[MCN-L] Auditors recommendation?

2011-11-14 Thread John Bedard
Our auditors are recommending that employees in key positions (*both IT and

the network and application systems remotely during the PTO period. Are
there any organizations that have this requirement? Or anybody whose
auditors made this recommendation?

[MCN-L] DAMs

2011-04-29 Thread John Bedard
Beth,

The best advice I can offer for a selection process of any system once you
narrow the field is to prepare a test script. Give the vendor a specific
script to follow, with data you provide. This helps you understand exactly
much better what a system will and will not do in your environment. Much
more helpful than a canned vendor presentation.

Learned this from Steve Jacobson of JCA and found it to be an extremely
valuable tool in any software selections process.

main thing I've learned is that there is no out-of-the-box
one-thing-does-it-all solution, so we will have to sort through which
 layers

[MCN-L] A Quick Survey

Here is an excerpt from our policy at the MIA. We treat still and video the
same.

*May I photograph in the MIA? *

Yes?with a few precautions to ensure the safety of visitors and artwork. If
it?s for personal use and without a tripod, feel free to use your still or
video camera. Please note: photography or filming of artworks that are on
loan to the museum requires prior permission.

*How do I know if an artwork is on loan? *

On the label, look for the words ?loan,? ?lent by,? ?private collection,? or
the name of a museum other than the MIA. Also, numbers assigned to loaned
objects begin with an ?L.? To request permission to film, photograph, or
copy a loaned object, call our Registration Office at (612) 870-3123 during

What do you think would be an appropriate policy now?

[MCN-L] WiFi Access in Museums

2010-06-16 Thread John Bedard
We just installed museum-wide wi-fi. We split the access into two:
MIA_wireless for public and MIA_Internal for staff.

The MIA_wireless goes out a separate DSL line and does not have access to our
internal network. We are working on adding a page where a user agrees to terms
of use before connecting. (We have the wording from our attorney). This is
similar to most hot spots.

The MIA_Internal gives full access to our internal network. The I.S.
department is the only one with the security credentials. We are putting these
on MIA owned laptops. If anyone wants access from a personal device, we review
the appropriateness of the request and enter the credentials on the device. We
do not publish the security credentials or make them available outside our
department.

Smart phones, staff or public, connect to the public network as they do not
have the software for our internal network and systems.

[MCN-L] Mac vs. PC

2009-06-25 Thread John Bedard
Interesting reading all the responses that this post generated. Some emotional
and very thoughtful.

One point not made is that Apple does not provide the same type of support and
advance look on products to enterprises that Microsoft does, it seems to ignore
the business market in favor or providing the consumer with the wow factor.
And then let consumers work to get Macs, iphones, etc. into the enterprise. It
avoids marketing to the enterprise.

This is one point that is constantly made in the computer trade press, that
Apple seems to intentionally ignore the enterprise market.

This doesn't imply that their products are appropriate or not, just that they
don't really market to enterprises. So most enterprises will not put any
priority in implementing their products.

Help! The Museum of the Confederacy is seeking advice from fellow

We are starting a digitization project, and are beginning by scanning
over 6000 original photographs we have in our collection. We are
looking at buying a 24 iMac, but are now addressing concerns about
whether Mac software will be compatible with the museum's PC-based
server, and whether we will be able to integrate Mac image files with
our PC-based Collections databases. We plan to store the images on an
external hard drive as well, but again are wondering how difficult it
will be to retrieve the images and use them on PC software.

Any suggestions?

[MCN-L] Need a list of DAMS options

2009-03-23 Thread John Bedard
As Marla states, we also use Media Bin and we synchronize metadata for images
of objects in the collection with our TMS CMS. We also have store none-object
images (e.g., event photography, gallery installations, even our badge photos
in it. We also it to automatically generate derivatives for our web and FTP
them to the web server, which is co-located at another site. And a large
number of staff (68 last year) use it to download images in the correct size
for various uses such as email, PowerPoint, etc. (over 21,000 downloads last
year). It is probably the system that has the largest number of users here at
the MIA.

SFMOMA is using MediaBin from Interwoven (which has just been bought by
Autonomy). It is talking with our CMS and after a slow start-up process
seems to be working fine. There are a number of other museums (Met,
IMA, MIA) using MediaBin, they may want to chime in as well.

The short version is, it's working for us so far but for more details,
contact Layna White.

It'll be interesting to see what you come up with--maybe a compiled list
for the MCN website?

Hi Perian, we are investigating this too and I look forward to hearing
more from others on the list.

This link has a good summary (as of 2007/2008 I think) of the commercial
DAMS market and trends: http://tiny.cc/K6q6s

Subject: [MCN-L] Need a list of DAMS options

Hi everyone:

Sorry if this is a redundant question, but we're sticking our toe into
DAMS territory soon and I'm being asked to outline all of the various
options.

I am currently aware of:

Commercial DAMS:

Extensis

Luna Insight

me

Open Source DAMS:

OpenEdit

ResourceSpace

Razuna

(Omeka Wordpress)

I'm specifically looking for the range of products available, along with
reviews. We're trying to figure out how to get the DAMS to talk to our
CIS (IDEA at ALM, which uses MS SQL and does have some sort of API
available with it, so it should be do-able), but we'll likely need to
get a programmer to do that for us.

Thanks in advance for your help. Feel free to reply to me offlist. I'll
be setting up a Google Docs to organize the information, and I'd be
happy to share that list once it's available.

[MCN-L] Intranet Survey - updated

2009-02-04 Thread John Bedard
Thank you to those who have participated so far in the Intranet Survey.
Unfortunately, during the day yesterday one participant did not realize that
the first row was a header row and the column headers got overwritten.I
have restored the headers and added a note to indicate that a participant
should scroll to the first empty row to enter their information. My apologies

headings- you did a great job figuring out the questions on your own.

I am trying to get a sense of policy for posting annual reports online.
I see many institutions do this and they range from plain, no image, and
sanitized finances to the full color pdf. I would love to get responses

 Williams, Keith Keith.Williams at phxart.org 7/9/2008 2:01 PM
Hello-

I am the Information Systems Manager for the Phoenix Art Museum and we
are currently using Argus as our Collection Management System (CMS). We
are planning to upgrade soon to TMS as our CMS. With this, we are also
looking into a Digital Asset Management System (DAMS) that will speak
with relative ease with TMS. I was curious as to what other Museums
that are using TMS as their CMS use as their DAMS and what their
experiences have been with whatever DAMS they currently use.

Thank you,

Greetings,

What do you use to schedule, confirm, track payments and create
receipts for school tours? Currently, we use Vista which is way more
than we need. Someone please tell me that there is something simpler
and cheaper out there. We just updated the program and lost a custom
report.

We serve approximately 25,000 students a year and need a program to:

--Schedule multiple tours and multiple locations on the same day

--Generate confirming letters and invoices

--Track payments

--Generate receipts

--Ability to have multiple users

Thank you in advance for any suggestions (or commiserations) you may
have.

Hi Everyone,

I'm looking for suggestions on how your institutions are managing
images. I've been looking into Microsoft's Expression Media
application, but would like something with a web-based browsing
ability. Another requirement is that we don't have to move the files

off-site, such as with using something like Flickr. I would like
them to sit on our server and be accessible via a web-browser so that

we can just link to these images from our website.

Any suggestions?

Thanks,
Roger

Not a sales pitch, but: My friend runs a company called SeeFile. Its

a simple-dimple web or NAS based appliance, that will allow you to

Hi Jessica,

We use Cuadra Associates, Inc. STAR/Museums at the Glenbow Museum in
Calgary. Our museum collection is comprised of Art, Cultural History,
Military History and Ethnology artifacts, and we're very pleased with
the way the application handles our data. As Kate noted, setting field
standards is an essential element to the usability of your system and
information.

Cuadra also has a STAR/Archives application - your Archives data would
be housed in separate databases, but I know that they have been working
on cross-application searching through their STAR Web interface. The
Virginia Historical Society uses Cuadra's Museum app, Archives app, and
Library app, so they would be a good contact for any additional
information.

Sincerely,

Cathy
