Even though it is a manual step, you should be able to hide the columns you
don't care about... at least the balance won't be so far away.

Re: [GNC] Reconciling PayPal

2022-12-15 Thread David Cousens
Dave,

Paypal don't provide menus that would not be cool. You are supposed to intuit
that some obscure little icon on the app will open up whatever it is you are
looking for even though it is several layers deep under other obscure little
icons. I just tapped anything on the screen that was visible to see what would
happen until I found it. I think it is a generational thing- my grandson has no
problems with apps that I find totally obscure and I spent a fair bit of my life
developing software and interfaces.

This list is about using GnuCash not about Paypal. They are the people to ask
about their app and webpage. Enough queries and they may make it more obvious
like it used to be. No complaints to them no incentive to change.

I just checked, and I can't see the seller, except under two circumstances

* eBay transactions, where it says "eBay UK", but not the real name of the
seller.
* Royal Mail Limited.

I don't know why our postal service is treated differently, but it is.

I know one can download the transactions in multiple csv formats, giving
more or less information. I might try downloading other formats, in the
hope the information will be present.

Liz,
Your balance is shown in column J, which is the 10th. My balance is shown
in the 34th column, which is *much* easier to miss. I had never noticed it
before, as it’s so far over, past many far less important things. As
someone else remarked, what one sees in PayPal does change with what
country you are in.

It’s annoying that the sellers names are not shown, as here in the UK it’s
a legal requirement to have that information if one is running a limited
liability company. Also the buyers name, unless one is running a retail
store.

I used to work in Tandy (Radio Shack in the USA). It was company policy to
request the customers name and address so Tandy could send advertising
literature. Stores were expected to get at least X%. Many people objected
to giving this information when they bought a couple of AA batteries. 😂😂
To get the required percentage, we just used to make up random names and
addresses. I remember one person coming in, most annoyed to get a letter
addressed to Mr. *uckme*unt.

Well, the PDF file which PayPal issues is apparently what they consider
a "statement". So the issue is not that you can not see a way of getting
a "statement", the issue is that you can not see how to get what you
want in a statement. Those are slightly different.

Maybe give PayPal some customer feedback?

For my bank, I can do two things

1) Get a monthly statement.
2) Download the transaction history as a .cvs (or other format) file.

For PayPal, I can't get a PDF statement like the sort of thing I get from
banks, which have my name at the top, a date, the banks name etc. That's
what I consider a statement - not just a list of transactions in a file.

The issue I have with that CVS file is that the balance is so far over
(34th column), I had never noticed it before. I listed the columns in a
previous post, but will list them again. You must admit, the balance does
not seem in a logical place. I can download the transaction history from my
bank and find the balance in the 5th or so column, not the 34th.

My understanding is that the purpose of the reconciliation is to enable one
to compare that the balances of two sets of accounts are in agreement. The
most obvious example being that the amount of money that your bank says you
have agrees with one's own records. In order to do that one needs to know
what the bank says your balance is on a particular date. In the case of
reconciling the PayPal account, one would need to know what PayPal says the
balance is.

If I log into my business bank account, personal bank account or credit
card using the mobile app on the phone, I can see what the financial
institutions say my balance is on any date I want. But what PayPal says my
balance is on any particular date is not easy to find. One has to download
a CSV or similar list, and in the case of the CSV file, the balance is the
34th (from memory) column - well away from other numerical data.

Only once I know what PayPal thinks the balance is can I compare it to my
own records in GnuCash, and see if there are any discrepancies.

One's PayPal balance can change, without one making any transactions. I
sold something to an Indian academic, and got credited with £1000 or
thereabouts. I withdrew the money to my bank account. He then claimed some
parts were missing, so put in a claim, wanting extra parts. That made the
balance negative, despite there had been no transaction.

I assume you can reconcile an asset account like any other bank account
you can tell it the date you want to reconcile, but it lists all of the
transactions...

Re: [GNC] Reconciling PayPal

( I am trying to make sense of the question, so pardon me, but I
am guessing what the perceived problem might be)

Are you saying the situation is like THIS:

The last transaction in June was on 6/29 and after this transaction the
balance was vv.ww The next transaction was on 7/3 and after that
transaction the balance was xx.yy.  You are asking "what was the balance
on 7/1?"

a) Fundamental concept involved. The balance of any account does not
change EXCEPT when there is a transaction for that account.

b) So the balance on 7/1 was vv.ww because there was no transaction
between 6/29 and 7/1. So the balance on must still be what it was on
6/29   In other words, to see the balance on any date in the past, go to
where that date would be in the ledger. If there is a transaction on
that date, the balance as of that date is the balance after the last
transaction on that date. If there is no transaction for that date, you
only see transactions after and before that date, go to the last
"before" transaction, and that was the balance on the date sought.

Michael D Novack

PS --- My "guess" is that you were referring to the balance as shown in
the tree of accounts. Yes, THAT only shows the balance as of after the
last transaction. But  most of us are perhaps not thinking of doing
accounting in "real time". In other words, we are entering data and we
are running reports, etc. for some date in the past. When we are
reconciling against some statement we have received that is also for a
date in the past (and there well may be transactions for that account
after the effective date of the statement). In other words, we don't
ever expect the balance as show in the tree of accounts to be meaningful
except perhaps for those accounts for which transactions are rare.

Thank you. I had not noticed it before. It is the 34th column for me, (AH
in LibraOffice). I had ignored stuff that far over,

I have the following columns

Date
Time
Time Zone
Name
Type
Status
Currency
Gross
Fee
Net
From email address
To email address
Transaction ID
Counterparty status
Shipping address
Address status
Item title
Item ID
Postage and packaging amount
Insurance amount
VAT
Option 1 Name
Option 1 Value
Option 2 Name
Option 2 Value
Auction Site
Buyer ID
Item URL
Closing date
Reference Tax ID
Invoice number
Receipt ID
*Balance*
Address Line 1
… and so on, with 53 columns in total

I would have expected the Balance to be shown after Gross, Fee, Nett, and
not miles away from the other numerical data actually associated with the
transactions.

Hi Dave

1. From the Pay Pal main menu, choose "Activity"
2. Click on the icon that looks like a "download" on the right of the
"Search" bar

3. Choose "Custom"
4. Enter a date range
5. Click "Create Report"
6. Go and make a cup of tea
7. Refresh the page and download the generated CSV file
8. Tear out whatever remaining hair you have trying to make sense of
these 10 columns in the file:

Date, Time, Time zone, Name, Type, Status, Currency, Amount, Receipt ID,
Balance

Good luck!

I was looking yesterday and were baffled by transaction that involved

Purchase postage @ £0.48
another transaction with a similar implication, but for -£0.48. But it
doesn’t appear to be a refund. £0.48 was withdrawn from my bank account.

I *think* what the account is showing is that the £0.48 was paid for
postage, then £0.45 was withdrawn by eBay (not me). But overall I find
following what is actually happening in the PayPal account is very
difficult, and unless I am mistaken, reconciling would be a very painful
experience. I can not really see how the reconcile tool in GnuCash would
help much.

Does anyone know of a way of getting the balance in the account at a
certain time in the past? Does anyone find the reconcile tool in GunCash
helpful with PayPal?
