I can verify this behavior. on FM7, fully patched, Win2K. My books are generally 15+ files. It has been a very costly bug for me. Now that I expect it to happen, I check the order of the files in FM before generating my final PDF to ensure that neither I nor my client has any nasty surprises. Frame 8's Track Changes feature and other reasons to upgrade
I am considering upgrading to Frame 8 primarily because of its Track Changes feature. Can someone tell me if change bars can be made to automatically display anywhere text has been added or struck out? Also, I still use Win2000 as my production OS. Will Frame 8 behave well? And finally, have most of the major bugs in Frame 8 been fixed? If not, what are the ones that you feel are still the biggest problems? Thanks for your always invaluable information! searching for a section symbol
In a table cell with View-Text Symbols turned on, how do I search for a blank space following the last alpha-numeric character and preceding the section symbol? I know the keyboard strokes to search for the tab symbol, forced return symbol, end-of-paragraph symbol, etc., but none of my quick-reference guides define the section symbol. Thanks! Stuart, Dick, and all, When I search for text using the backslash-f term with Wildcards turned on, I receive a message that The item you are searching for requires text in the Find text box. When I precede the backslash-f term with a space, then I find every space in the entire doc--not just the ones at the end of table cells. The same result occurs if I use the string [0-9] \f or [a-z] \f I'm using Frame 7 on a Win2K system. Someone indicated having the same problem on an XP system as well. So searching for an end of table cell symbol may indeed not be possible. To the others who replied (thank you!), I wasn't looking for an end of paragraph symbol (\p) or a typographic section symbol (Alt-0167), or a forced-return symbol (\r). Frame-to-PDF mini-docs
Using Frame 7.0, AcrobatPro 7.0, Mif2Go. I have books consisting of chapters that contain several thousand individual documents. Each doc begins consistently with a paratag for the doc title so it is easy to define where a new doc starts. I've been asked to output individual PDFs of each document. I'll probably need to do this once every couple of years. The hard way would be to take the whole-book PDF and manually extract each document to an individual file. Is there an easier way? Because I use two other ARTS plugins for PDFs, I have confidence in the company, so that is probably a good solution. Can Word identify graphic file names?
I've been given a CD with over 1500 graphic files of all formats on it. These graphics are used in a MSWord-formatted manual that I need to convert to FrameMaker. Unlike FrameMaker, which can easily generate a list of external files used and will also display the filename of each referenced graphic, to my knowledge there is no way to determine the filename of any graphic used in a Word doc. I can easily generate a thumbnail catalog of the graphic files on the CD using Photoshop so that I can visually locate each photo in the manual. But geez I so seriously do not want to have to do that. Does anyone know a workaround in Word that will help me identify all of these graphic files? A macro? Thanks to the folks who suggested that I convert the Word docs to HTML to obtain the filenames for the graphics. If I remember, that was a trick useful when the original graphics are not available because saving to HTML causes Word to convert the graphics to gifs and jpgs. But in doing so, the HTML then references the converted file's filename, not the filename of the graphic actually used in the Word doc. Having gifs and jpgs of the graphics doesn't help me much because I need to be able to use the .eps and .tif files given to me on the CD. Is there something I should be doing to force Word to save the filename of the graphics? It doesn't seem to matter if I copy and paste a graphic or insert it by navigating to the file (sorta equivalent to Frame's importing by reference)--Word 2000 and Word 2003 still convert the file when saving as HTML. PDF bookmarks don't show em dashes and quotation marks
Framers, I've searched the archives and Adobe's Knowledgebase, and asked Dov, Schlomo, and Rick Q and am now querying your collective wisdom before I file a bug report or spend a half-day trying to talk to Adobe support overseas: (all programs are part of TCS installed on a Win7 OS; all files are printed to Adobe PDF postscript printer driver and distilled) FrameMaker v9.0p250 AcrobatProExtended v9.2.0 Adobe Distiller Pro Extended v9.2.0124 Bookmarks of document titles created in Frame9 containing em dashes, quotation marks, degree symbols, etc., fail to display the correct characters. Bookmarks of docs created in Frame7 do not have this problem. Paragraph Designer freezes
Frame 9.0p250 on Win7 64-bit with 12 whopping GB of RAM Is anyone besides me experiencing a total freeze on the paragraph designer (e.g., can't move from one property icon to another property icon; can't apply; can't update all, etc.). This just started happening a couple of weeks ago. It is resolved by closing down Frame and restarting the program. Within a few minutes, the problem returns. Hi Shlomo, So far, five people has responded to my email indicating that they, too, experience this problem with some regularity. Neither they nor I have been able to identify any specific sequence that triggers the freeze. However, yours is the first information I've received that suggests a workaround. Like you, I know for sure that it freezes when I'm adjusting tab stops with the ruler. I will pay attention to what set of properties is displayed when the freeze happens. If I can avoid a freeze by keeping Basic properties on top, that would be very helpful. Thanks for the suggestion, Shlomo. Can you identify any specific sequence that leads to this freeze? With the latest patch for FM9 (9.0p250), I consistently have this problem when adjusting tab stops or indents using the ruler, with the paragraph designer showing any set of properties other than Basic. I usually prefer to set/adjust tabs visually, then Update All (using the paragraph designer or through a keyboard shortcut). Jim, try the font named CombiNumerals Pro at http://new.myfonts.com/fonts/fontsite/combi-numerals-pro/ But it won't necessarily work in an autonumbered paratag. The circled numbers are created by key combinations. You would need to manually number the steps using the font. Keyboard shortcuts to pod elements
I use a programmable keyboard to whiz through repetitive tasks (some of you may use a macro recorder to accomplish the same thing). Prior to the new Pod interface in Frame 9, I had no trouble using keystrokes to navigate to specific fields in a window. Frame made this easy by assigning Alt-code shortcuts. The new pod interface leaves me frustrated and helpless. For example, in the Cross-reference Pod, I can find no way to navigate to the Paragraph Tag or Paragraph Number field so that I can select something from either list. The only fields that have Alt-code shortcuts are Document, Go to Source, Format, Edit Format, and Convert to Text. Do any of you who routinely work deep in Frame's bowels know if there is a list of field-specific keyboard shortcuts? (Note that I am not asking about ESC-sequence shortcuts as were recently discussed on this list.) I hate this loss in functionality by upgrading to a newer product. Carol ** Carol J. Framemaker desktop to Framemaker Server, Adobe Content Server, Sharepoint, and Sitecore
Fellow Framers, Background: I'm an independent business owner who manages the publication and maintenance of large suites of documentation for clients using unstructured Framemaker and Acrobat via Adobe TechComm Suite loaded on a Windows7 desktop. {whew!} All files are stored on my own local computers, and I have well-developed workflow, backup, and version control systems in place. One particular long-time client produces standards and specifications that regulate a branch of the transportation industry. The documents are developed at a committee level and given to me in whatever format they are most comfortable using for knowledge transfer; usually Word or PDF markup. I have never seen a need for this client to consider an XML output, and my client would probably resist the recommendation if I made it. My product is PDF files. Problem: This client needs to develop a more robust ecommerce solution for their documents. Currently the docs are distributed via hardcopy or as PDFs via CD and subscription download. This client's parent company has enlisted the services of a Web development company who is recommending that my client employ some combination of Framemaker Server, Adobe Content Server, Sharepoint, and Sitecore. I haven't quite figured out yet what that combination might be because today was the first I've heard about it. The good news is that my client is requiring my presence and input even in the early discussions about this project. I want my input to be valuable and to represent my client's best interests, and I want to be able to help steer them through all of this. Questions: I have done some preliminary digging into Framemaker Server and Adobe Content Server. I have a fair grasp of Sharepoint's capabilities, and zero knowledge about Sitecore. I have minimal experience with Framemaker's structured environment, although I've taken several workshops. I'd like to hear from any of you whose Framemaker documentation cycle involves any combination of these products. Did that involvement require a transition from a desktop environment to a server environment? How has it changed your workflow? As an independent business, what changes did you need to make to your own office computing set-up? How did Framemaker behave? What is the relationship of these products to one another and to Framemaker? What were the benefits? What were the consequences? These may not be the right questions to ask, but I was a bit broad-sided by the Web development company's sudden discussion of these tools, and I know that this group of Framers can be gentle with folks who haven't learned enough yet to ask intelligent questions. On-Demand Watermarks in PDF
One of my clients would like the PDFs that I generate from Frame to NOT display a watermark when viewed but to PRINT with a watermark intact. Does anyone know of an application or whatever that can provide this functionality? I already use ARTS PDF Stamper to apply watermarks, but that is not what this question is about. I think this would have to be an add-on of some kind to Acrobat or a server-based program. I've also posted this question to Planet PDF; if you can recommend a better resource, please let me know. Sharepoint links in a Frame doc
Thanks to everyone for pointing out Acrobat's watermark feature. I think it will be perfect for applying a watermark that can't be viewed until the document is printed. The same client wanting the watermark wants his PDF documents to contain Sharepoint links to other docs (tiffs, Word docs, etc.) I told him that I THOUGHT I could create hypertext links in Frame (to avoid post-production re-work on the PDF) as long as I had the full path statement to the target document. I don't have any experience with Sharepoint. Do you know if my linking strategy will work or if there is a better way to do it? Ah, see that's why I asked. I don't know anything about Sharepoint, so I didn't know those were required. If a person is already logged in, do they still need to provide that information? My client planned to make the links via Acrobat, so I suspect that if he can link from Acrobat, I can link from Framemaker, providing I have a full path statement. Is that what you do? Revision marks (bars)
I create a character tag that I routinely label zz:change_bar. I'll explain why later. The character tag sets everything AS IS except I enable the change bars option. Select each word or paragraph that you want to be marked with change bars and apply the character tag. When you are ready to remove the change bars, search for the character tag entitled zz:change_bar to find all instances and select the Default Font option in the Character catalog to remove the tag. To ensure that you have removed all the zz: tags, select FormatDocumentChange BarsClear All Change Bars. This is important because often the zz: tag will remain on any paragraph that contains an override. Framers, I'm teaching myself InDesign CS5, and as of version CS4, Adobe no longer provides a folder of sample templates. When I taught myself Framemaker 200 years ago, I found their well-designed templates to be an excellent point of reference and helped me make better decisions about the set-up of my personally designed templates. Follow-up: Well, the reason I couldn't find anyplace on the entire Internet that had a copy of the old InDesign CS4 Template folder is because Adobe wouldn't release it. Bookmarks and zoom level in PDF
I think I should know how to fix this but apparently not. I'm using Acrobat 9 Pro Extended v 9.4.1. Problem: Bookmarks that I've manually created in a PDF have a different zoom than the bookmarks set for the PDF in Framemaker. For example, I may be viewing a page that displays at 100% and then click a bookmark and the resulting page displays as Fit Height. Setting the View-Zoom level for the document doesn't stick when you click a bookmark to a different page. Apparently Acrobat remembers whatever zoom was in effect when the bookmark was created instead of the default zoom level set for the document. What a pain. So now I have a 242-page PDF containing several hundred bookmarks that were created via Framemaker and by manually adding them to the PDF (at various zoom levels because how was I to know?) and the zoom hops about from one setting to another. Seriously irritating. I've tried selecting all of the bookmarks at one time and resetting the zoom level in Properties, but doing that also sets every bookmark to target one single page of your choice, thus defeating the purpose of bookmarks. Is there some setting that I'm missing when creating bookmarks that will apply the same default zoom to each page (so that I don't have to remember to be in the desired zoom when I create the bookmark)? Re: screwy x-ref formatting
I haven't seen a response to this, so I wanted to comment that I have this happen in one particular book as well. But unlike John's experience where his entire xref turns blue, every time I regenerate, I lose the blue character formatting in some, but not all, of the xrefs. But when I close down the book and reopen it, all the xrefs are correctly formatted once again. A sample xref format would be X-refBlueFigure\ $paranumonly on\ page\ $chapnum–$pagenum I can't narrow the problem down to any specific xref format, and I confess that because reopening the book solves the problem, I haven't really pursued a fix. My system has 8 GB of RAM, so resources shouldn't be a problem. Very frustrating. It would be great if anyone can shed some light on this. I'm using Frame9 on Win7, fully patched. installing PDF printer driver
Framers, I can't find an answer in the archives so hope you can help. Via my TechCommSuite 2 license, I've never had a problem installing Acrobat Pro any version on any computer before, and the PDF printer driver always shows up in the list of available printers. This hasn't happened on my new laptop (running Win7), perhaps because I don't have a printer directly connected to it (don't know why that would matter, though). Although Acrobat 9 Pro Extended installed correctly on the laptop, the PDF printer driver isn't in the list of printers. Therefore, I cannot print to the PDF driver and generate a PDF via Distiller. I think I need to manually install the appropriate PPD file, but I appear to be having a senior moment. I don't know which PPD file to install or how to go about doing it. (Did it used to be this complex in earlier Windows versions?) I thought I could look on my desktop computer to see what PPD is in use there, but there are a zillion PPD files there and I can't really determine which one I should be working with. The Win7 Control Panel doesn't show me which driver is in use either. I'm probably making this much harder than it needs to be, and forgive me in advance if I'm not using the correct terminology. Correct. The only printers that are listed in the Control Panel's Printers area are one installed by Snag-It and the Dell printer that my network shares. (The guy who helps manage my network and router installed that Dell printer to the laptop.) Acrobat 9 Pro can't read out loud
I've always been able to use Acrobat's Read Out Loud feature to help me proof complex documents by having Acrobat read the PDF aloud while I read the original to check for discrepancies. Since upgrading to Acrobat 9 Pro Extended version 9.4.6 on Windows 7, I can't get the Read Out Loud feature to work. The document is fully tagged, the sound and speakers are working correctly. After activating the Read Out Loud feature (View-Read Out Loud-Activate Read Out Loud), when I select any of the options (e.g., Read This Page Only or Read to End of Document), Acrobat crashes. It doesn't matter if I'm using a PDF generated from Framemaker or one downloaded from Adobe's site. I've read through Adobe's Help forums and can't find a solution. I'm running Frame 9 on Win7 and have experienced a lot of unreliability in Frame's Find function. I don't use conditional text or text insets, and the text I'm trying to find is not a variable or specially formatted. Frame is just blind to it sometimes. I can position the cursor immediately before the text I'm searching for and Frame says it's not there. There is no consistency or predictability to this behavior. Ah, that does explain my similar experience. I thought it was just me doing something wrong. I'm in FM9 now and have discovered that you do indeed need to select all files in the book and then set the job options. If I remember correctly, in FM8, all you had to do was select the book file. And I think that you need to have ALL of the paragraph tags that you designate as bookmarks defined in that first file. It may be voodoo, but I couldn't get the bookmarks I needed, despite having defined them in the PDF job options, until I had planted all of the appropriate paragraph tags in that first file (the coverpage in this case). how to italicize every instance of certain words
Framers, I'm looking for ideas on how to ensure that certain words and phrases in a document are always italicized whenever they are used. Perhaps someone knows of a script that will do this. If not, I'll ask Rick when he gets back on his feet. Ideally, there would be an external master list of the words to be italicized. When opened, the working file would access the master list of words and make sure that any word in the list is italicized when it appears in the working document. I should be able to add to the master list of words; I'm not concerned about what happens if I delete a word from the master list. Restrictions: I'm not willing to do a search/replace operation every time a working document is revised. And I'm not willing to do anything more than type a word in the working document for it to be recognized as needing italics. Although I have Silicon Prairie's Autotext add-on, I don't think that it does what I need. I have a vague memory of MSWord or some elderly word processor (the only kind I'm familiar with since I'm elderly) having this functionality. Any ideas? Carol ** Carol J. Adding a column to multiple tables
Tammy, if you have Shlomo Peret's enhanced toolbar, one of its tools is to copy a table width to the clipboard. (If I'm mistkane here and is a Frame feature, I apologize. I've copied my .ini file and plug-ins from so many versions of FM I no longer know which tool goes with what plugin.) So if I were you, I'd make one pass through the tables and add a row to each table using a keyboard macro; then I'd make a second pass through the tables, select the right-most column, and paste the width from the clipboard. SOLVED: table sort order
Re the table sort order problem wherein Frame sorts alpha-numeric table data on specific digits rather than the entire number in the string (e.g., M-509, M-5104-, M-512). Pagemaker to FrameMaker conversion
Currently, one of my clients uses a translation vendor (English to Spanish) who authors in PageMaker. They've asked me what it would entail to convert the PageMaker book to FrameMaker and change to a translation vendor who can work in Framemaker. The book in question is 550 pages and is updated twice a year. I have never been involved in any localization project, so I'm pretty naive in this area. I have two main questions for Frame folks: 1. Has anyone successfully converted from PageMaker to FrameMaker and, if so, what were the gotchas? 2. Can anyone recommend a translation vendor who could manage this conversion? Hi Mollye, Thanks for your comments. Unfortunately, my client doesn't know what he wants other than to reduce the twice yearly expense of printing the Spanish version of this book. I maintain this manual in FrameMaker and the gal who maintains the Spanish version works in PageMaker. I think my client needs to consider a new vendor for the Spanish version. Here are a couple of examples of why I think this: She has no experience with graphic formats, so she cuts and pastes graphics (the hardcopy version!) on which she has overlain the translated callouts. She sends these plus her native PageMaker files to the printer and the printer spends hours of table time getting them ready for prepress. I suggested to this gal that she purchase Adobe Acrobat and send the PDF files to the printer. This she did. Now she thinks that Acrobat is her native application and wants to know how to make the changes in the PDF file. sigh I suggested to my client that we might convert the doc to FrameMaker and have a professional manage revisions to the Spanish version. That would, at first glimpse, be a better idea than having my FrameMaker version translated to Spanish. So my query is really just a preliminary first pass at what I might need to consider if I make a recommendation to my client. Structured Frame is not a practical option for this book. I have no idea what the doc looks like in PageMaker. The FrameMaker template is excellent. Assuming that there is good mapping correlation, is there a PageMaker-to-FrameMaker conversion tool that you know of? I've never heard the term translation memory, so I don't know what to do with your comments that used it. Can you explain it a bit more? Thanks! Do they have a strong template and/or EDD? We've worked with many conversions and the gotchas are always, it depends. The best projects are those with high stylesheet integrity on both sides of the conversion (of course, these are few and far between!). I'd consider get them into a structured Frame world, convert PageMaker PDFs to XML and, import the XML to Frame. A good EDD will handle the formatting and the client will have minimal upkeep on future revisions. If they have an existing PageMaker translation memory (full of formatting tags), their translator may be challenged with this change. As we all know, there's more to translations than handing off an input file. This is a strategic decision that carries a significant cost and there are many places the project could go wrong. So, I'd map out every step of the conversion and the translation processing before even discussing the process with the client. There are lots of good conversion resources and many excellent translators. Can Frame's default color definitions be changed?
Does anyone know if it is possible to change the values of one of Framemaker's default color definitions? I'd like to make the Green less florescent by darkening it a bit. But when I select Green in the Color Definitions list and select a darker color, the Change button is dimmed (this only happens for the default colors). So changing any of the default colors from the UI doesn't seem to be an option. Any other way? Carol ** Carol J. Nope, defining my own colors isn't an option in this case. Working in Frame9, I'm importing (not by reference but by creating a copy) an Excel file containing Excel's red strikeout and green colors to distinguish new and deleted text, so all resulting text is formatted as an override to Frame's Body tag. Tagging changed/deleted text in hundreds of pages of table rows isn't an option either, so I can't use a custom color definition. As Rick pointed out, it looks like Frame won't budge on its idea of what green is. Thanks everyone for your help. OT: Adobe's Creative Cloud subscription
Fellow Framers, I know that many of you use other Adobe products in addition to Framemaker and I'd like to know your experience if you are using Adobe's Creative Cloud subscription for them. I will be upgrading from TechCommSuite 2 to TCS4, so the programs that come with TCS4 will be taken care of. However, I also use InDesign, Freehand, and Photoshop. For $50/month to subscribe to the annual plan for Adobe's Creative Cloud, it seems like a bargain to be able to maintain current updates to all three of those products plus a whole slew of others that I don't currently use. Perhaps I'm misunderstanding what they are offering; let me know. And I'm also concerned about gotchas that might make me wish I'd never committed to a year-long plan that covers so many of the tools that my business relies on. What if something goes wrong with one of them? I'll be making my decision about this in the next week or so and would like to hear as many of your stories and experiences as possible. ** Carol J. Can't import Object styles
Framemaker 11.0.1.382 I'm experimenting with the new Object Styles feature. I've determined that I can create a new object style but I can't import it into other files as I can do with paragraph and character styles via File-Import-Formats. Object Styles isn't a listed option, despite what Adobe says on their Help page at http://help.adobe.com/en_US/framemaker/using/WS92ce23f8a8bab2f36a80c197137323b2fd7-7ffc.html Am I doing something wrong? Does anyone know how to do this other than recreating the style manually in every file? And speaking of File-Import-Formats, in Frame 9, by default all formats were selected and you could click the Deselect All button. In Frame 11, even though all formats are selected by default, the available button is Select All (although it does seem dependent on what had been selected when the window was previously used). The only way to deselect all is to click the button twice. Can anyone else reproduce this behavior? Does anyone know how to dock the Object Designer alongside the Paragraph Design and Character Designer pod/panels? It doesn't seem to be dockable. Carol ** Carol J. While waiting for Adobe to not respond, I spent another two days rebuilding, letter by letter, the Frame file that was causing the crash and discovered that a space between an autonumbered chapter paragraph tag (i.e., Chapter{space}1) was the culprit. If I changed the space to a hardspace, the RH project generated without a hitch. There are more details, but they aren't important. What is important is that even though I've emailed Adobe tech support, left voice mails with the Level 2 support person, and logged the information in Adobe's case file for my issue, I've heard nothing more from them. Last November, I asked the sales rep at WWP to demo their Reverb product using some sample files of this same project I'm working on, and the output was much nicer for the mobile device formats. RoboHelp builds separate output for each mobile device, e.g., one each for Android Galaxy, Android Phone, iPad, iPhone, and Kindle. In contrast, WWP uses HTML5 and css to create responsive design in a single output that scales well regardless of the device. I'm not sure how they do it, but it looks good and I'm hoping that it will be easier to use than RH. Buying a WWP license is expensive, especially on top of the cost of upgrading to TechCommSuite 4. But I've lost four entire days of income trying to cooperate with Adobe Tech Support, not getting anywhere, and ultimately being abandoned without so much as a sorry we can't help you we've got to stop now. Matt, yes I am using RH's Multiscreen output. I'm annoyed at the differences in the out-of-box options for the various device outputs. There doesn't appear to be a unified set that retains the same color scheme or other skin characteristics. But my biggest whine is that RH10 treats the device outputs as separate entities with a separate folder for each output device. There is a separate index.htm file for each output device. And within each device folder, the entire set of templates for each device is repeated. What I see in WWP suggests that their coding will be truly responsive and flexible regardless of the device that displays the output. If I'm wrong here about either product, let me know. I'm so glad other people have commented about their dislike of this feature. I hate it too. But it isn't that the text isn't sharp, it's that it has a white drop-shadow. Adobe, please make this go away on the next version or tell us if we can change it ourselves. It has made it very difficult to read the text in my tabs. Nancy, consider creating markers for all headings, regardless of whether you plan to use them or not. Let RoboHelp break them into topics. Then in your RoboHelp TOC and browse sequences, just include the topics that you want. Yes, the unwanted ones will go along for the ride when the file is generated, but users won't know they are there because neither the TOC nor the browse sequence uses them. Chunking FM files into Topics for RH

Often combinations of ways work well. I haven't used the markers solution yet, but it seems to me to be a better and easier approach than trying to maintain many different paragraph styles in Framemaker. One marker, such as PageBreak, applied to the FM files everywhere you want RH to break a page would seem to me to be easier to apply than changing paragraph tags. I try to keep my paragraph catalog as slim as possible. Just my thoughts. Multiscreen HTML Output - making changes to the default Desktop output
There are several problems with the HTML5 layouts supplied with RH10: ~They are not consistently formatted across mobile device layouts; a client wanting output for all mobile devices will have to put up with different color schemes, different branding, etc. for each device he wants to output to. ~Adobe admits that they expected the RH10 user to have their IT department modify the HTML5. Well, we small and 1-person companies have no IT department. ~There is precious little documentation that explains how to edit the HTML5 files. Vikram Verma, the RoboHelp TCS product manager, promised a Webinar but I don't believe it has happened yet. You can download a brief procedure that Vikram sent me in March at https://www.dropbox.com/s/ip6x2whnpfb315m/How%20to%20Edit%20RoboHelp%20mobile%20layouts.pdf. It might be helpful. I haven't tried it myself because I honestly thought that when I purchased RH10 I could do what I needed to do without having to learn an entirely new profession of Web design and HTML5 coding. Right now, I'll probably hire someone to tweak the sample files to make an entire set of mobile layouts with similar branding. very small pages (WAS Importing .swf files and creating pdfs)
I've been meaning to ask about those very small pages for a year; thanks Shlomo for bringing the subject up. Every once in awhile, I have the very small pages problem when printing to PS via the PDF driver and distilling (opposite to Shlomo's Save as PDF occurrence of the problem). It pops up out of nowhere; I'm happily printing chapters in a book, I change NOTHING, and then whammo--I get standard-sized pages with a small thumbnail-sized PDF in the middle of each page. The ONLY remedy is to shut down FM, Distiller, and Acrobat, open them all up again, and reprint to PS. I'm running FM11, Acrobat 10, on Win7. Does anyone have any idea why this is happening? It sort of feels like a memory problem, but my system has, I think, 8 GB of RAM, so memory shouldn't be an issue. The problem occurs independent of any particular file or book or distiller options. Let me repeat--everything is printing fine and then suddenly printing small with no change in ANY setting. I'm just curious--it is not a show stopper, but it can get very annoying and time consuming. Hi Alison, So far, the only response has been from someone who uses LiveCycle Designer for forms but has no experience with it for ecommerce. Like you, I use Acrobat security for PDFs to prevent changing the docs or copying the content to clipboard, but it cannot prevent copying the entire file. For instance, Company Z has in the past purchased 200 PDF versions of a book of regulatory standards. My client wants to prevent Company Z from simply making copies of the PDF instead of buying all 200 copies. Multiply that by thousands of ecommerce customers to understand the potential revenue that can be lost. My client also wants to begin selling individual standards in addition to books of standards, much like IEEE does with its Xplore Digital Library Subscription Service (http://www.ieee.org/publications_standards/publications/subscriptions/ieee_standards_online_subscription_information.pdf). I have no clue where to begin to research how to accomplish the DRM for this, but I know it is not something in a Technical Writer's general tool kit. Several years ago I read about dongles, encryption, and password management systems, but from a user's perspective they are a burden. I want to find a resource/service that makes it easy to purchase and download a PDF and hard/impossible to copy the PDF. Minimally, I'd like to be able to tell my client how other companies do this; if it is impossible to protect the PDF, then at least he'll know he's in good company. If anyone knows of other solutions to accomplish this, I'd appreciate your insight. I'm treading way outside my skillset here but would like to be able to give my client some basic direction. I wanted to ask fellow Framers first; then I'll move on to the LiveCycle forum or whatever direction you folks point me in. Here's mine: I want the availability of my software to be independent of my ability to pay for it. If I'm having a cash-flow problem, the last thing I need is to lose access to the tools that are required to generate my income. I want it to be MY decision as to when I update my software, not Adobe's. I want forever access to the tools for which I purchased a license. How to set up a Running H/F to call a paratag from a previous file
The Running H/F in my master page calls for a paratag like this: Running H/F 2 $paratext[H2 SubTitle] I have child pages (each a separate file) that use that same master page, but because they are child pages, they don't have their own [H2 Sub Title] paratag anywhere in the file. I want that Running H/F to locate the last instance of the paratag, which would be on the parent page, which is in a previous file. In other words, I want it to look backward instead of forward. You can tell Frame to look backward for a paratag in the same file, but I can't find any mention in Frame11 Help about looking backward for a paratag in a previous file. Is this even possible? If so, how do I revise the Running H/F 2 call to that paratag so that it works as described? If not, then I know I will need to move all of the child pages into the same file as the parent page that contains the [H2 Sub Title] paratag. But there are hundreds of them and I'd rather not. The reason that the child pages are in individual files is because the client isn't sure yet how he wants to organize the content of the book. Hundreds of diagrams that could be grouped in various ways. To remain flexible, it made sense to create individual files that I could organize at the book level. Xrefs and variables won't work in this situation because I really want this automated. If I organize a set of child pages one way at first and define a variable representing the parent, if the child moves to a different parent, then I'll have to change perhaps dozens of variables. Hi John, I include PDF and Word docs in my FM books for the convenience of being able to click the link and have the external program open them. For instance, if I'm converting a Word doc to FM, I'll add the Word doc to the book file so that I don't have to hunt around for it. However, FM cannot DO anything with them itself. It can't open them, it can't read them, nor can it include them in book generation. Would that it could!! If you want to include these docs in your Framemaker book, you will need to import them into a FM document as objects. Crop marks on PDF
Hi everyone, I rarely print to anything other than standard 8.5 x 11 so I'm struggling a bit here with a smaller page size. I'm using Frame 11, without the most recent patch, and Acrobat XI. My Frame page size is set to 4 x 5.7 inches and my PDF options and Job Options are the same. The PDF output is the correct page size. All is good. However, I want my client to be able to print the PDF on standard 8.5 x 11 paper and see trim marks that define the page size of the PDF. I can do this in Frame by selecting FileSave As PDF and selecting Western registration marks. All is good. HOWEVER, I don't want all of the registration marks; I want only trim marks. So I need to do this in Acrobat, not Frame. I cannot get Acrobat set up to do this correctly. I've located the Add Printer Marks toolbar, but I can't get it to work. I suspect that the printed page size needs to be bigger than the page size defined by the trim marks. However, I can't define a different page size in the PDF file; that needs to be done in Frame. But I don't want Frame to change the PDF output's page size. I'm going in circles here. Any advice? (This was so simple in earlier versions of both Frame and Acrobat.) Carol ** Carol J. Thanks, Harro. I'm using Acrobat XI, which is TOTALLY different than Acrobat X. However, I did locate the Set Page Boxes tool in Acrobat XI. I had to define a new custom Tool Set to get access to the tools in the Print Production Toolset; I could NOT figure out how to display the already defined tool set. Thanks, Acrobat, for making a simple task so very much harder. Setting the page size to 8.5 x 11 did nothing in my Acrobat application. That was my problem. However, Rick Quatro tested this on his system and it worked fine. (Thanks, Rick!) So I went back into the Framemaker 11 file to see if I could fix something there. My mistake was trying to control page size in the Job Options. That DOES work if all you want is a correctly sized PDF file. But you can't set crop marks on it or resize its page size. Here is what finally worked: 1) In Framemaker, select Print Setup. You MUST define a PDF paper size here that matches the paper size that you defined in Framemaker. (For me, this was 4x5.7.) You do this in two places in the Print Setup dialog box: a) Select Name-Adobe PDF and click Properties. Click the dropdown arrow next to PDF Page Size. If the desired page size isn't in this list, you must add a new custom page size. Click Add and define the new page size. Return to the Print Setup window. b) In the Print Setup window, click the dropdown arrow in the Paper|Size area. Select the paper size you defined in Step a. 2) Print to PDF. The result will be a correctly sized PDF file. 3) To add crop marks, in Acrobat, figure out how to get the Print Production Toolset visible. This will be easy in Acrobat X and very difficult in Acrobat XI. From the Print Production Toolset, a) Select the Set Page Boxes tool. Define an 8.5 x 11 page size and apply to ALL pages. b) Select the Add Printer Marks tool. Select which marks you want to apply, and apply to ALL pages. I hope this helps someone else out. I can second Mike's suggestion to watch RJ's video. I watched it immediately after upgrading to Frame 9 and it made the paradigm shift from Frame 7 so much smoother. A lot of people really struggled with how to manage the pods and panels on the new UI, but RJ made it easy to understand. Until you understand the power of being able to customize your UI, you will not be able to take full advantage of the FM versions that have been released since FM9 plus the other Adobe products that use that same UI now. Matt, thanks for the advise, but I think you misunderstood. My client wants a Word template that matches my Frame template. I don't plan to parcel out the work; I'm doing it myself. As the subject line indicates, I want to collaborate with a Word guru, so my post was to find a Word guru on the Framer's list because I'll also be converting the Word-formatted documents to FM. Someone who regularly uses both programs will be able to see both sides of the equation. I just need to ask the Word person some questions, much as I've done with you on RoboHelp. I'm willing to pay for someone's time. I gave an example of the template's numbering scheme to dissuade people who have not mastered Word's numbering from responding. I've had a couple people respond off list, which was what I asked for, so I'm good now. This list is a godsend not only for FM users, but also for folks who have other skills! What I do is to create a welcome or home page (which is a PDF file) that automatically launches when the CD is inserted. The welcome file contains links to the other books on the CD. That makes it easier and quicker for the user to navigate around the CD. Each book's PDF has a Return to Welcome Page bookmark at the bottom, allowing the user to return to the home page to access a different book. Not willing to take any chances, not only did I change my Adobe password after receiving Adobe's email, I cancelled the credit card that Adobe had on file for me. (What a pain!) Today I received a call from Skyp 661-748-0240. I've learned that this is a blanket number that Skyp uses for anyone calling without a specific caller ID. The well-spoken man had a British or Indian/Pakistan accent and simply asked me if he was speaking to Carol. I said I was Carol. He left the line. Although I receive lots of phishing calls, I've never had one from a Skyp caller before today. I'm left wondering if it has any relation to the Adobe hack. Art, I've been publishing a cookbook via Amazon's Createspace.com POD and also via Kindle for a couple years and it has been a good experience. They take less of a cut per sale and give you great exposure. I actually set it up first for Kindle, and Createspace.com came along for the ride sort of automatically. If you want spiral binding, then I've been using CafePress.com for the same book. I don't know anything about their requirements re landscape format. OT--PDF Read Out Loud problem
Last July, I posted this question to the Acrobat Community and got nowhere. So I'm asking here in hope that I can find someone who has had this problem and was able to fix it. I'm using Acrobat XI Pro (fully updated to 11.0.05) on Windows7 (fully patched). When I try to use the Read Out Loud feature on a PDF, Acrobat shuts down. I am able to turn on (activate) the Read Out Loud feature, but when I select Read to End of Page or Read This Document, Acrobat crashes. PDFs are version 1.6 (Acrobat 7.x). They were created in Acrobat Distiller 11 using the default Press job option settings. The documents are 100% accessible and are fully tagged. I have been unable to use Read Out Loud since I upgraded from Acrobat 9 Pro last January. I've read dozens of articles on how to prepare your PDFs for accessibility but this PDF is straight text--no tables, captions, etc. Just text. No complicated reading order. So for the life of me I can't figure out what to do to get the thing to read to me. I never had a problem before Acrobat 11 and I've never had to do anything to prepare the PDF. Help! OT--PDF Read Out Loud problem
After I emailed this yesterday, I tested the PDF on my laptop (also running Acrobat 11 Pro on Windows 7), and the Read Out Loud function works fine. So the problem must be with the Acrobat installation on my desktop CPU. I've run the Repair feature to no avail. It isn't worth uninstalling and reinstalling Acrobat since I can accomplish the task on my laptop. However, one of the folks who kindly responded to me off-list made some comments about PDF accessibility that I'm interested in seeing discussed. She wrote: I am noticing a major flag in your post: were created in Acrobat Distiller 11 using the default Press job option settings. You have a few things against you... Distiller should not be used when creating accessible documents. Files should be converted to PDF. It may sound confusing, but the PDF created by PS Distiller is very different than converted one. Acrobat Read Out Loud is very rudimentary and you really should not use it for testing your document. Since I am of the School of Dov Isaacs and always print to postscript and then distill to get my PDFs, the idea that I shouldn't distill to get accessible PDFs is new to me. Can anyone tell me if FM12 has fixed the problem in which character formats in source text are lost in cross-references to that source text? That one little fix would be a tipping point for me to upgrade to FM12. If not, has anyone found a better workaround than the one in the Frame archives that requires defining in maker.ini an entirely new version of the font for every font face that uses italics? Best practice for setting up character formats is to set everything As Is except the feature that you want the character tag to control. That would include setting the Font Family to As Is. So for Emphasis, for example, the font family would be set to As Is and only the Angle set to Italic. This enables the character tag to be applied to any text, regardless of its paragraph usage. I can apply Emphasis to text defined as Times Roman, Arial, etc., and the font is retained and only the Angle changed. For Adobe to ignore this in cross-references and require a unique Character tag for each different usage of a font family (e.g., Times Roman Emphasis, Arial Emphasis) is insane. Someone at Adobe, please look into this. The character-formatted text in those cross-refs lose their character formatting. I use cross-references because I want to single-source the source text. I can't avoid character formatting in these instances. And as you stated, breaking one cross-ref into three separate cross-refs to access the text before and after the character-formatted text is impractical. Just as I can import text insets and retain their formatting, I would hope that eventually Adobe will give me the option to use cross-refs while retaining the source formatting. I.e. the source text would be something like ParaWithTextasInlineACharFormattedBitasInlineParaWithTextasInlineA, and your xref format(s) would be something like $paratext (to part A)Emphasis (for char formatted bit$paratext (to part B). But then all xrefs would actually be three xrefs, tripling your workload and adding maintenance issues. How you got about it all depends on the context. I would guess from your original post that you want to use $paratext and get the text *and* any character formatting applied to it. But FrameMaker doesn't work like that: you can't 'recover' character formatting from an xref source's text. I don't know about maker.ini fixes, as FrameMaker 7 for Mac doesn't use maker.ini. shortcut to change text boxes to make room for side heads
Just for future reference, is there some magical shortcut that automatically changes EVERY text box in a document so that it makes room for side heads? I have no idea what I accidentally pushed, but I somehow found that magical shortcut. It took me hours to locate every text box in a 100+ page document and manually change it back to NOT make room for side heads. Annotating text in a cross-ref in a PDF
I'm generating PDFs out of Frame 11 and opening them in Acrobat 11 Pro in a Windows environment. I've discovered that the text in cross-references created in Framemaker cannot be annotated in Acrobat using the Strikethrough Text tool or the Insert Text at Cursor tool, and probably other tools as well. Because the text is a cross-reference, the user sees a hand cursor rather than a cross-hair or I-beam and is thus unable to annotate the text. I've tried various combinations of holding the Control, Shift, and Alt keys down, but the hand cursor persists. Does anyone know a trick to force Acrobat to ignore the fact that text is a cross-reference and allow users to annotate the text? Craig, Of course I revise any annotated cross-ref in the source FM document. But the cross-references must be reviewed and annotated, if necessary, in Acrobat. I give these PDFs to my clients for review and THEY must be able to annotate them. The I-beam cursor starts red-lining wherever it is placed and the user can't segregate just the text that they want to annotate from the surrounding text in the cross-reference. I think that either identifying the revision in a balloon or encircling it with an added explanation is the only option. Since cross-references exist on a layer above the text, I was hoping there was a nifty way to drill down below the cross-ref layer to get at the text. Worse case, I could teach my reviewers how to delete all cross-refs in the document, but that is too complex and also defeats the purpose of checking to ensure the cross-refs go to where they should. I created a file with some text, created a cross-reference to this paragraph which lists only the paragraph text ($paratext) and created a PDF. Then I move the cursor to the right of the cross-reference. The cursor's appearance changes to an i-beam. Then I press the left mouse button and move the i-beam across the cross- reference. Then I press the Strikethrough symbol to apply this comment type. This also works when I press the Strikethough icon first and then start selecting. This works whether I start selecting from the left or the right side of the cross-reference. Maybe you should move the cursor farther away to get the i-beam cursor. RESOLVED: Annotating text in a cross-ref in a PDF
With help from Winifried and Rick, I finally figured out what the problem was and why I couldn't select text within a cross-reference so that I could annotate it. What was not pointed out in anyone's instructions is that you must have the I-beam/Arrow tool selected as the default tool. Generally, my default tool is the Hand tool and I rarely have occasion to use the I-beam/Arrow tool, so it didn't even occur to me to check. So, to annotate text in a cross-ref, make sure the I-Beam/Arrow tool is selected. Do not select an annotation tool yet. Click and drag the I-beam cursor across the text you want to annotate. Anything I should know before upgrading to TCS5?
I've attended most of the Adobe Webinars about TCS5 and FM12 and am getting close to being ready to upgrade from TCS 4 using FM11 and RH10 to TCS5 using FM12 and RH11. I'm running Windows 7. To the best of this group's collective knowledge, are there any gotchas that I need to be aware of? Can I copy the .ini file over to the new FM12 as I have done for the past umpteen upgrades? When I install, is it possible to keep FM 11 on the same drive and install a new FM 12? If so, is there anything I should do to keep Acrobat happy? Can FM11 open files created in FM12? If there are any secrets you could pass along that might reduce headaches and heartburn during the upgrade, I'd really appreciate it. Last year I opted to subscribe to the Adobe Creative Cloud for $29.99/month promotional. That has now jumped to $49.99/month, but it provides access to every Adobe product I could want, including Photoshop and Illustrator. But those products were part of TCS4, so some people who already have them may simply choose not to upgrade them. I will not, however, relinquish my perpetual license to Framemaker until Adobe forces me to. I think my sole reason for wanting to upgrade this time is because I want to make sure that when Adobe decides to force the Framemaker subscription, I have the most current licensed version loaded because it will probably be the last upgrade I make. So I guess as long as Adobe dangles the threat of forcing a Framemaker subscription, I'll continue to shell out the bucks to maintain my perpetual license. That is a good marketing strategy, eh? So far only one response to my question about upgrade gotchas. So am I to assume that everyone who has upgraded to TCS5 and FM12 had an uneventful upgrade experience? top-bound book
Framers, I'm ready to print a wire-bound pocket-sized booklet that will be top-bound (coil binding along the top of the book) so as to fit nicely in one's pocket. In all my 18 years of doing this, this is the first time I've run across having to publish a top-bound book, so I have no experience to guide me. Thus I'm emailing you. I've printed the Framemaker file to PDF and had the printer make a demo copy for me. When the booklet is held open to a two-page spread, the top page is upside down. In order to view it, one has to turn the booklet over or upside-down. I have some questions: 1. Is this the customary way to print a top-bound book? Or should both pages be visibly oriented the same direction? (That would put the page number of the top (even-numbered) pages on the bound edge.) 2. If not, what is the easiest way to get the even-numbered pages turned upside down? 1) By changing the Framemaker template; 2) By doing something in Acrobat; or 3) by telling the printer to do something on his end. 3. Is there a word that describes this kind of layout? I work with imposition in booklet printing a lot but it doesn't seem to apply to top-bound books. I've asked my client to do a bit of usability testing to determine if it will make a difference to his users. Will they want to view two pages at once? Will they be inconvenienced by having to flip the book over every time they advance to the next page? This is a field test manual and they will definitely progress through the book one page at a time. While he's checking that out, I thought I'd check with you for input. Solved: top-bound book
Thanks, everyone. I agree that this should be done by the printer and I will contact him. It is easy enough for me to rotate the even-numbered pages in the PDF (thanks, Robert!) , which will nicely solve that problem if he doesn't want to do it himself. Rotating in the PDF will prevent me from having to stand on my head when editing the document in Framemaker if I were to rotate the master page. When I need to convert a Word book into Frame, the workflow I use is to print the Word book to PDF, open the PDF in Acrobat, and export all of the graphics as .eps files. Then I import those by reference into the FM book. (I rename them first to some meaningful filename.) However, sometimes for reasons I don't understand, the graphics exported out of the PDF are rendered in multiple horizontal strips and are not usable. So my second workflow is to open the PDF page with the problem graphic on it in Illustrator, select the graphic, copy it to a blank file, and save it in Illustrator format. I import the Illustrator graphic by reference into Framemaker. I'm using more and more Illustrator graphics as direct imports into my Framemaker documents. It saves time to not have to convert them to .eps or other graphic format. Plus, when I click them in Framemaker, they open directly in Illustrator for editing. Yes, but doesn't that render the extracted graphics as .jpgs? I strongly believe that .jpg is not the best graphic format to use for technical publications. Everyone's usage may vary and a lot depends on how the graphics were inserted in the Word doc in the first place, but .jpgs don't work for me; nor can I edit them. I prefer vector when possible and when not, I'll save out as .tif. But I don't have to make that decision if I let Acrobat extract as .eps. Even if the Word graphics are bitmaps, they don't lose any information when converted to .eps. CORRECTION: Section Number resets after closing file
You know, I tested the behavior of the Section number problem on this book three times before I sent the email for help. Then I tested the other five books (and 80 documents) in this series of books and the Section number does not reset when the files are closed and reopened. Then I tested the problem book and now the Section number behavior fine. So I'd like to modify my question: Has anyone experienced any instability in the Document Numbering properties functionality? I have had documents' Chapter number and Volume number mysteriously reset to 1 since upgrading to Frame12. I thought it was probably me having senior moments or perhaps I acidentally imported a book's numbering properties across all files in a book. But ever since this inconsistent behavior started, I've been much more careful to NOT import ANY Document properties in any books. I can't think of any other way that I could have corrupted the Chapter or Section numbers. But the problem is intermittent and unpredicably caused. So other people's experiences might help to build a case. Carol I'm working in Frame 12 fully patched on a Win7 system. For each document in a book, I've set a specific Section number using the file's Numbering Properties (Format--Document--Numbering--Section). Everything works fine while all files in the book are open. Cross-references to that section number work correctly. However, when I close the files in the book and reopen them, the Section number for each file has reset to 1. For each of these files, I've also defined a Chapter number using the same process. The Chapter number does NOT reset when the files are closed are reopened. Can anyone verify this behavior in their Frame12 app? If so, then I'll file a bug report. UPDATE to CORRECTION: Section Number resets after closing file
Okay, I have finally made the problem reproducible. (Sorry for innundating the list with these emails, but I'm pretty panicky right now because I've based an entire library of books and documents to rely on using the Section number in a specific type of cross-reference that I've defined.) Opening/closing the files in a book have nothing to do with the Section number resetting to 1. What resets the Section number to 1 is updating the book. I've tested this now in all six books in this series and updating the book consistently resets the Section number to 1. It does NOT reset the Chapter or Volume numbering. So, back to my original question. Can anyone else reproduce this behavior? If so, I'll file a bug report. Hi Rebecca, Thanks for responding. It turns out that the Section numbering property will work only for files that are nested under a book folder. Unfortunately, Framemaker doesn't tell you that when you are setting up the Section number. It happily does your bidding and then when you regenerate the book, it resets all Section numbers to the default 1. In hindsight, the resetting is appropriate behavior; but the letting me do something wrong without warning me is bad behavior. It greys out the Section number at the book level if the file isn't inside a folder to prevent me setting the Section number at the book level; but it does not grey it out at the file level, leading the unsuspecting tech writer to believe that it is a legal function. So I put each file in its own book folder and things seem to work well now. I can cross-reference to the Section number, and it sticks when I regenerate the book. Panic over.
