Can someone please check on page 26 of this revised chapter. There is
an error on a cross-reference, but I don't know what the correct
reference should be. Please tell me so I can fix it!

[libreoffice-documentation] Base 6.2 Guide full book needs checking

I've uploaded the compiled Base 6.2 Guide to the Published folder and
replaced most of the chapters in that folder with amended ones
(correcting minor things I found while compiling, like numbered lists
that didn't restart).

Please check the PDF to see if it's complete and has no glaring
errors. I had a quick look but I may have missed something. Also, the
NextCloud was throwing up error messages, so it's possible the
uploaded file might have errors.

I will not be producing a printed copy of this book any time soon,
because Lulu (where the other books have been done) has just
completely revised their website and publishing process and a lot of
things no longer work. They say they're working on fixing it.

I have finished formatting Chapter 9, Macros. I corrected many small
typos and other errors but did not record those.
I did record a bigger change to the info on customizing a toolbar in
the "Securing your database" section (p. 64), which had an out of date
image of the Customize dialog.
I also left several questions about things I did not understand.
The file is in the Feedback folder for BG6.2.

I will work on Chapter 7 now.

the English.
I will also look at BG6207, which Dan has been discussing in another
thread. I agree with Dan that the limitation on personalized
salutations should be mentioned.

When I have finished with both chapters and everyone has stopped
arguing about them, shall I compile the book?

IMO, the person in charge of the book cam give a definitive answer. The way
you’re doing it, and Pulkit is doing with the Base Guide, seems more
logical to me than the way Olivier or someone started doing with the
Getting Started Guide and that seems to have happened with the Writer
Guide. If I were being more active with GS or WG, I’d say do them the way
you are, too.

[libreoffice-documentation] X-refs to figures & tables in LO user guides

Olivier,
Please confirm that my understanding is correct about x-refs to
figures and tables in the user guides: The category name ("Figure" or
Table") should be typed, and the x-ref set to "Numbering" not
"Category and Number". (This is a change from our practice a few years
ago.)

I notice that the Draw Guide chapters Peter S has published (after
Claire's review) have the figure refs done in the old style. I think
they need to be changed, but I wanted to verify this with you first.

Kenneth,
I don't find any notes to myself, other than the general comment that
the Styles and Formatting pane/deck/whatever-it's-called in the
Sidebar is now just Styles. Also I suspect there's some lack of
consistency in the use of sidebar terminology, and in the use of terms
to described tabbed pages in a dialog. I don't remember what our
latest consensus is (if we have one) on these topics, and I'm fairly
sure the Contributors' Guide is no help because it's not been updated.
(I may get around to updating the relevant bits of it, after
researching what it should say - but don't count on that.)

website link does not appear to pick up the file from the wiki.

As for the lack of sidebar bookmarks, I realise that I never remember
to tick that box on the PDF Export dialog. I'll put that on my

I have placed an annotated copy of Chapter 13, Mail Merge, in the
“Annotated pre draft” folder for WG6.4.

I have made some notes on things I know need to be done to update this
chapter. I have not checked everything, so there are probably other
things to do. It hasn't been properly reviewed and updated in a long
time. (Yes, I didn't do a proper job last time.)

For several years, we've been trying to find people who have the
knowledge, the time, and the English skills to review and improve the
text. I questioned some things in the book while I was reviewing
chapters, but my knowledge is limited to quite simple databases.

If you (or anyone else) can help with this, we would all be very glad.
But perhaps not holding up publication of the v6.x book; instead,
working toward a much improved book for LO v7.

Because I am mentioned in this discussion, I will respond here. I
noticed the lack of figure numbers and captions, but I did not
recommend adding them in the v6.x versions of the book because we were
in a hurry to get the book done. I was going to suggest that for v7.

Also, my knowledge of databases is fairly limited. I know a lot of

I have made some further corrections in this file.
On page 8 are two cross-references to Figure 6. One was correctly done
(using a field); the other was typed, not a field. I have corrected
the second x-ref.
On page 8 and on page 12, the figures were spaced using Returns.
Instead, use Wrap Off (from the context menu for the image (if no
caption) or the frame (if a caption).
The frame enclosing Figure 8 image and its caption should be anchored
to the paragraph As character. The image for FIgure 8 should be
anchored To Paragraph. Same for all figures enclosed in frames. This
was a new instruction from Olivier after the 6.0 book was compiled,
and I do not think any of the instructions on the wiki have been
updated. (Figures without captions are anchored As Character.)
On page 18 there was no step 3 under Figure 15. This was corrected by
right-clicking on the 4 paragraph and choosing "Bullets & Numbering >
Continue Previous Numbering".
Otherwise, good job! Those are minor problems.
And special thanks to Kees for updating the paragraph styles.

I have made the corrections and fiddled the page breaks a bit, and
returned the file to the Published folder.

[libreoffice-documentation] Re: Contribute to LO Writer 6.4 guide

At this point we need people to update chapters from v6.2 to v6.4. I wrote
an earlier note to the list about some of what’s involved.

Check the Writer 6.4 status spreadsheet and choose any chapter you would
like to update. They can be done out of order.

Please send correspondence to the list, not directly to me. I am not always
available, and usually others can answer as well.

Download and edit is correct. Never make changes in the file in nextcloud.
(The status spreadsheet is the exception.)

When you say "the file is pending" I assume you mean you are still working
on it and will return it to Feedback when you're done. That's good. Don't
forget to add your initials and change the date on the filename. Meanwhile,
it's useful to put a note in the Status spreadsheet, for example your
initials in the "Checked out by" column and perhaps something in the
"Status" column, so we know it's being worked on or that it's ready for
second review. We don't really have a good, unambiguous system in place;
trying to improve it as we go along.

My Win10 setup showed the drop-down palette of Favourites from the
Special Characters icon, but my Linux setup didn't. So I dug around a
bit more and I have found the answer to the mystery. Look in the
"Visible buttons" list for the standard toolbar; you should see TWO
icons for Special Character (called Symbols on the list of visible
buttons), but usually only one will be visible on the toolbar. One
goes directly to the dialog; the other drops down the Favorites
palette. I don't know which is the default.

be done in response to my comments. I didn’t think it was ready for someone
else to review. Hoping to hear from S about the status of the file.

Tomorrow I’ll look on my Windows 10 test machine to see what’s there on the
Special Characters icon. S was using W10, and I see the same on my Mac.
I’ll look on my Linux test machine too. This is a mystery!

Mostly we haven’t kept source files for images other than in the chapters

consistently. We should do more, especially if the originals are ODG, SVG,
etc. Yes, they should go in an Images folder for the book version. Same
name, different extension, where relevant.

The Contributors Guide needs a lot of updating. Images - creation,
insertion, anchoring, storage, etc - are among the many topics that are out
of date. (Updates are being done on the wiki first; feel free - indeed,
encouraged - to contribute.

[libreoffice-documentation] Writer Guide 6.4

I plan to make a folder for “annotated pre draft” files and put there some
chapters with my comments in them about things I know need to be updated.
If the updates are quick & easy to do, I’ll probably just do them myself,
but if they need more work I will leave them for others because I don’t
have time to deal with them now. For example, I know changes are needed in
the Mail Merge chapter that require screen captures from a suitable data
source. The Fields chapter still has, I think, some obsolete examples. And
others.

If you plan to update a WG chapter, please look first in the Annotated Pre
Draft folder for v6.4 to see if a file for that chapter is in there.
Otherwise, use the file from WG 6.0 Published folder as a starting point.

(I could make a spreadsheet of known changes required, and I might do that
as a summary, but I think having comments in the files, where the work is
needed, is most useful.)

The instructions for use of character styles (in the chapter template and
the Contributors Guide) are out of date. I am working on updating them.
(Also, updates are being done first in the wiki version and will be
incorporated into the ODT on NextCloud when I get a chance.)

To answer your question:
We are no longer using MenuPath or any variation of it; those were custom
styles. Use Strong Emphasis for menu items, including context (right-click)
menus.

Do not use Emphasis for Chapters referred to, for example *Chapter 1
Introducing Impress* - use the default style. (Peter S introducd this usage
in the Draw and Impress Guides several years ago, but we are not using it
in most books.)

Do use Emphasis for books and user guides referred to, for example *Impress
Guide* and for other terms that are commonly italicized in English usage.

Highlighting for options in LibreOffice dialogs, for example As character,
Format: I suggest using whatever is most common in the book: Emphasis
(italic) or Strong Emphasis (bold). I don’t think it’s worth the effort to
change them to be consistent across all the books.

Addendum: if someone else with the interest and experience/skills would
like to take GS or WG - please do!

I might be of more value to the Docs project doing QA on all the books, for
language, layout, use of styles, other consistency issues, etc etc.
Especially the compiled books, which typically need work. (Somewhere I have
a list of problems ive encountered, that other people either haven’t
noticed or perhaps don’t think are important.)

[libreoffice-documentation] Template Changer and Extended Search & Replace extensions?

Do either of the extensions work with LO 6.4? The last time I tried them
(over a year ago, perhaps 2), they didn’t work for me, but I didn’t test on
all three o/s.

If they don’t work, we should drop any reference to them in our
Contributors Guide and any user guide (GS, WG) that might mention them.

Assuming you mean a back-of-the-book alphabetical index: my short answer is
no. Here’s why.

Many (perhaps most) chapters in most books are incompletely or poorly
indexed*, if at all. Therefore IMO having no index Is better than having a
bad one - and an index isn’t really necessary in a PDF, though it’s highly
desirable in a printed book and can be useful in PDF if good use has been
made of synonyms. Also, unless a book index has been reviewed and edited by
one person, it’s usually very inconsistent and/or includes many irrelevant
entries.
*And some still include entries for old terminology, going back as far as
the OOo
incarnation of the book.

With our rapid development times and lack of people (especially people with
indexing skills), I think it’s impractical. OTOH, if someone has the time
to do it without delaying release of a book, it’s definitely a
nice-to-have. BTW, I tried to recruit indexers, but they all fled from the
requirement to use OOo/LO embedded index entries.

[My opinion, based on over 15 years volunteering with OOo and LO
documentation.]

OK, found my previous note. I had misremembered some details. Here's
an excerpt from my note.

A big problem for the compiled book was a difference in compatibility
settings between most of the chapter files and the book master file.
In Tools > Oprions > LibreOffice Writer > Compatibility, we must be
sure to UNcheck the options for “Add spacing for paragraphs and tables
(in current document)” and “Add paragraph and table spacing at tops of
pages (in current document)”. With a few exceptions, the chapters were
correct, but the master doc was not.

I tracked another big problem down to the presence of hidden sections
in the master document. They made cross-references to page numbers
come out wrong. When I manually deleted the contents of the hidden
sections, the problem went away. This is a bug. It’s been around for
many years.

I have finished my review of Appendix B. It was in a very rough draft
state, and I was unable to decide what to do in some cases. I have
left a lot of comments on what I have done and the questions still
needing answers. It is in the Feedback folder.

While working on Appendix B, I found several cases of German words in
Appendix A that I missed when I reviewed it. I have now changed them
into English (with Track Changes on) and placed the file in Feedback.

could not figure out what was going on. I left a lot of comments about
what I did and what I think needs to be done. It's in the Feedback

My opinion, FWIW: I think it's a waste of time to redo the screenshots
in Windows, though I have no objection to doing so. Some of the
sections in Chapter 2 may be Linux-only; I'm not sure. And a chapter
with new screenshots will need a quick review to make sure they are
all okay, correctly anchored, and so on.

I do not see the Preface file in the Published folder for Getting
Started v6.4. I'm sure it was there before (and it's listed on the
Status spreadsheet as being there), but it isn't there now. Anyone

[libreoffice-documentation] Should Base Handbook be named Base Guide?

All the other user guides in English are called “Guide”, and AFAIK no one
is going to proceed with a different book on Base, so I think we should
name this one Base Guide to fit in with the series.

I have started reviewing the Preface to the Base 6.2 Handbook. Some of
the information in it is very out of date. I will copy the up to date
information from the Preface to the Getting Started Guide.

I also notice that many of the styles in use (especially character
styles) are the old OOo styles that we are no longer using, but the
"Has style been updated?" column in the status spreadsheet says "Yes".
I will change the styles to the current ones.

I see some problems with the Copyright page. Some of them probably
need to be fixed in the template. In addition, this book was NOT
"adapted and updated from Base Handbook OpenOffice.org 3.3," which did
not exist. I have changed that to "This book is translated from the
German LibreOffice Base Handbuch."

[libreoffice-documentation] Printed copies of LO user guides

As you know, I have been organising the on-demand printing of LO user
guides through Friends of OpenDocument's account at Lulu. I regret to
say that as of 30 June this year, if not sooner, I will no longer be
able to do that, and all books currently on the Lulu site will no
longer be available through that account.

If the LO Docs team wants to continue to make print-on-demand copies
available for users to purchase, someone will need to make other
arrangements (not necessarily through Lulu).

I've updated all the chapters of the Getting Started Guide to LO v6.4.
I've also done the front and back covers and the master document.
Everything is in the Drafts folder, except for the chapters that have
been reviewed and are in either Feedback or Published.

We could either publish a first iteration of the book as it is and
then update it when the chapters have been reviewed, or wait until the
reviews have occurred.

I'm taking a break now to do something else.

Are you interested in updating the Impress and Draw Guides to LO v6.4?
Someone’s started on Impress but (as you know) it’s a big job for one
person and the user interface has changed in many ways.

Or start by reviewing my updates to the Impress and Draw chapters in
Getting Started?

Drafts folder, ready for review.
Note: I did NOT update the character styles.

[libreoffice-documentation] Firebird in Base

2020-01-28 Thread Jean Weber
Release notes and related blog posts for Base 6.x say Firebird Embedded is
now the default, and DB files created using HSQLDB should be migrated to
Firebird. A Firebird Migration Assistant is mentioned. I’ve seen nothing
more about this (I may not be looking in the right places) and wonder how
much should be said in Getting Started Guide chapter on Base. Please
advise. Thanks.
