the GNOME in Asian countries and local Beijing GNOME Users Group, even
I am not in the board.

Join the board means more responsibility and higher view of how to run the
GNOME Foundation. Spread the latest news to my areas as well as provide
feedback to board at the first time.


 2) What are your non-usual (ie, not code, not translations, not
   documentation, etc.) contributions as a GNOME Foundation member?
   (organizing events, pushing people to do things, finding sponsors,
   etc. are all possible answers)


- Bring the GNOME to Asia. Start to build GNOME.Asia Summit, from Beijing to
HoChiMinh, this year go to Taiwan.

- Build local GNOME community, like Beijing GNOME Users Group.

- Encourage students to work on GNOME projects under Gsoc

- Find sponsors for GNOME.Asia


 3) What is your opinion on the co-location of Akademy and GUADEC in
   2011? And if you think it was not the best choice, will you still be
   able to help it happen?


From the event organizing perspective, that's good to share the sponsors and
cost, get all the people with the same interests together.
Form the project and platform's perspective,  that's helpful for both KDE
and GNOME's future road map.


 4) How much free time per week do you think you will be able to allocate
   for the board? (I'm very well aware that this could be 0 for some
   weeks, and 100% of your time for other weeks; I'm just asking in
   general)


I can work 20% of the working hour with my manager's support. Also, I can
use my spare time if needed.

Currently, I work 10 hours on GNOME.Asia and Beijing GNOME Users Group each
week.  I can expect that I will spend more time if was able to join the
board.


 5) Are you okay giving up some of your current GNOME
   responsabilities/activities to join the board? (give up a maintainer
   hat, or hack less, or participate less in a specific team) Or do you
   think it won't be necessary and why?
   (I know it's a bit related to the previous question :-))


 I don't know if I will give up some responsibilities, but I am sure I will
give up some of my spare time.


 6) Will you be interested in being treasurer, president or secretary if
   elected? If yes, which role and why?


I am OK with any role which is needed.



 7) What do you think of the current GNOME Foundation budget? Had you
   read it at least once before reading this mail?

Yes,  I read it several times. I think It is very transparent and well
documented. I like the way to run the Foundation.


 8) What do you think our next fundraising campaign should be about?

I am thinking about GNOME store. I am planning to bring GNOME store in
Asian countries. We can start from China, put GNOME store on line and on the
third party online shopping website like Taobao, ebay etc.

I am currently still thinking about the detail of implement this idea.


 9) Will you be at GUADEC this year? (there's a board meeting and an
   advisory board meeting there)


Yes, I plan to go GUADEC.  Plus I have submit a talk in GUADEC.

Hi Lionel,

Brian has already given a good answer about fundraising. I would like to
offer some ideas from my point of view.

1. We could sell GNOME merchandise on GNOME stores/websites in different
countries around the world. For example we can host a GNOME store in China
using Taobao[1], the largest shopping website in China. Mozilla launched its
Mozilla store on Taobao last month[2].  The profits form this would be
transferred back to the GNOME Foundation for use as sponsorship money for
events in China or elsewhere.


2. We can encourage more local companies to join the GNOME Foundation
Advistory board, especially Asian countries.  I personally know many local
companies using various GNOME technologies. They have not joined or
contributed because of various reasons including language barriers and
simply not knowing how to contribute at all.


3. Continual promotion of the Friends of GNOME program, especially to our
regular users.  We can do this through local user groups and local
communities. We should translate our promotional materials for Friends of
GNOME to to allow increased exposure to non English speakers. People will be
proud of their personal donations to the GNOME Foundation; they simply are
not aware of the  Friends of GNOME program.

  I've a question about GNOME business model and sustanability. As we have
 seen with the fundrising to hire a sysadmin, money is often a blocking
 point. The current business model seems to be donations.


 Actually, The GNOME Foundation acquires money from several sources:

 - Advisory Board fees
 - Sponsorship for particular events or programs
 - Profit from events (such as GUADEC)
 - Donations (such as Friends of GNOME and the upcoming mobile donations
  program being discussed on the marketing list)

 The GNOME Foundation has invested a fair amount of effort in the Friends
 of GNOME program to increase donations and with good success.  However,
 donations are a small overall percentage of revenue.

 Also note that The GNOME Foundation is a charity.  So, we do need to
 ensure that money that we receive is used in ways that are aligned with
 The GNOME Foundation charter.  This does restrict how The GNOME
 Foundation can raise and spend money to a degree.


  Do you think that donations are good ? Good enough ?


 With more money, the GNOME Foundation can do more exciting things, so
 the GNOME Foundation is always looking at ways to improve how money is
 raised.

 In the past year, the GNOME Foundation doubled the advisory board fees
 and this was a significant step making the organization more profitable.


  Do you plan to work on this business model ? Do you have any proposals ?


 There is a lot of work going on to improve how the GNOME Foundation
 raises money:

 - Statistics show that most money received via Friends of GNOME comes
  from GNOME users, not people in the GNOME development community.
  The GNOME Foundation is planning to start a campaign to more
  effectively reach out to users to make them aware of the Friends
  of GNOME program, and consider donating.

 - The board is currently working to develop a program to allow
  companies and organizations to donate money.  This program would
  be directed at organizations that are not currently advisory board
  members.  This could be something like a Friends of GNOME program
  for organizations instead of individuals.  This could, for example,
  provide a link exchange, advertising, mention as a sponsor of an
  event, or other forms of recognition as an incentive to donate money.

 - By making events more profitable.  We are constantly working with
  event organizers to encourage them to find ways to make events
  more profitable, or at least sustainable.

 - Typically sponsorship money that the GNOME Foundation receives is in
  exchange for some service, such as by organizing a hackfest to get
  work done in an area that benefits (directly or indirectly) those
  organizations interested in providing sponsorship.

  With GNOME 3 approaching, the GNOME Foundation has been working hard
  to organize a rich set of hackfests to focus on work that needs to
  get done for GNOME 3 to be successful.  The GNOME Foundation needs to
  continue working hard in this area.

  However, more can be done.  For example, the GNOME Foundation received
  some sponsorship money last year to upgrade bugzilla.  The GNOME
  Foundation needs to continue to find ways to provide services that
  will continue to bring in sponsorship money.

 - Currently the GNOME Foundation is organizing a Women's Outreach
  Program.  Getting more involved with organizing humanitarian events
  like this could open the doors to finding new sponsors with an
  interest in promoting humanitarian causes.

 - Grants are another possible source of revenue.  We have done some
  considerable work preparing ourselves to

GNOME is Free Software. We should spread the message and educate people
about free software many ways. For example the upcoming GNOME.Asia Summit
2010.  We will have free software talks in the GNOME tracks. This is an
excellent opportunity to educate the local participants whom are just
entering the community,  about the benefits of free software.

Hi all,

This is the yearly expense report of Beijing GNOME Users Group in 2010.

Beijing GNOME Users Group is growing year by year. We organized monthly
meeting and other big events like SFD event. We got good support from local
companies like SC2C, Oracle China, Intel Beijing, and Google China etc. They
sponsored the venue, food and drinks,  gifts for our meetings.

Attach is the expense report for Beijing GNOME Users Group in the year 2010.
See more details from the attachment.
Generally:

Balance from last year: 5,894.61 CNY ( 885.07 USD)
Incoming : 635 CNY (95.37 USD )
Expense : 2,239 CNY (336.26 USD )

The balance: 5,894.61 +  635 - 2,239 =  4,290.61 CNY. (About 644.24 USD )

We plan to use this budget to building Beijing GNOME Users Group in the
next  years, like organize events, maintain the domain name, pay for the
venue or food for future events when needed.

 But in Malaysia i can see we not have any GNOME community. So think we
 better start one and we can start 1st translation project. OSDC.My
 already manage the biggest open source conference almost 2 years
 already
 we call it Malaysia Open Source Conference (MOSC http://conf.oss.my
 ).
 We now are prepare to do our 3rd MOSC2011 for this years. Yeah need a
 lot of work to do now. But at least we can make people interest about
 OSS and perhaps we can be one of the contributor to the OSS community
 around the world. If we not start now others will not start. I`m also
 involve other OSS ambassador like Fedora, openSUSE  PCBSD and OWASP.

 GUADEC 2012

 We are also calling for volunteers to help with organizing GUADEC.  You
 can help regardless of where you might be located.

 We would like to setup both a GUADEC event committee and also a local team
 of volunteers on the ground at the event location. It would be very much
 appreciated if people with experience hosting past GUADEC events could get
 involved and help make this event a success.

 Even if the local team changes every GUADEC, there would be value having a
 core and stable event committee to ensure good planning going forward for 
 GUADEC
 2012 and future GUADEC events.

 The GUADEC committee can help things on:

- Manage call for bids, including helping with review selection
- Build the website infrastructure including a registration system and
use it for every GUADEC
- Draft call for sponsorship, call for paper documents etc
- Share Sponsors' contact
- Have regular meetings (usually IRC) with the local team once the bid
is chosen
- Focus on continually improving the process, including post-event
reports.
- The event committee would help with international sponsorship
opportunities while the local team would likely focus more on local
sponsorship opportunities.

- Other

 I'm really grateful to become a new GNOME foundation member. In

 I've posted some news on my blog.

 Working as the GNOME Foundation Executive Director has been an incredible
 experience for me and GNOME has made some impressive progress in my time at
 the Foundation. I'm proud of where the GNOME community is and think it's
 time for me to hand the reins over to someone new.

 Today I am announcing my new position as the Software Freedom Conservancy
 Executive Director. As many of you know, I have been volunteering with
 Conservancy for some time, having co-founded it when I was at SFLC.  It is
 an important organization where I think I can make a difference, and GNOME
 is in good hands. The current board of directors continues to impress me
 with their commitment and varied skillset and I know they will continue to
 lead the organization well.

 There's a more detailed discussion of this change on my blog at gnomg.orgbut 
 of course, I have no intention of leaving GNOME.  I plan to announce my
 candidacy for the board when the call comes out, I'll stay on as pro bono
 counsel, and of course I'll continue volunteering in other ways. The
 Conservancy has also agreed to partner with GNOME, so that I can help to
 run the Outreach Program for Women with Marina.

 I'm excited for my new role and am glad I can continue to work with you in
 so many ways.

 Hi Richard,

 As other people mentioned, we've had joint events with KDE, which
 logistically worked out well. However, GUADEC is a 200-300 person event,
 and our goal for it is to have GNOME community members meet each other and
 have a chance to interact and work face-to-face. This becomes more
 difficult in a group twice the size, where not everyone is a GNOME user or
 contributor. This is why it was decided to host GUADEC separately and to
 have dedicated freedesktop hackfests that contributors involved with common
 technologies can attend, despite the financial attractiveness to sponsors
 of a joint event.

 As you know, GNOME.Asia is co-located with FUDCon this year, and it would
 be interesting to know how that works out. GNOME.Asia has been much smaller
 than GUADEC in the past, and having many people attend it because of the
 co-location is definitely a positive outcome, so our interest in
 co-locating it might be different from co-locating GUADEC.



I second what Marina said about GNOME.Asia.

The goal of GNOME.Asia is to promote GNOME in Asian region. Most of the
audience are GNOME/Linux users, FOSS community people. only 20% are core
developers and leads from GNOME community. This is different from GUADEC.

Then co-host with other conference like FUDCon is working very well this
way, because our audience is the same, we have common speakers, local
organizers are already familiar with each other.

This year, in GNOME.Asia/ FUDCon 2014, we bring more speakers, attract more
audience, find more local sponsors, at the same time, we reduce the cost by
share with FUDCon.

GNOME.Asia Summit 2015 Travel Subsidy application is Open

The GNOME Foundation http://www.gnome.org/foundation/ provides travel
subsidy to individuals who want to attend GNOME.Asia Summit 2015 and need
financial assistance.

We are happy to announce the Travel Committee
https://live.gnome.org/Travel is ready to receive applications for
subsidy to attend GNOME.Asia Summit 2015. This year, GNOME.Asia Summit 2015
is being held in Universities of Indonesia, Depok, Indonesia on May 7-9,
2015.

The instructions are detailed at https://wiki.gnome.org/Travel

Please read them carefully.

Deadline: *April 7*, 2015, 19:00 UTC.  You can start sending in your
applications now!

Some extra comments:

* Any information you send to the Travel Committee will be private.

* Asking for sponsorship *does not* guarantee you will get sponsored.

* A good application with good information will be processed fast.

* If you need help with accommodation, you should state in your application
that you need lodging, and leave the cost blank.

* Always choose the most economical option when possible.  People who need
travel sponsorship, should look for the best price (i.e. through a service
like kayak.com).  If the Travel Committee finds a cheaper price, that will
be the price considered during the evaluation.

* Preference would be given to speakers, Foundation members, GSOC students,
Women Outreach Program interns and active contributors.

* If your country needs a VISA invitation letter and you are a GNOME
contributor, please let the GNOME Travel committee know about it.

* If you are selected for the Google Summer of Code or the GNOME Outreach
Program for Women (as student or mentor) you should mention it in your
application.

* If your talk was selected for GNOME.Asia Summit 2015, you should mention
it in your application.

* The Travel committee should reply back about receiving your application
within 2-3 days. After that we would accumulate all the sponsorship
requests and process them together. So please do not panic (have any
butterflies in your stomach) if we take some time to reply on the status.
Affirmative/Negative you would surely get a response.

* No personal emails to committee members. Please keep travel-committee
Cc’ed on all your replies.

Thanks to Tobi and Richard to point out the privacy issue.  We will fix

Travel committee will use GNOME wiki or OwnCloud to store all the privacy
receipt and document.

Call for GNOME.Asia Summit 2016 Host Proposals

Hi all,

The GNOME.Asia Committee is inviting interested parties to submit proposals
for hosting GNOME.Asia Summit during the 2nd quarter of 2016.

GNOME.Asia Summit is the annual GNOME Conference in Asia. The event focuses
primarily on the GNOME desktop, but also covers applications and the
development platform tools. It brings together the GNOME community in Asia
to provide a forum for users, developers, foundation leaders, governments
and businesses to discuss the present technology and future developments.

GNOME.Asia Summits have been held in Beijing, Ho-Chi-Minh City, Taipei,
Bangalore, Hong Kong, Seoul, Beijing, Depok respectively over the last
eight years.

The Committees’s preference is to find a new location each year in order to
spread GNOME throughout Asia and we are looking for local organizers to
rise to the challenge of organizing an excellent GNOME event. The
GNOME.Asia committee will assist in the process, but there is a definitive
need for individuals to be actively involved and committed to the planning
and execution of the event.

You can learn more about GNOME.Asia Summit at our website:

Interested parties are hereby invited to submit a formal proposal to the
GNOME Asia Committee.  The deadline for the proposals is September 11,
2015. Please email your proposal to gnome-asia-committee-listatgnomedot
org. We might invite you to present your proposal in more details over our
regular IRC meetings or send you additional questions and requests. Results
will be announced by the first week of October 2015.

The conference will require availability of facilities for 3-5 days,
including a weekend, during the 2nd quarter of 2016 (between March and
June).  Key points which each proposals should consider and which will be
taken into account when deciding among candidates, are:

   - Local community support for hosting the conference.
  - Venue details. Information about infrastructure and facilities to
  hold the conference should be provided.
  - Preliminary schedule with main program  different activities.
  - Information about how Internet connectivity will be managed.
  - Lodging choices ranging from affordable housing to nicer hotels,
  and information about distances between the venue and lodging options.
  - The availability of restaurants or the organization of catering
  on-site, cost of food/soft drinks/beer.
  - The availability and cost of travel from major Asian and European
  cities.
  - Local industries, universities and government support.

Please provide a reasonably detailed budget (sponsorship, expenses, etc).
