Acrobat X: Possible to transfer comments between PDFs?

Hi all,

We use Acrobat's shared reviews as part of our documentation process.
Sometimes not all the comments get addressed before a document gets
released, which means that I need that information for the next review
session. Is there ANY way to transfer comments from a closed Shared Review
PDF to the next/newer Shared Review PDF? I do NOT want to have to retype
190 comments!

Thank you all.

We're still using FM10 and Acrobat Pro X. Both Art's and Craig's
information was useful--I can import the comments from the old PDF into the
new one, and it's a lot easier than I expected.

As Monica notes, however, they're not necessarily in the right spots on the
page, as things have changed between versions. Still, they're at least
usually on the same page, so that's a good start. Maybe it'll be good
enough. I'm going to experiment with trying to move some, although I
suspect if it's not my comment the program won't let me. We'll see.

Re: Keyboard shortcut for closing pods

The problem with the suggestion of using two or three Escapes in a row is
that it could well break all the OTHER keyboard shortcuts that use the Esc
key. Also, if you are mis-entering a keyboard shortcut, pressing Esc a
couple of times resets the sequence so you can start over again. I think
Esc Pc is unused, though, at least as of FM 11.

There is no keyboard shortcut to jump from one footnote flow to the next.
Maybe an Extendscript could save you some keystrokes?

 have chapters that have 200-400 footnotes and as many index markers, trust
 me, you do NOT want to have to manually redo all of those…

Use Rick Quattro's TableCleaner plugin. If the tables are consistently
tagged and all of them have to be the same sizes, you can use its Resize
All Table Columns function.

It's a life saver.

OK, this part I'm not sure will work, but according to the help.adobe.com
website, you can search for Unicode characters using their UTF-8 hex code
and \x.

So for your first character, in the Find box, type '\xCABB' (without the
quote characters. For your second character, type '\xCABC' (without the
quote characters. (I got the UTF-8 hex codes from
http://www.fileformat.info/info/unicode).

I don't have any files using those codes, so I can't test it. :(

Let me know if it works so I can put it into my bag of tricks, too.

 For me that doesn't quite work. There's something in Frame which decides a
 curved apostrophe is the same as an uncurved apostrophe.

Are you trying to change all the tables in a document from one table tag to
another table tag, or are you trying to update all the properties of a
particular table tag?

If the first, you can do it using the Global Update option.


1. Put your cursor inside the one of the tables
2. Open Table Designer
3. Select the new table tag from the drop-down list
4. From the Commands drop-down, select Global Update options
5. Select All Properties and All Tagged. Set All Tagged to the OLD
table tag (the one you want to change FROM)
6. Click Update. Click OK to confirm that you want to change all the tables
tagged with the OLD tag to the NEW tag.

If the second, open the Table Designer, update the properties, and click
Update All. All tables with the same tag will get the new properties.

Oh, yes, and it's possible that Rick Quattro's TableCleaner plugin would be
useful. It has a few commands to do with applying one cell's (or table's)
properties across all the tables in a single document. Highly recommended!

Yep. Fred's right. Which is (one of the many reasons) why Rick's plugin is
so damned handy. It'll update all the cell formats and you can alter all
the table widths.

 Are you trying to change all the tables in a document from one table tag
 to another table tag, or are you trying to update all the properties of a
 particular table tag?

 If the first, you can do it using the Global Update option.


 1. Put your cursor inside the one of the tables
 2. Open Table Designer
 3. Select the new table tag from the drop-down list
 4. From the Commands drop-down, select Global Update options
 5. Select All Properties and All Tagged. Set All Tagged to the OLD
 table tag (the one you want to change FROM)
 6. Click Update. Click OK to confirm that you want to change all the
 tables tagged with the OLD tag to the NEW tag.

 If the second, open the Table Designer, update the properties, and click
 Update All. All tables with the same tag will get the new properties.

I like to use my cursor keys to scroll from table to table, and putting
each table anchor in its own paragraph lets me do that. If they're all on
the same line, pressing the up or down arrow once pops you to the beginning
or end of all of the tables that are anchored in the same line. I do a lot
of documents with hundreds of tables that are one right after the other, so
having an anchor anywhere but on its own line becomes a nuisance.

Putting all the anchors in the same line also makes it much difficult to
select just one table, since unless you are VERY disciplined about putting
a space between them, FM drops the anchors on top of each other. And
(again) if you have a lot of them, even using just a small space between
can make the anchors wrap to another line (or three or four), which messes
up your spacing all over again but for a different reason.

I'm describing IC chip registers. There is absolutely no point in having
text or a heading in between each one, and this particular piece of IP has
about 500 or so of them.

For the registers, we list all the table names as active links in a table
upfront. But if I am simply scanning through the tables, I find it easier
to use the cursor button than the mouse wheel. Your mileage may, of course,
vary.  There are also places where a brief paragraph introduces a set of
tables. The data wouldn't work well combined into single table, and I'm not
about to say, The following table describes X when I've already said it
up above. It annoys my engineers and the customer engineers.

If I were in a different environment producing docs for a different
audience, I would very likely be introducing each table with some text. In
this environment, with this highly technical audience, it is neither
necessary nor wanted.

Not a bad idea, but this is the corporate style. We're also not
single-sourcing. (We were moving to that, but then the company got acquired
and the techcomm department was decentralized. But that's a whole other
story.)

Even if it were my call, I'm not sure I'd go that way. If the table splits
across a page, you lose the title. And these tables can go on for a couple
of pages, depending on the content..

Out of curiousity, Allison, why are you printing the Visio graphics to PDF
and then importing them into a Frame file that is printed to PDF? Embedding
a PDF file into a file that is going to be printed to PDF tends to
drastically increase the size of the file being distilled.

Given that your testing has pretty much narrowed down the issue to pages
with embedded PDF images/graphics, I'd strongly suggest seeing if a
different image format would do what you need. Is it necessary that they be
PDF, or could another searchable format such as SVG (now that Adobe has
fixed the SVG to PDF but) be used instead?

 spacing in 1/600 inch increments. Images and vector graphics positioning is
 likewise limited to such increments. At 300 dpi, the value falls to 300
 starting positions and 1/300 inch increments. Anything under 300 dpi is
 absolutely not recommended and could yield some rather gnarly text spacing.
 Again, we recommend you start at 600 dpi and stay with that if you have no
 problems. (Note also that 600 dpi gets around another Windows GDI bug in
 which text formatted in larger point sizes is converted to unhinted
 outlines. 600 dpi allow for text in pointsizes up to approximately 100
 points to remain as text for printing purposes.)

The SVG bug (which only prevented being able to search text in SVG graphics
imported into Frame and then distilled to PDF) was fixed in the latest
patch update to FM12.

I admit I am not going by direct experience regarding the use of PDF as a
graphic format. One of my coworkers has been forced to embed single-page
PDFs into Frame files for a particular document set she works on. She was
the one who said that the file size bloated from that. The files were
output from a database, and she was adding 50 or so to a book. I think she
had to break the chapter she was adding them to into multiple files in
order to get it to distill properly.

I don't think I've ever heard that the preferred workflow was to create a
graphic, save it as PDF, and then import it into a Frame file that was
going to be PDFed. That seems ... odd to me for some reason, but that may
just be me. :-)

Mixed Structured / Unstructured and xrefs

Bare bones background:

We have Excel spreadsheets that we convert to XML files using a script. The
script also creates a ditamap for all the files and creates an XML file
that contains a table that links to all the individual XML files.

We use DITAFMx to convert the ditamap and XML files to a single FM file
(still in structured). At this point, the xrefs work just fine.

Here's the tricky part. I then import (by copy) the newly created FM files
into an UNSTRUCTURED FM file (because that's what the rest of the book is
in, and no, this is not currently an option to change, don't even ask, it's
a MESS), which is opened in FM with the structured interface so that the
structured information can be retained.

As soon as I copy those files into the container (unstructured) file, the
xrefs break. I need those xrefs to NOT break, and I don't have time to
relink 500 or so xrefs every time I create this book.

I've tried this on the FM install on my desktop, which uses the structured
interface but is NOT in a DITA/structured environment, and the FM install
on a server, which uses the structured interface and IS in a
DITA/Structured environment.

If I open the files on their own, they're fine. If I import them into the
unstructured document, the links go bye-bye and I can't regenerate them.

I'm beyond frustrated. Any clues would be appreciated.

Yep, the file I'm importing to has no structure. I'm going to try adding it
and then importing again.

As to why, the highly condensed Readers Digest version is that the company
was moving to DITA using Frame, DITA-FMx, and a CCMS called Vasont. Then we
got bought. My engineers wanted to be able to edit the files while I was on
vacation, amongst other things, so someone higher up in the chain of
command demanded we pull the files out of structured and into unstructured,
which is where they are. The last time I had to do this, I jerked the XML
file with the cross-references out.

The spreadsheets, however, are still being converted into XML files because
it's a perl script which can write XML just fine but knows nothing of FM
binary or even MIF.

Chip registers are EXACTLY what those structured files are.

This is my first go around with using a mixed environment. What I've wound
up doing is keeping the structured generated files separate instead of
trying to copy them into the unstructured chapter file, and setting
numbering to Use Same Number as Previous Chapter. It messes the white
spaces up somewhat, but the xrefs work properly. Just as well, too, since
the designers use the same addresses for the different blocks and trying to
keep it in structured means that some of the xrefs won't work if they're
combined into the same file. shudder

Finalizer, from SQUIDDS, has a module that does this called Imported
Graphics

Not sure how much it costs, though. I haven't used FM12 yet, but there
might be ExtendScripts that will do what you want.

Prior discussion on this list has suggested that Frame has issues with
graphics that are located far away from it. It times out while trying to
fetch the graphics. There may be a good solution to it, but after a rough
couple of days, I don't remember what it might be. :(

OK, that was about what I thought.

The short answer is, you can't do it with a RunningH/F, as it only picks up
the information in the CURRENT file.

If you want to bring the Chapter title over from a previous file, you'll
have to edit the master page to use a cross-reference back to the file with
the title in it (and set the link color to black so it doesn't look like a
link). Then you have to remember that this will need to be redone every
time you import page layouts to those files.

Pretty much what Laura said.

I maintain multiple guides that can have different chapters depending on
whether the information is for one customer or another. I have what I call
a master book file that contains all the files (this has to do with our
CMS and locating stuff, you may not need it), including the separate book
files for each version of the book. Chapters in common between books may
have conditional text or variables to further customize. Each book has a
separate document information file that records the chapters contained in
the book, the variables used and their values, and the condition set up for
producing a final. When I want to create a specific book, I open the master
book file, open the specific book file, open all the files in the book,
open the document information file, import conditional text settings and
variables from the document information file into all the book files, and
generate.

 master book manually – but with 30+ chapters, this seems like it could be
 prone to mistakes in publishing the correct content.

Acrobat X: Manually sending a Shared Review

Acrobat X doesn't support using a web-based email for sending Shared Review
invitations. It does let you manually send invitations, but I've not been
able to find actual instructions for how to do that. The situation is
complicated by the fact that I am using WebDAV and a cloud storage service
for collecting the review comments.

I'm assuming that what you do is attach the review file to an email and
send it on with whatever information is required, but you know what they
say about assumptions. I'm also wondering what, if anything, will happen if
a reviewer tried to open the folder Acrobat creates for storing comments on
the cloud server.

Playing with Frame12's (yes, we FINALLY got to upgrade) new conditional tag
interface, and something occurred to me that has before but I never got
around to asking.

WHY can't Frame apply conditional tags to table columns? It's not a feature
I particularly need (although there's been a time or two it would have come
in right handy), but I've been curious about this for a while. I'm guessing
it has something to do with the original internal structure, so I'm hoping
those who have been long time users might have some insight.

I don't need an answer fast. :) Technically, I don't need an answer at all,
but I'm still curious.

  Yes, theoretically, if you didn't have spanned cells, you could
 hide/show the cells that make up a column, but since there is no column
 object, there's no place to assign that data. You can conditionalize rows,
 but cells are a bit of a different beast.

 It would be possible to make a plugin or script that would assign a
 condition to the content of all cells in a column, but you'd have to
 actually delete the cells that make up that column to hide it.

 The closest thing to a column object that you could assign a property to
 for this purpose would be the colspec element in DITA. But in looking,
 that doesn't allow the outputclass attribute (or other likely attributes)
 where you'd assign a value that you could check for during some publishing
 process to hide/delete that column.

 If I were to want to do this, I'd probably set a marker in the column
 header to indicate a hide/show property, then set up some sort of process
 during publishing.

Yeah, I tried that, too. As you said, the difference was fairly minimal. I
am hoping that the next time I create the generated files that things clear
up, since they'll essentially be from scratch. Possibly when I was doing
work elsewhere in the document, they got caught in an edit they shouldn't
have.

FM12: PDF file size exploding

Has anyone had an issue with the size of a generated PDF increasing
dramatically after moving a book from FM10 to FM12 (or any earlier version
of FM to FM12)?

I've got a book that's gone from under 3M to over 12M, and that's AFTER
running the Save as Reduced Size.

Is this a bug, have I not set something up in either FM12 or Acrobat 10
correctly, or is there a solution?

The PDF has to be posted as a shared review on a cloud web storage site.
There's a size limit to what you can upload. My company is using corporate
GMAIL and I have a 30Gb limit on storage, and for now I have to attach a
shared review enabled PDF to an email to allow reviewers to join the
review*. Admittedly, this one file isn't going to break either of those
limits, but it's not something I can keep doing for a long period of time.
Plus the sudden increase in size worries me. If there's a problem with the
files, I need to find it before things get hosed (and yes, I did run all
the files through a MIF wash).

*I will be testing setting up a shared review by storing the shared review
PDF on the cloud drive and sending a link instead, but until I do, I know
this works.

Ah! More information I left out!

The book is an unstructured book, but it includes 3 files that were created
from structured data. Those 3 files are still structured, because that's
the only way to keep the xref links working.

The process is this:

   1. An Excel 2010 spreadsheet is converted to multiple .xml files by
   using a script, which inserts the correct DITA tags and also creates a
   .ditamap for them.
   2. The ditamap is converted into a Frame book using DITAFMx, which gives
   me a book file with a TOC and a single .xml.fm file.
   3. The .xml.fm file is added to an unstructured Frame book but is left
   as a structured file.
   4. The book is updated/generated and then a PDF is generated using Save
   As PDF.

As I said, when I was working in FM10, the PDF had a size of about 3, 3.5M.

The files were recently converted from FM10 to FM12. When I use the above
process and generate the PDF from FM12, the file size has gone to about
12-13M. The files that had been converted from .xml to .fm have not changed
since the last time I created the PDF in FM10. The rest of the files have
changed but not in a major way.

In a few days I expect to regenerate those .xml files from the source
Excel, so maybe something will change. It just seemed weird that the move
from FM10 to FM12 seemed to result in such a large increase in the PDF size.

I'll keep y'all posted.

 You might check to see if your files are still structured .. removing the
 structure (if that's the intent) might reduce the file size. Also, since
 these files came through a different path, they may have additional
 content/graphics/?? on reference pages which could increase the file size.

After a bit of testing, the increase seems to be linked to 3 files that
were created using DITAFMx from a batch of xml files that were generated by

 I have opened and closed existing FM documents, I have created and saved
 new FM documents, but no joy.



 I can't deactivate the FM instance on my desktop . . .it has to be the one
 on the laptop.

Frameusers Website and Fuzzy Buttons in Frame 12

Hi all,

I worked with Box a lot yesterday (that's the cloud-based storage I
mentioned), and with some experimentation and testing aid from two of the
designers I support, I figured out how to do Shared Reviews with Box as a
WebDAV server.

I have to say, I was almost unreasonably excited when we got it to work.

I'm trying to generalize what we worked out so I can update this thread
with the solution if anyone is interested, but that may take a few days.

 You can still do a email-based PDF review with an unsupported mail system,
 but it's not automatic and it probably won't be integrated back to the
 FrameMaker source (I don't know about this last because I've never tried
 it).
 The process involves exporting the comments from the PDF that each
 reviewer sends and then importing those comments into the master review
 PDF. Look in the Options menu for the Comments List section of the Comments
 tool palette (or whatevertheheck Adobe calls it...) for the Export All as
 Data File and Import Data File commands.
 Not ideal, but it works, particularly if you keep the master file up to
 date and in a shared location, and all the reviewers are good about
 grabbing the latest copy of the master file before starting to add their
 own comments.

Yeah, I tried that. It's an almost there; basically, the graphic spans a
column, gutter, and part of the other column, and all the text after the
paragraph it's anchored in winds up below it in both columns. It's close
enough, I suppose. There doesn't seem to be any way to get the text in the
second column to flow around the graphic unless it's in a regular,
unanchored frame.

FrameMaker 12, latest patch
Windows 7 Professional

Page layout: 2 columns (equal sized with a small gutter)

My coworker has a graphic that is somewhat wider than a single column plus
the gutter. She needs the text in the 2nd column of the page to runaround
the graphic, which is in an anchored frame in accordance with our
documentation standards.

My recollection is that you can't have both an anchored frame and text that
runs around the frame, but I'd love to find out that I'm wrong. If I'm not
wrong, I'll tell them they can either have the anchored frame and obscured
text, or a plain old graphic frame that they may have to adjust the
position on.

Where I work we use either PNGs (if we have a screenshot) or SVGs
(generated from Visio). We do a *lot *of Visio diagrams.

Frame has a number of sample scripts it ships with. If you install the one
for MIF washing, it will save all the files in the book.
This is a book-level utility, and you'll find it up in the toolbar under
Book Utilities once you've installed it (and you have the book open and in
focus).

And, just testing it, but Adobe Acrobat was not able to find text inside a
graphic, which was a big reason why we upgraded. I'll have to look into
that, but I bet you're right, Robert. I bet that's the cause.

Well, on the minus side, regenerating those files and trying all the tips
y'all have so kindly provided has not reduced the file size appreciably.

On the plus side, I've discovered that it is, in fact, possible to put the
shared-review-enabled PDF onto the cloud storage site, where we have
unlimited storage. The reviewers still have to download it locally, but
they always had to do that. I no longer need to send it as an attachment to
an email, so the situation has become the one Fred thought it was to begin
with. :-)

We've an internal perl script that sets up tables at a predefined table
width with the columns at predefined widths, but I'm pretty sure those
measurements are hard-coded into the script that creates the XML file from
the Excel spreadsheet. It's doable if you know what sizes you're working
with before you get started, including how many columns you need included.

XML might let you set column widths as a percentage of page/screen width,
but I don't think that's directly transferable to FM. Can perl handle
calculations?

going to spend some time with the PDF Creation Settings manual and see if
it sheds any light on the issue.

This is the first job I've ever had that actually created a customized
joboptions file. Always before, I picked Standard. However, the people
controlling that sort of thing are no longer in control, so I'm free to
explore a bit and see if there's something that works better. Especially

And that's what it was. When I replaced the copy I had with a clean
version, generated a PDF, then used the Save As Reduced size, it came out
perfectly.

Seriously, you'd think I'd be happier about solving the problem, but what a
bloody piddly thing it turned out to be to take all that time to fix.

As I recall, Mif2Go should output pretty darn spiffy Word documents,
although you may have to fiddle with it a bit to get what you want.

Acrobat 10 (I think) and later will save PDFs to Word format, although
everything will be in modified Normal (no style-name information is carried
through, but the document WILL look the same as it does in PDF). Depending
on what they want to do, that might be sufficient.

Are the customers going to sign something legally binding that says, we
edited it, so any mistakes are our responsibility?

 give me a nervous breakdown.



 So, with better MS-Word output generation as my primary goal, I've been
 considering a switch to Flare. Its capability to output in PDF, Word, and
 HTML seems as though it might ultimately streamline our processes. As I
 test Flare by my 30-day trial, though, I'm reminded of the many things
 FrameMaker does really well — things I might be losing if I made the
 switch:  For example, precise page layouts, complex graphics, robust
 tables. To its credit, Flare seems to offer output versatility, excellent
 documentation and support, and a lot of Marketing momentum.



 Am I misguiding myself?  Barking up the wrong tree?

Acrobat: Need to delete Shared Review profile

You know how, when you set up a shared review and specify that you want to
use your own server to collect comments, it let's you save all your choices
to a named profile?

I've got a few obsolete ones, but I can't find anyway to delete them. I
really need to, as having them is a trifle confusing.

IS there a way? I've searched Acrobat help and used Google, but I can't
find anything that addresses this. Which means I'm either using the wrong
terms, or it isn't possible without a reinstall, which would be just UGLY.

Now if I can just get the text within the SVG graphics to be searchable (a
major reason for the upgrade), I'll be happy. I'm already in touch with

Equation Palette: What are all the buttons?

I've used the Equation editor a fair bit to create equations (not for
evaluation), but there are buttons there I can't figure out that I suspect
might be useful if I just knew what they were.

However, even the help files don't have anything that says this button
does this/has this effect. I'm snooping through the install directory and
using google, but if anyone has pointers to documentation for it, I'd
appreciate the shortcut.

Thanks, but I've already read that. Let me give you an example of what I'm
looking for.

On the Operators tab, there are three different buttons showing a large ?
with a smaller one up and to the right. At least one of these is a
superscript and one is an exponent. I've no idea what the third one is, and
I don't know which button is which. I'd like to.

So what I essentially am hoping for is something like a graphic that labels
each button with a number (so I know which one is being referred to in case
of buttons that look a LOT alike) and a callout table defining each one.
There's nothing like it in the FrameMaker Help file. I could swear that
years ago there was a separate book dealing with the equation editor, but
damned if I can find it.

Roman, it still sounds like you're trying to insert a table into a
footnote. Is your cursor still in the footnote when you insert the new line
and apply Body to it? If so, you're still in the table footnote even though
it doesn't look like it. You have to put your cursor on the same line as
the table anchor and then create the new line.

I am unable to reproduce the error as described. Is it possible you're
actually trying to insert the table into a new line in the footnote, rather
than the line after the table anchor?

What we do here if we have odd-sized or even just rotated pages is put them
in separate files from the regular pages. So a single chapter can actually
consist of multiple files, in order, for each change in size or
orientation. All you have to do is make sure that the numbering is set to
Use same chapter number as previous file, and Save As PDF works fine. You
might be able to get the same effect by turning them into a section, but I
haven't used that so I can't really say.

Of course, setting up in multiple files can be a small nuisance. On the
other hand, you don't have to worry about reapplying master pages if the
amount of information you have changes.

 print to .ps, i.e., the PDF virtual printer or Distiller DOES detect page
 size automatically.  That is the process I’ve been using from the
 beginning.  I don’t know how to make this happen with the Save-As method,
 which is why I posted today.



 Only a few of the 30-some print books I use to publish an 8,000 page
 document have tabloid pages.  Barring some further response that provides a
 workable methodology, I will continue to publish those books that have
 mixed-size pages in the traditional print to .ps + Distiller as I had been
 doing exclusively until quite recently.



 Why continue to use the Save-As method?  Why not just keep the process
 I’ve always had?  Well, for one thing, when I have to produce the entire
 document (over 30 books), it is much faster and simpler to use the Save-As
 PDF.



 As always, thanks to those who have responded.  If I discover a solution
 to the original issue, I will post an update.

FM12 Crashes on File Open - Need Answer FAST

This file opens fine in Frame 10. It opens fine in Frame 12 IF it is a MIF
file. As soon as I save the file from MIF10 to FM in Frame12, close it and
reopen it, the program crashes again.

I am, of course, on multiple deadlines, and yes, I do need this file to
work in Frame12.

The weird thing? If I open the SAME FILE from my local hard drive in FM12,
it's happy as a clam.The only time it crashes is if I open it from the
server, and it's not that big a file (40 pages).

I've deleted the problem graphic (an SVG generated by Visio 2013) and
recreated a new SVG from Visio. Importing it and resaving as FM12 seems to
have fixed the issue.

Hi Stephen,

As I said in an earlier email, I tracked the issue down to a specific
graphic. This was an embedded SVG that had been created by an older version
of Visio, which sometimes did not perform clean conversions. Opening the
source in Visio 2013 and reexporting to SVG, then replacing the bad graphic
with the new SVG, solved the issue.

[Framers] Equations: convert between sizes?

equation formatting. Is there an easy way to change them to the small

Filter error message?

I'm getting the following error message when opening files that have
been moved from one directory to another.

"At least one original filter used for graphics imported by reference
is not available, or the imported file's format has changed. An
alternative filter may be used if the file is recognized as a graphic
Framemaker can import."

Note that relative image location has changed as a result of the move.
However, I relinked all the images I wanted to retain and told FM to
skip the ones that I knew were likely to be replaced. FM shows them as
grey boxes right now.

Any ideas on what might be causing this? It doesn't seem to have any
effect on the files, so knowing is not critical, but I am curious.

FM 8.0277
Dell Inspiron, Intel Quadcore Q6600 @ 2.40GHz

What helped me when I had more complicated numbering strings was to
set up a spreadsheet. The first column contains the tags that need to
be included in the numbering series. The first row contained a
description of what the number was for. You plug the numbering blocks
into the cells, and it's pretty easy to track when a reset needs to
occur and the like.

Remember when using a numbering string to provide it with a series tag
(e.g., "H:" for headings) and to have the same number of blocks in
each tag's string.

That is, if your Heading1 is "1." and Heading2 is "1.1" and resets
after each Heading1, then BOTH tags should contain 2 blocks. For

Zapf Dingbats mystery

As I recall, I had the same problem with that until I actually copied
the old Dingbats.pfm/pfb font files from my home computer to the
windows\fonts folder on my work machine. Prior to invoking the sneaker
net, I was able to see the symbol I selected in FM documents when I
was at home, but couldn't at work. In both cases, the machines are
Windows XP, SP3, with FM 8.277.

I can probably send you a zip of those files if you want.

How can I search for bold text and change it to a character style?

search for a character style and replace it with another character
style (amongst other things).

I attended an Edward Tufte seminar a number of years ago. He does book
signings at these, and while he was signing my copies he asked my
profession. When I said "technical writer", his response was "No more
than 3 levels of headings."

He was pretty heads down at the time. There was a long line of people
eager for him to sign their copies. From the way he said it, though,
and other things he said during the seminar, I'm fairly sure that he
meant no more than three heading levels in text.

I've got to dig out those books. They've been packed since I moved
almost 3 years ago, now, and I wants 'em.

Microtype's FrameMaker-to-Acrobat Timesavers has a function that will
do that. It is not a free plugin, though.

I believe that the way to do this is to insert a Postscript code frame
on a master page, but you have to know the postscript code that forces
the link to open in a new window, and I don't know that.

FYI, the list software strips attachments.

Off the top of my head, I'd check the Paragraph Tag and make sure the
following is true:

* Alignment -- Left
* First -- 0"
* Left -- 0"

You may also want to check the Master page and see if you have Sideheads set up.

The same thing happens to me. As far as I can tell, if you're the only
person working on the files, you can ignore the message. I'm not sure
how to prevent it, though. Even if it is preventable, it may not be
wise to.
