Although this should be a standard clause in an IT contract, unfortunately
it is not in this one, and we're probably too far down the track to start!

Is pretty annoying as they refuse to use electronic meeting facilities too.

Has anyone successfully implemented charging for meetings partway into a
contract (fixed price)?

Hi list,

I'm working on a long running project for a client.
They've been reviewing recent mods and have called a meeting. I was
provided a date range for said meeting where I was told all 3 reps from
client would be available. I've selected a convenient date and time and
have responded to their request.
Meeting was all booked in and now one of them says they're unavailable for
the selected timeslot.
I have a feeling I'm being dicked around and am wondering how to respond.

Have others had similar issues?
How has it been handled?

I've not done freelance for a long time, but have been doing consultancy.
In my experience unless you have a stakeholder prepared to chase the
parties on their side this is an all too common occurrence. I now try and
schedule meetings with fewer people for less time, but perhaps more often
or regularly (if that's needed if the client is difficult to schedule).

Even if 2 out of the meeting of 4 pulls out, I'd try to continue with the
meeting and tell them that it would be good to catch up with what we can,
and schedule the another smaller meeting with the other individual(s).

Often as a freelancer having meeting was more about reassuring them that
their concerns were being met.

But as people say your contract and your situation is always unique.

There could be any number of reasons for one or more parties not attending
a meeting. If ample notice is given, there should be no reason that the
meeting could not be rescheduled.

If the other members can attend and have sufficient authorisation, why not
proceed without the 3rd member and take minutes and / or recording if
warranted ?

Should there be a last minute cancellation, you are justified in asking for
a reimbursement if there are costs involved. However, you have to work out
a way of clearly communicating that.  If it's a long term relationship, you
might just have to wear it to keep the peace especially if it's a once off.

I've been dicked around plenty and it still happens, over and over. Depends
on your contract as others have said but also on how many times they've
screwed you around. One cancelled meeting which is what I gather from your
email isn't the end of the world. Sh!t happens.

Unless you know exactly what you are delivering and exactly how long it
will take to deliver, fixed price is dumb.
How many people exactly nail their estimates? If you can do that then fixed
price is low risk. But software is normally a journey or discovering the
unknown. How can you do fixed price without horrendously padding the price?

Came up with a saying today.
You've heard the saying "Definition of insanity is doing the same thing
over and over and expecting a different result."

My new saying: Definition of Software development is doing the same thing
over and over and getting a different result.
