Re: Having problems with importing an EPS file into FrameMaker ...

2014-03-06 Thread Lin Sims
As I recall, Frame doesn't display EPS natively. Instead, it uses a TIF
image which, as you noticed, is pretty horrible. When you print to PDF,
however, it'll look just fine. Unless there's some overriding reason you
need it to be lovely in Frame, I wouldn't worry about it. If there is, try
converting to SVG, which Frame handles just fine and is also a vector
format.

 Hi, all.

I am trying to import a graphic - with only four colors in it - (it is in
EPS format) and am having some bizarre difficulties. When I view the EPS
file on my Windows system using PS_view, it looks perfectly fine - even
 when zoomed in.

However, for some reason, the file comes into FrameMaker in a tiny 103 x
50 resolution (I didn't see any option to rasterize it at a larger
resolution or dpi?) and the result when zoomed up a bit, is *horrible*.
The rasterized resampling of the few colors in the graphic results in an
 unusably bad quality image.

If I externally rasterize the EPS into TIF using Photoshop set to NO
anti-alias and with a resolution of 1800 dpi (I know this is a bit
overkill, but I am trying to minimize jaggies along the curves of the
graphic), it works! But the resulting TIF file is over 25 Megabytes and I
would like to avoid that - should I try LZW compression when saving perhaps?

Also, I am using an older version of Photoshop (CS3) for this work, and
after I rasterize into Photoshop at 1800, I cannot seem to find the option
to save the file in PNG format. So, am using TIF.

Is there something about/in the EPS file to begin with, such that
FrameMaker seems to want to rasterize it into a 103 x 50 image? Is there a
 way to change that option?

Acrobat X: Possible to transfer comments between PDFs?

2014-04-25 Thread Lin Sims
Hi all,

We use Acrobat's shared reviews as part of our documentation process.
Sometimes not all the comments get addressed before a document gets
released, which means that I need that information for the next review
session. Is there ANY way to transfer comments from a closed Shared Review
PDF to the next/newer Shared Review PDF? I do NOT want to have to retype
190 comments!

Re: Acrobat X: Possible to transfer comments between PDFs?

2014-04-25 Thread Lin Sims
Thank you all.

We're still using FM10 and Acrobat Pro X. Both Art's and Craig's
information was useful--I can import the comments from the old PDF into the
new one, and it's a lot easier than I expected.

As Monica notes, however, they're not necessarily in the right spots on the
page, as things have changed between versions. Still, they're at least
usually on the same page, so that's a good start. Maybe it'll be good
enough. I'm going to experiment with trying to move some, although I
suspect if it's not my comment the program won't let me. We'll see.

Look into how FM 12 handles importing PDF comments. I haven't used this

deleting the original condition and choosing Delete the text rather than
 Make the Text Unconditional.

The devil is in the details, and the FM 11 version was flawed, but if you
have FM 12 this might work for you.

Re: Keyboard shortcut for closing pods

2014-05-07 Thread Lin Sims
The problem with the suggestion of using two or three Escapes in a row is
that it could well break all the OTHER keyboard shortcuts that use the Esc
key. Also, if you are mis-entering a keyboard shortcut, pressing Esc a
couple of times resets the sequence so you can start over again. I think
Esc Pc is unused, though, at least as of FM 11.

I have been able to search for the next footnote paragraph tag, and while

I can fix #1 via AutoHotKey. #2 is a sticky problem.

If there is a shortcut, I’m unaware of it, and if there is a better object

I know that many people say to avoid importing from Word, but when you

OK, this part I'm not sure will work, but according to the help.adobe.com

So for your first character, in the Find box, type '\xCABB' (without the

I don't have any files using those codes, so I can't test it. :(

Let me know if it works so I can put it into my bag of tricks, too.

Are you trying to change all the tables in a document from one table tag to
another table tag, or are you trying to update all the properties of a
particular table tag?

If the first, you can do it using the Global Update option.

1. Put your cursor inside the one of the tables
2. Open Table Designer
3. Select the new table tag from the drop-down list
4. From the Commands drop-down, select Global Update options
5. Select All Properties and All Tagged. Set All Tagged to the OLD
table tag (the one you want to change FROM)
6. Click Update. Click OK to confirm that you want to change all the tables
tagged with the OLD tag to the NEW tag.

If the second, open the Table Designer, update the properties, and click
Update All. All tables with the same tag will get the new properties.

 Hi,
Just wanted to know if there is a way to apply the table properties
through the Copy Special option for a table tag in FrameMaker.

Right now, I am handling a migration work where the existing content has
to be transformed to a different template. For which, this option would be
 handy.

Because if this is feasible, then I can use the Find/Replace - By
Pasting option and I will be able to convert all the tables in one go as
opposed to applying the table tag by individually selecting each table from
 the document.

 Please advise.

Click OK to confirm that you want to change all the
tables tagged with the OLD tag to the NEW tag.

If the second, open the Table Designer, update the properties, and click

 Hi,
Just wanted to know if there is a way to apply the table properties
through the Copy Special option for a table tag in FrameMaker.

 Thanks Regards

Yep. Fred's right. Which is (one of the many reasons) why Rick's plugin is

the table widths.

Same thing for the paragraph tags that are remembered for the heading row,

will be applied to a new table.

Re: Insets and Tables: container paragraphs with no additional spacing

2014-10-02 Thread Lin Sims
I like to use my cursor keys to scroll from table to table, and putting
each table anchor in its own paragraph lets me do that. If they're all on
the same line, pressing the up or down arrow once pops you to the beginning
or end of all of the tables that are anchored in the same line. I do a lot
of documents with hundreds of tables that are one right after the other, so
having an anchor anywhere but on its own line becomes a nuisance.

Putting all the anchors in the same line also makes it much difficult to
select just one table, since unless you are VERY disciplined about putting
a space between them, FM drops the anchors on top of each other. And
(again) if you have a lot of them, even using just a small space between
can make the anchors wrap to another line (or three or four), which messes
up your spacing all over again but for a different reason.

For the registers, we list all the table names as active links in a table
upfront. But if I am simply scanning through the tables, I find it easier
to use the cursor button than the mouse wheel. Your mileage may, of course,
vary. There are also places where a brief paragraph introduces a set of
tables. The data wouldn't work well combined into single table, and I'm not
about to say, The following table describes X when I've already said it
up above. It annoys my engineers and the customer engineers.

If I were in a different environment producing docs for a different

this environment, with this highly technical audience, it is neither
necessary nor wanted.

Not a bad idea, but this is the corporate style. We're also not
single-sourcing. (We were moving to that, but then the company got acquired
and the techcomm department was decentralized. But that's a whole other

Even if it were my call, I'm not sure I'd go that way. If the table splits
across a page, you lose the title. And these tables can go on for a couple
of pages, depending on the content..

 Hi,

My name is Denis Daly. I have recently started using FrameMaker.

I have had an odd issue today. I saved an individual chapter as a PDF and
about 40% of the images were not present. They are available in the
 'Graphics' folder.

I resaved and the same thing happened.

I then saved a third time but selected RGB instead of CYMK; all images
 were present.

I am using FM 12 with the recent update installed.

Can anyone explain this behaviour, please?

a PDF file into a file that is going to be printed to PDF tends to
drastically increase the size of the file being distilled.

Given that your testing has pretty much narrowed down the issue to pages
with embedded PDF images/graphics, I'd strongly suggest seeing if a
different image format would do what you need. Is it necessary that they be
PDF, or could another searchable format such as SVG (now that Adobe has
fixed the SVG to PDF but) be used instead?

relating to large page sizes and large fonts. I don't know if that one was
ever fixed and may still require setting a lower dpi as a workaround. (I
would note that I have no text or image dropout at 1200 dpi on Windows 7.)

NOTE: The following is a 10-year old quote:
 (2) There is a known problem with FrameMaker under Windows only in which
text may disappear from the output page (i.e., selective text dropout) when
printing to PostScript devices, including Acrobat Distiller. Unfortunately,
the problem is NOT reproducible from system to system or document to
document either user sites or within Adobe itself. What we do know is that
the larger the logical page size in combination with higher resolution
settings aggravates the problems (i.e., makes it more likely that you will
actually see the symptom). It is for this reason that we most strongly
recommend that you NEVER use a Windows PostScript printer driver setting
higher than 600 dpi with FrameMaker. If necessary to print to a higher
resolution device, create PDF first (with the Adobe Distiller / Adobe PDF
PostScript printer driver instance set to no more than 600 dpi) and then do
the final print from Acrobat / Adobe Reader to the actual print device. In
the rare instances where there is still selective text dropout, set the
driver resolution to 300 dpi. We know of no situations in which the
selective text dropout persists at the 300 dpi setting. What are the
ramifications of the lower resolution settings? The resolution of image
data is not downsampled or degraded by this resolution setting. Nor is any
damage done to vector graphics or the quality of text. What it does control
for FrameMaker is the granularity of spacing, especially of text. Setting
600 dpi permits only 600 starting positions per inch and interword
spacing in 1/600 inch increments. Images and vector graphics positioning is
likewise limited to such increments. At 300 dpi, the value falls to 300
starting positions and 1/300 inch increments. Anything under 300 dpi is
absolutely not recommended and could yield some rather gnarly text spacing.
Again, we recommend you start at 600 dpi and stay with that if you have no
problems. (Note also that 600 dpi gets around another Windows GDI bug in
which text formatted in larger point sizes is converted to unhinted
outlines. 600 dpi allow for text in pointsizes up to approximately 100
points to remain as text for printing purposes.)

Then I found that the distiller profile was set to 2400 dpi, and after

I don't like it, but it seems FM has some internal memory problems here.

Maybe this also applies to your problem.

Re: FM9 Crashes when Creating PDFs with files that Contain PDFs (WAS: Frame 9 Crashing – Can’t Create PDFs)

2014-10-27 Thread Lin Sims
The SVG bug (which only prevented being able to search text in SVG graphics
imported into Frame and then distilled to PDF) was fixed in the latest
patch update to FM12.

I admit I am not going by direct experience regarding the use of PDF as a
graphic format. One of my coworkers has been forced to embed single-page
PDFs into Frame files for a particular document set she works on. She was
the one who said that the file size bloated from that. The files were
output from a database, and she was adding 50 or so to a book. I think she
had to break the chapter she was adding them to into multiple files in
order to get it to distill properly.

I don't think I've ever heard that the preferred workflow was to create a
graphic, save it as PDF, and then import it into a Frame file that was
going to be PDFed. That seems ... odd to me for some reason, but that may
just be me. :-)

Good luck,

As for why I use the PDFs (from Visio), I was under the impression that
this was a recommended workflow. And I’ve never seen anyone mention that
including PDF images in the book bloats the final Frame PDF or I might have
 looked for an alternative before.

The interesting things is, I have been using this method for years with
the same book files and have never had a problem before. In fact, when I
built PDF files for review in mid-September, there wasn’t a single
hesitation. The PDFs the *Print to Book…* option first encounter were not
edited between mid-September and when I encountered the problem last week.

I spent a lot of time thinking over the weekend and remember an issue I
had with Pantone warning re: mismatched “definitions”. I cannot recall how
I made this go away – or if I actually did anything at all – so I’m going
 to run a few tests.

 Cross your fingers for me.

Mixed Structured / Unstructured and xrefs

2014-10-30 Thread Lin Sims
Bare bones background:

We have Excel spreadsheets that we convert to XML files using a script. The
script also creates a ditamap for all the files and creates an XML file
that contains a table that links to all the individual XML files.

We use DITAFMx to convert the ditamap and XML files to a single FM file
(still in structured). At this point, the xrefs work just fine.

Here's the tricky part. I then import (by copy) the newly created FM files
into an UNSTRUCTURED FM file (because that's what the rest of the book is
in, and no, this is not currently an option to change, don't even ask, it's
a MESS), which is opened in FM with the structured interface so that the
structured information can be retained.

As soon as I copy those files into the container (unstructured) file, the
xrefs break. I need those xrefs to NOT break, and I don't have time to
relink 500 or so xrefs every time I create this book.

I've tried this on the FM install on my desktop, which uses the structured
interface but is NOT in a DITA/structured environment, and the FM install
on a server, which uses the structured interface and IS in a
DITA/Structured environment.

If I open the files on their own, they're fine. If I import them into the
unstructured document, the links go bye-bye and I can't regenerate them.

I'm beyond frustrated. Any clues would be appreciated.

Re: Mixed Structured / Unstructured and xrefs

2014-10-30 Thread Lin Sims
Yep, the file I'm importing to has no structure. I'm going to try adding it
and then importing again.

As to why, the highly condensed Readers Digest version is that the company
was moving to DITA using Frame, DITA-FMx, and a CCMS called Vasont. Then we
got bought. My engineers wanted to be able to edit the files while I was on
vacation, amongst other things, so someone higher up in the chain of
command demanded we pull the files out of structured and into unstructured,
which is where they are. The last time I had to do this, I jerked the XML
file with the cross-references out.

The spreadsheets, however, are still being converted into XML files because
it's a perl script which can write XML just fine but knows nothing of FM
binary or even MIF.

On Thu, Oct 30, 2014 at 5:29 PM, Scott Prentice s...@leximation.com wrote:

  Lin...

It's likely breaking because the cross-refs are linking to elements in
the original files, then when you paste into an unstructured file, there
are no elements to link to. You'd need to run some process before pasting
into the unstructured file which iterates over all cross-refs and relinks
them to paras or markers instead of elements.

I know you said not to ask .. but I'm not sure why you're converting the
structured files into unstructured files. It's OK to have a book that
contains both types of files (may not be a best practice but should
work). As long as you're dealing with FM binary files, not XML files, you
can mix and match as needed. Have you tried just adding the structured
files to the book? You will need to enable the structured interface in FM
in order to do this, but that should not have any adverse effect on your
files. It's perfectly fine to edit unstructured files in the structured
 interface.

 Hope that helps.

Re: Fameusers: Mixed Structured / Unstructured and xrefs

2014-11-03 Thread Lin Sims
Orly,

Chip registers are EXACTLY what those structured files are.

This is my first go around with using a mixed environment. What I've wound
up doing is keeping the structured generated files separate instead of
trying to copy them into the unstructured chapter file, and setting
numbering to Use Same Number as Previous Chapter. It messes the white
spaces up somewhat, but the xrefs work properly. Just as well, too, since
the designers use the same addresses for the different blocks and trying to
keep it in structured means that some of the xrefs won't work if they're
combined into the same file. shudder

On Mon, Nov 3, 2014 at 1:25 AM, Orly Zimmerman or...@marvell.com wrote:

Auto cross ref’s work as they should – assuming they have the right
 elements to refer to.

The files exist together fine in the structured environment. I had to
tweak the headers on the Master pages to get the TOC right, but that works
 ok too.

If you already have the files in structured FM with all the links working,
I don’t see why you can’t have them co-exist with the unstructured files in
FM. The engineers can get used to structured FM. Maybe create a small
 training session for them.

2014-12-08 Thread Lin Sims
OK, that was about what I thought.

The short answer is, you can't do it with a RunningH/F, as it only picks up
the information in the CURRENT file.

If you want to bring the Chapter title over from a previous file, you'll
have to edit the master page to use a cross-reference back to the file with
the title in it (and set the link color to black so it doesn't look like a
link). Then you have to remember that this will need to be redone every
time you import page layouts to those files.

 Nothing complicated about it:

I don't think the issue is the composition of the variable...it works fine
when the page has a paragraph tag Chapter Title. The issue is when the
para text doesn't appear in the FM file, but does in a previous file that I
 want to carry forward.

Re: Question for the Group: Create a Conditionalized or Hierarchical Book

2014-12-17 Thread Lin Sims
Hi Tony,

Pretty much what Laura said.

I maintain multiple guides that can have different chapters depending on
whether the information is for one customer or another. I have what I call
a master book file that contains all the files (this has to do with our
CMS and locating stuff, you may not need it), including the separate book
files for each version of the book. Chapters in common between books may
have conditional text or variables to further customize. Each book has a
separate document information file that records the chapters contained in
the book, the variables used and their values, and the condition set up for
producing a final. When I want to create a specific book, I open the master
book file, open the specific book file, open all the files in the book,
open the document information file, import conditional text settings and
variables from the document information file into all the book files, and
generate.

Good luck.

I currently need to create a new non-structured book in Frame 12 that will
have one of three possible outputs (to .pdf). I’m looking for advice on
the best way to create and maintain the project.

To simplify the problem: previously we had the Product A user manual and
the Product B user manual – maintained and distributed separately. These
manuals are each at about 15 chapters and 800+ pages each, with little or
 no overlapping content.

Now, my company has merged the two products into an optional third
product, so that we have three possible product permutations (and manuals):
Product A, Product B and now the new Product C (which consists of all of
 the components/chapters from both A+B).

So my question is: what is the best way to merge the two document sets so
that I can publish Manual A, Manual B or Manual C (A+B), depending on the
 customer.

Should I conditionalize all the chapters under one book – so that I would
only display and publish the appropriate chapters based on the customer —
e.g. publish chapters set to Condition A, Condition B, or both conditions
for Product C? Or should I use the hierarchical book structure and then
add/delete the subordinate book depending on the customer release?

I have no experience with hierarchical books so I’m not sure what the
 benefits or drawbacks are.

I could also simply add/delete the appropriate A/B chapters from the
master book manually – but with 30+ chapters, this seems like it could be
prone to mistakes in publishing the correct content.

Any suggestions will be much appreciated.

 Thanks,

 ~Tony

Acrobat X: Manually sending a Shared Review

2015-01-26 Thread Lin Sims
Acrobat X doesn't support using a web-based email for sending Shared Review
invitations. It does let you manually send invitations, but I've not been
able to find actual instructions for how to do that. The situation is
complicated by the fact that I am using WebDAV and a cloud storage service
for collecting the review comments.

I'm assuming that what you do is attach the review file to an email and
send it on with whatever information is required, but you know what they
say about assumptions. I'm also wondering what, if anything, will happen if
a reviewer tried to open the folder Acrobat creates for storing comments on
the cloud server.

NOT a How Do I. Query re conditionaling table columns

2015-02-02 Thread Lin Sims
Playing with Frame12's (yes, we FINALLY got to upgrade) new conditional tag
interface, and something occurred to me that has before but I never got
around to asking.

WHY can't Frame apply conditional tags to table columns? It's not a feature
I particularly need (although there's been a time or two it would have come
in right handy), but I've been curious about this for a while. I'm guessing
it has something to do with the original internal structure, so I'm hoping
those who have been long time users might have some insight.

I don't need an answer fast. :) Technically, I don't need an answer at all,
but I'm still curious.

Re: NOT a How Do I. Query re conditionaling table columns

2015-02-06 Thread Lin Sims
The problem is that if you have a LOT of rows, it won't work.

On Fri, Feb 6, 2015 at 10:15 AM, David Artman da...@davidartman.com wrote:

While we're talking underlying theory/structure: I suspect many tables in
which one wants to conditionalize a column could be refactored so that the
columns were instead rows, which are conditionable.

 Thoughts?

Yes, theoretically, if you didn't have spanned cells, you could
hide/show the cells that make up a column, but since there is no column
object, there's no place to assign that data. You can conditionalize rows,
but cells are a bit of a different beast.

It would be possible to make a plugin or script that would assign a
condition to the content of all cells in a column, but you'd have to
actually delete the cells that make up that column to hide it.

The closest thing to a column object that you could assign a property to
for this purpose would be the colspec element in DITA. But in looking,
that doesn't allow the outputclass attribute (or other likely attributes)
where you'd assign a value that you could check for during some publishing
 process to hide/delete that column.

If I were to want to do this, I'd probably set a marker in the column
header to indicate a hide/show property, then set up some sort of process
 during publishing.

Re: FM12: PDF file size exploding

2015-02-17 Thread Lin Sims
The PDF has to be posted as a shared review on a cloud web storage site.
There's a size limit to what you can upload. My company is using corporate
GMAIL and I have a 30Gb limit on storage, and for now I have to attach a
shared review enabled PDF to an email to allow reviewers to join the
review*. Admittedly, this one file isn't going to break either of those
limits, but it's not something I can keep doing for a long period of time.
Plus the sudden increase in size worries me. If there's a problem with the
files, I need to find it before things get hosed (and yes, I did run all
the files through a MIF wash).

*I will be testing setting up a shared review by storing the shared review
PDF on the cloud drive and sending a link instead, but until I do, I know
this works.

storage space. Unless you know your documents are going to be posted on a

broadband access, spending more than a few seconds worrying about 10 MB in

Re: FM12: PDF file size exploding

2015-02-17 Thread Lin Sims
Ah! More information I left out!

The book is an unstructured book, but it includes 3 files that were created
from structured data. Those 3 files are still structured, because that's
the only way to keep the xref links working.

The process is this:

   1. An Excel 2010 spreadsheet is converted to multiple .xml files by
using a script, which inserts the correct DITA tags and also creates a
   .ditamap for them.
   2. The ditamap is converted into a Frame book using DITAFMx, which gives
me a book file with a TOC and a single .xml.fm file.
   3. The .xml.fm file is added to an unstructured Frame book but is left
   as a structured file.
   4. The book is updated/generated and then a PDF is generated using Save
   As PDF.

As I said, when I was working in FM10, the PDF had a size of about 3, 3.5M.

The files were recently converted from FM10 to FM12. When I use the above
process and generate the PDF from FM12, the file size has gone to about
12-13M. The files that had been converted from .xml to .fm have not changed
since the last time I created the PDF in FM10. The rest of the files have
changed but not in a major way.

In a few days I expect to regenerate those .xml files from the source
Excel, so maybe something will change. It just seemed weird that the move
from FM10 to FM12 seemed to result in such a large increase in the PDF size.

I'll keep y'all posted.

On Tue, Feb 17, 2015 at 1:57 PM, Scott Prentice s...@leximation.com wrote:

If these files started off as XML or structured files, and the others
didn't, there could definitely be some extra cruft in there. You probably
checked this already, but are these files still structured?

I haven't noticed any significant size difference in PDFs from XML from
FM11 to FM12. I just did a quick test of a single page .. when saved to PDF
 from FM11 it's 63KB and from FM12 it's 69 KB .. over 100 pages that might
be a difference of 60KB. Not a big difference from my perspective.

Doing a similar test with an unstructured file, the FM11 PDF is 34 KB and
 the FM12 PDF is 40KB.

The structured/XML sourced file actually has less content than the
unstructured file, and the resulting PDF is larger .. so it's possible that
your PDFs that come from XML may be larger. And there does seem to be an
increase in size (from both structured and unstructured) in PDFs from FM11
 to FM12.

You might check to see if your files are still structured .. removing the
structure (if that's the intent) might reduce the file size. Also, since
these files came through a different path, they may have additional
content/graphics/?? on reference pages which could increase the file size.

 Cheers,
 ...scott

I've got a book that's gone from under 3M to over 12M, and that's AFTER

Anyone remember either the thread or the fix?

Re: Acrobat X: Manually sending a Shared Review

Hi all,

I worked with Box a lot yesterday (that's the cloud-based storage I
mentioned), and with some experimentation and testing aid from two of the
designers I support, I figured out how to do Shared Reviews with Box as a
WebDAV server.

I have to say, I was almost unreasonably excited when we got it to work.

I'm trying to generalize what we worked out so I can update this thread
with the solution if anyone is interested, but that may take a few days.

Thanks to all who supplied suggestions and information. This list rocks.

 Hi Fred,

I was also thinking of the fact that Acrobat will use a PDF file with some
modifications, like the comment function readied for Adobe Reader, not the
 original file.
(This is a useful service and you would have to keep this in mind if your
 doing it without Acrobat.)

But you are right, of course it is possible to share the file and start a
review-cycle the old-fashioned way, only -- probably -- this will not be so
 effortless.
To me, the server-based workflow seems to be better suited for a quick and
efficient review than the email-based workflow.

Best regards - Tino H. Haida, Berlin

 Fred Ridder:

  I don't think that's entirely true, Tino.
You can still do a email-based PDF review with an unsupported mail system,
but it's not automatic and it probably won't be integrated back to the
FrameMaker source (I don't know about this last because I've never tried
 it).
The process involves exporting the comments from the PDF that each
reviewer sends and then importing those comments into the master review
PDF. Look in the Options menu for the Comments List section of the Comments
tool palette (or whatevertheheck Adobe calls it...) for the Export All as
Data File and Import Data File commands.
Not ideal, but it works, particularly if you keep the master file up to
date and in a shared location, and all the reviewers are good about
grabbing the latest copy of the master file before starting to add their
 own comments.

 Hi Lin,
if Acrobat does not recognize the email client (like when a web-based
email is used), you cannot send the file specially prepared for the review,
which means that you cannot use the email review process at all (as far as
 I understand it).
You would not be able to store your PDF file in the specific format that
is necessary for the workflow; e.g. to collect all comments in one final
version at the end of one review cycle, Acrobat has to recognize the files
as original or commented versions of one review process. (...I guess.)
There are two other options for a workflow which is not email-based but
 server-based:
 1) A server-path is available for all reviewers (could be WebDAV)
 2) acrobat.com could be used as a server (Adobe ID required for setup)
In both cases the reviewers would either work with the server copy, or
work with local copies, where each comment is automatically transfered to
the server copy. This way, all comments are visible immediately for all
reviewers and can also be answered, which can be very useful (connection to
server-path/internet must be available to publish the comments). This
way, the comments do not have to be re-imported into the original version
from all the different commented files.
Best regards - Tino H. Haida. Berlin

 Lin Sims:

Acrobat X doesn't support using a web-based email for sending Shared
Review invitations. It does let you manually send invitations, but I've not
been able to find actual instructions for how to do that. The situation is
complicated by the fact that I am using WebDAV and a cloud storage service
 for collecting the review comments.

I'm assuming that what you do is attach the review file to an email

My coworker has a graphic that is somewhat wider than a single column plus
the gutter. She needs the text in the 2nd column of the page to runaround
the graphic, which is in an anchored frame in accordance with our

My recollection is that you can't have both an anchored frame and text

not wrong, I'll tell them they can either have the anchored frame and
obscured text, or a plain old graphic frame that they may have to adjust

PDF files imported by reference. Just curious as to whether others are

Re: Looking for an easier way to convert FM12 files to MIF12

2015-03-06 Thread Lin Sims
Frame has a number of sample scripts it ships with. If you install the one
for MIF washing, it will save all the files in the book.
This is a book-level utility, and you'll find it up in the toolbar under
Book Utilities once you've installed it (and you have the book open and in
focus).

On Fri, Mar 6, 2015 at 1:43 PM, tom.beiswen...@emhartglass.com wrote:

I know there must be an easier way to do this. We have a translation
agency that doesn't want to spring for FM12 upgrades to be compatible with
the FM12 docs that we create. For what we pay them every year... (but
that's another story). Instead, they want us to convert everything to MIF
(MIF12 seems to work for them).

This isn't a really big deal, but it would seem like there must be an
easier way to save the FM12 files as MIF12 files without having to open
each file and save it individually.

 Suggestions, please.

 Syed,

Are these brand new files created by FM12, or are these files you
converted from an earlier version? I ask because I've discovered that (at
least for me) the text-searchable SVG graphic bug, which is listed as fixed
for FM12, is only fixed if you're talking about new documents. None of the
documents I have that were converted from FM10 to FM12 will produce PDFs
with text-searchable SVG graphics. All of the documents that are created in
FM12 produce PDFs with searchable SVG graphics.

So far I've determined that MIF-washing doesn't fix this, that you can't
simply import the contents of the FM10 file into the FM12 file, and that
you can't copy paste using the Frame Interchange Format. Copy pasting
as Unicode text does work, but of course you then have to reapply all your
formatting tags and recreate all your xrefs and conditionaled content.
Oddly, you can copy and paste the tables in without causing an issue.

Note that my company's workflow is to use unstructured FM with embedded
graphics; I do not know if this applies to structured FM or XML files or
 referenced graphics.

that the SVG graphics are searchable again. Or so they say, I haven't

Re: Automatic column widths on import of XML file

2015-02-23 Thread Lin Sims
We've an internal perl script that sets up tables at a predefined table
width with the columns at predefined widths, but I'm pretty sure those
measurements are hard-coded into the script that creates the XML file from
the Excel spreadsheet. It's doable if you know what sizes you're working
with before you get started, including how many columns you need included.

XML might let you set column widths as a percentage of page/screen width,
but I don't think that's directly transferable to FM. Can perl handle
calculations?

but I don’t see the solution that I’m looking for. My manager (a software
development guy) would like to create an XML file that I can import into
FrameMaker that doesn’t specify the width of each column. He’s taking
output from Jira, and people can create tables in the Description field
there, but he has no way of knowing how wide the columns are. He figures
that if HTML can automatically size the columns to suit the contents,
surely FrameMaker can do this too (I’m not so sure).

I’ve tried it myself, and the column widths in the table template apply
when you don’t specify widths in XML. If you have more columns than are in
your template, it seems to use the width of the last templated column. And
the tables might contain graphics as well as text.

 Anyone have any better ideas?

I’m using FrameMaker 10 on Windows 7. I think my manager is using Perl or
some other scripting language. Jira outputs HTML as well as some other text
 format.

Re: Frame vs. Flare for My Needs

2015-02-25 Thread Lin Sims
As I recall, Mif2Go should output pretty darn spiffy Word documents,
although you may have to fiddle with it a bit to get what you want.

Acrobat 10 (I think) and later will save PDFs to Word format, although
everything will be in modified Normal (no style-name information is carried
through, but the document WILL look the same as it does in PDF). Depending
on what they want to do, that might be sufficient.

Are the customers going to sign something legally binding that says, we
edited it, so any mistakes are our responsibility?

On Wed, Feb 25, 2015 at 3:21 PM, Kevin Ryan
kevin.r...@systemsandsoftware.net wrote:

  Hi,

I could use the advice of some Frame veterans on whether a switch from
Frame to Flare might be a delusion-inspired wrong turn for me, or possibly
 the right way to go.

My company's primary documentation output is PDF user/training/reference
guides authored on FrameMaker 7. Not the current Frame version, I know, but
sufficient with our good templates to produce solid, professional-looking
documents we're proud of. Other current deliverables include
context-sensitive HTML topics produced via Mif2go and a limited number of
Process Assistance MS Word topics. These latter are a sort of MS-Word
help equivalent that our customers can download from our application, edit
if necessary, and even upload back into our application for others if they
want to. I create Process Assistance MS-Word topics by cutting from Frame
and pasting into Word, followed by manual reformatting (ouch).

Our customers (utilities) have been requesting another MS Word output:
Editable MS Word versions of our 20-300 page PDF manuals so that they can
edit them for their own purposes (such as internal training).
Unfortunately, we've been unable to find a workable Frame-to-Word
conversion process to this end. I can do manual reformatting to Word in
our short Process Assistance topics, but to do it on entire manuals would
 give me a nervous breakdown.

So, with better MS-Word output generation as my primary goal, I've been
considering a switch to Flare. Its capability to output in PDF, Word, and
HTML seems as though it might ultimately streamline our processes. As I
test Flare by my 30-day trial, though, I'm reminded of the many things
FrameMaker does really well — things I might be losing if I made the
switch: For example, precise page layouts, complex graphics, robust
tables. To its credit, Flare seems to offer output versatility, excellent
documentation and support, and a lot of Marketing momentum.

Am I misguiding myself? Barking up the wrong tree?

Thanks for any opinions or comments.

Acrobat: Need to delete Shared Review profile

2015-02-25 Thread Lin Sims
You know how, when you set up a shared review and specify that you want to
use your own server to collect comments, it let's you save all your choices
to a named profile?

I've got a few obsolete ones, but I can't find anyway to delete them. I
really need to, as having them is a trifle confusing.

IS there a way? I've searched Acrobat help and used Google, but I can't
find anything that addresses this. Which means I'm either using the wrong
terms, or it isn't possible without a reinstall, which would be just UGLY.

Thanks,

Equation Palette: What are all the buttons?

2015-03-23 Thread Lin Sims
I've used the Equation editor a fair bit to create equations (not for
evaluation), but there are buttons there I can't figure out that I suspect
might be useful if I just knew what they were.

However, even the help files don't have anything that says this button
does this/has this effect. I'm snooping through the install directory and
using google, but if anyone has pointers to documentation for it, I'd
appreciate the shortcut.

Re: removing space at the end of line

2015-03-23 Thread Lin Sims
THAT is useful, and I'm going to put it in my how-to file immediately.

Thanks to you and Rick. I learn a lot on this list.

Thanks to Rick Quatro's excellent webinar on regular expression search and

in FM 12 to remove a space occurring at the end of a line right before the
end of paragraph marker. I've been using for it for awhile. I'm sure others
have constructed something similar, but for those of you who don't want to
 mess around and experiment:

 Find: (?=.) (?=\x0a)

Replace with nothing. Of course, the Regular Expressions option has to be
 checked in the Find/Replace dialog.

Earlier versions of FrameMaker would allow you to replace a space followed
by an end of paragraph, but you had to replace with the paragraph marker.
That would result in your paragraph being formatted with the tag of the
following paragraph which was often not what you wanted.

Hope this is useful to someone out there. I find that Word conversions
often suffer from these extra spaces.

 Thank you.

Re: Equation Palette: What are all the buttons?

2015-03-23 Thread Lin Sims
Thanks, but I've already read that. Let me give you an example of what I'm
looking for.

On the Operators tab, there are three different buttons showing a large ?
with a smaller one up and to the right. At least one of these is a
superscript and one is an exponent. I've no idea what the third one is, and
I don't know which button is which. I'd like to.

So what I essentially am hoping for is something like a graphic that labels
each button with a number (so I know which one is being referred to in case
of buttons that look a LOT alike) and a callout table defining each one.
There's nothing like it in the FrameMaker Help file. I could swear that
years ago there was a separate book dealing with the equation editor, but
damned if I can find it.

Re: Book Save-As PDF w/ multiple page sizes - Follow-Up

2015-06-08 Thread Lin Sims
Hey Charles,

What we do here if we have odd-sized or even just rotated pages is put them
in separate files from the regular pages. So a single chapter can actually
consist of multiple files, in order, for each change in size or
orientation. All you have to do is make sure that the numbering is set to
Use same chapter number as previous file, and Save As PDF works fine. You
might be able to get the same effect by turning them into a section, but I
haven't used that so I can't really say.

Of course, setting up in multiple files can be a small nuisance. On the
other hand, you don't have to worry about reapplying master pages if the
amount of information you have changes.

On Mon, Jun 8, 2015 at 4:58 PM, Charles Richardson c...@matrixpress.com
wrote:

There have been several responses to my original post. Here is my
 take-away summary:

As I stated in the original post, Save-As PDF works perfectly for me as
long as all pages are same size. Books with dozens of bookmarks and
thousands of links come out just fine. BTW, I am using MicroType
 TimeSavers to manage special bookmarks.

Like David Artman, who responded that he would never use Save-As PDF, I
too avoided it entirely until very recently when Shlomo Perets encouraged
me to use it in response to another post. My prior reluctance went back to
Dov Isaacs’ posts several FM releases ago when, as an Adobe respondent, he
said that the Save-As function had significant issues. I tested the
suggestion from Craig Ede (put a tabloid page first) with the result that
all pages in the PDF were tabloid. Fred Ridder suggested making changes in
the print window via a possible selection that detected page size
automatically. This is, in fact, the result I get by default if I do a
print to .ps, i.e., the PDF virtual printer or Distiller DOES detect page
size automatically. That is the process I’ve been using from the
beginning. I don’t know how to make this happen with the Save-As method,
which is why I posted today.

Only a few of the 30-some print books I use to publish an 8,000 page
document have tabloid pages. Barring some further response that provides a
workable methodology, I will continue to publish those books that have
mixed-size pages in the traditional print to .ps + Distiller as I had been
 doing exclusively until quite recently.

Why continue to use the Save-As method? Why not just keep the process
I’ve always had? Well, for one thing, when I have to produce the entire
document (over 30 books), it is much faster and simpler to use the Save-As
 PDF.

As always, thanks to those who have responded. If I discover a solution
to the original issue, I will post an update.

Unable to find answer in FM docs. How does one configure FM to do Save-As
PDF with the correct output page sizes (e.g., book with mixed
letter/tabloid pages) in PDF? This is not a problem if a book print setup
is set to tabloid and printed to .ps then distilled; the output reflects
the original page sizes. With Save-As, if the page size is set to tabloid,
all the pages in the output will be tabloid. I can get only one size or
 the other.

Re: Purchase question

2015-06-19 Thread Lin Sims
You can still buy it at Adobe, they just make it hard to find.

https://www.adobe.com/products/catalog/software._sl_id-contentfilter_sl_catalog_sl_software_sl_allsoftware.html?start=50

Keep clicking next at the bottom until you see FrameMaker (for me it was
page 5), then click Buy. The full version (FrameMaker 2015) is $999.00.
There's no option to buy earlier versions.

If you need other Adobe products, you might look into the Technical
Communications suite (for me, that was page 6), which runs $1,199 as an
upgrade for you (yes, you can get it at the upgrade price). That includes
Frame, RoboHelp, Captivate, Acrobat Pro DC, and Presenter.

Good luck,

7.2, which I still use, crashes increasingly often (for example just using
the mouse to select text that includes a table invariably causes a crash).
That’s not sustainable so I need to upgrade. For the most recent version
all I saw on Adobe’s page is a software-for-rent solution, which is not
acceptable. Could someone please recommend a version that is the most
recent possible, is available for purchase, works reliably on recent
versions of Windows (Windows 8.1, soon Windows 10), will take older *.fm

Re: FM12 Crashes on File Open - Need Answer FAST

2015-06-19 Thread Lin Sims
The weird thing? If I open the SAME FILE from my local hard drive in FM12,
it's happy as a clam. The only time it crashes is if I open it from the
server, and it's not that big a file (40 pages).

I've deleted the problem graphic (an SVG generated by Visio 2013) and
recreated a new SVG from Visio. Importing it and resaving as FM12 seems to
have fixed the issue.

Re: FM12 Crashes on File Open - Need Answer FAST

2015-06-22 Thread Lin Sims
Hi Stephen,

As I said in an earlier email, I tracked the issue down to a specific
graphic. This was an embedded SVG that had been created by an older version
of Visio, which sometimes did not perform clean conversions. Opening the
source in Visio 2013 and reexporting to SVG, then replacing the bad graphic
with the new SVG, solved the issue.

Re: How to clean up unwanted conditionals in book

2015-06-24 Thread Lin Sims
They're stored in the book file, not the individual files. There are two
ways to get rid of them as long as you've already removed them from the
chapter files.

   1. Create a new book file and add the chapter files to it.
   - You'll also have to create a new TOC and reset up any File Properties
  for the book.
  - You may or may not need to fix xrefs; it's been a while since I've
used this method so I don't remember.
   2. Save the book file as MIF.
   1. Open the MIF file in a text editor and remove the unwanted conditions
  from the condition catalog.
  2. Save as a text file
  3. Reopen the MIF in FM, and save as a regular Frame book file.

I generally use the second method as I find it much less painful.

Filter error message?

2009-04-15 Thread Lin Sims
I'm getting the following error message when opening files that have
been moved from one directory to another.

"At least one original filter used for graphics imported by reference
is not available, or the imported file's format has changed. An
alternative filter may be used if the file is recognized as a graphic
Framemaker can import."

Note that relative image location has changed as a result of the move.
However, I relinked all the images I wanted to retain and told FM to
skip the ones that I knew were likely to be replaced. FM shows them as
grey boxes right now.

Any ideas on what might be causing this? It doesn't seem to have any
effect on the files, so knowing is not critical, but I am curious.

Perts:

Windows XP, SP3
FM 8.0277
Dell Inspiron, Intel Quadcore Q6600 @ 2.40GHz
3.25GB of RAM

Thanks.

What helped me when I had more complicated numbering strings was to
set up a spreadsheet. The first column contains the tags that need to
be included in the numbering series. The first row contained a
description of what the number was for. You plug the numbering blocks
into the cells, and it's pretty easy to track when a reset needs to
occur and the like.

Remember when using a numbering string to provide it with a series tag
(e.g., "H:" for headings) and to have the same number of blocks in
each tag's string.

That is, if your Heading1 is "1." and Heading2 is "1.1" and resets
after each Heading1, then BOTH tags should contain 2 blocks. For
example:

Heading1 numbering string is
