Field 4 is the form on file name though, which is why I'd written it as 
form. How about:


If recorded in the grants.txt document, use the for or title. If 
recorded in the cclas.txt document, use the company name (field 2 
without submitter name) and the form on file name (field 4, without 
any people's names).


Would that work and be clear?

IP clearance template - tweak sanity check

Hi All

I hit a snag when trying to fill out the IP clearance template, in the 
Identify name recorded for software grant section, as it used to only 
refer to grants.txt. Based on advice from Craig wearing his secretary hat, 
I've updated that to handle grants given as part of a CCLA, as well as 
giving some guidance on what to write there.


The new text is now about twice as long, but hopefully clearer on how to 
fill it out. A sanity check from others would be good though!

I hit a snag when trying to fill out the IP clearance template, in the 
Identify name recorded for software grant section, as it used to only 
refer to grants.txt. Based on advice from Craig wearing his secretary hat, 
I've updated that to handle grants given as part of a CCLA, as well as 
giving some guidance on what to write there.


The new text is now about twice as long, but hopefully clearer on how to 
fill it out. A sanity check from others would be good though!

The template is very handy and good to know about.

Simple observations:

A. Process section 3, first bullet, should also have and/or *an* ASF officer 
as in the second bullet.

B. Process section 5, concerning checksum and detached signature.  This has 
come up recently, so is fresh in my mind.  The format for the checksum file is 
apparently not as widely-known as one might tacitly assume.  We need a 
reference and a place for how one identifies the file, the format in the file, 
and typically how the checksum (digest) is verified.  For the detached 
signature, there needs to be a way to know how to find a proper public key to 
use.  I recommend that there be a KEY file that contains the public key(s) of 
the signer(s) with each having a UID that is an Apache ID, so there is an 
auditable tie to https://people.apache.org/keys/committer/.  I suppose this 
belongs elsewhere and could be linked from this template.

C. Filling the Form, make a snapshot of the source code is a little vague.  
This is not in an incubation area so more information is needed.  Also, is 
there a difference if Process section 5 (about checksums in grant documents) is 
not exercised or is that a good place to put the snapshot either way?

D. Verify Distribution Rights section.  The two remarks about active 
committers is strange, because of confusion with existing ASF Committers and 
non-ASF committers to the incoming code base.  This would seem to be different 
depending on whether there is a CCLA applicable to the code base or not.  Am I 
understanding this correctly?

E. Verify distribution Rights last table item. depended upon by the project 
*are* covered

F. Verify distribution Rights last paragraph.  The sentence about result of 
checking off these items seems odd.  Is it that the criteria for checking off 
these items is there being a Software Grant, ...  The for ASF licensed code 
is not needed, or maybe to the Apache Software Foundation?  The which have 
no dependencies is about the code, not the granting, yes?

I apologize for not being a doer on suggestions for this.  I trust it is 
helpful just the same.
