Hi Lin,

The Change Bar properties are in Format | Document |
Change Bars. The properties are part of the Page Layout.
Therefore you can make these properties part of your template 
and import the Page Layout with the Change Bar Properties 
into other files.
Does this help or do you already know all this?

Long change bars are created when a table is in between 2 lines

Greetings from a chilly Scotland,

I have a strange behaviour with change bars which is quite undesirable, 
where change bars become excessively long.  I found this with a 
structured XML document, but the same occurs with unstructured 
documents, and the behaviour occurs in FM 10, 11 and 12.


The scenario is a simple unstructured document containing the following:
x a 1
y b 2
z c 3
and a table is added to the end of each of the lines.  Select the letter 
a, and then select menu item: Format  Style  Change Bar.  The line is 
correctly marked with the change bar.  But when same action is performed 
for the letter b, the change bar is extended between the 'x a 1' line 
including the table.  Repeat the same for the letter c, and now the 
whole document has a change bar!


This is NOT useful, as the table content hasn't been changed - it's just 
the lines where the table anchor are located that have changed.
I would have expected just the line to be marked with the change bar - 
as the MIF of the document clearly has the table anchor outwith the 
'change bar' tagged text.


I can add a line-feed character, or add an extra paragraph before the 
table anchor to circumvent the long change bar effect, but my client 
does not like this.


Could this be considered a bug?

Many people create a para tag called Anchor to solve this (and a host of
other less than desirable behaviours) that you may want to try

It's an almost invisible tag that I use only to anchor tables and graphic
frames. I set the para font to 2 points, which is usually the minimum, and
adjust space above to match other body type paragraphs. I color it red for
on screen visibility.

Never put any text in the tag -- just use it as an anchor point.

You could also use the Character Designer to apply change bars so that the 
table marker will not be included.

You can use a mouse in the Character Designer dialog box, or use the keyboard.
The key sequence for those change bars is Format  Style  Change Bar, which 
can by keyed on a Windows PC by:

[Alt][o] [y] [c]

This does not mean the behavior was not a bug, but it is a relatively easy 
workaround.

As an aside, I sometimes want to have a change bar that includes an 
intermediate table.  FM 9 does not do this the way your version behaves.  If I 
highlight a long sequence of paragraphs, and use the Paragraph Designer to 
apply a change bar, the tables are skipped.  If I use the Character Designer to 
apply the change bar, then the tables are included.

I checked with FM 8 and FM 12: 

If the character format is applied only to a single character in each
paragraph, the change bars combine to a long line, including also the
tables. 

I do not see any kind of workaround in your suggestion, the bug here is
exactly what Simon was telling us. 

I haven't got FM 9 here right now, so I cannot say if the behaviour is
different.

This cell padding idea worked ok to accomplish what I need. But I had to
set top at 3pt and bottom at 2pt, anything less caused the bars to rejoin
as one. I tried to compensate for the added vertical growth by adjusting
line spacing and font size, but couldn't exactly match the rows per page
that I had before.

BTW, for the other replies to this issue: I'm in unstructured frame, and my
initial workaround was to draw individual lines beside the rows. It was
tedious but worked ok for that delivery. Glad to figure out an easier
solution for the next go around.

Reappearing Change Bars

Do any of the character or paragraph styles have change bars set?

Very strange if they're in the PDF but not in the Frame file! Have you tried 
Ctrl-L on the Frame file to see if that refreshes the display and makes them 
visible?

Reappearing Change Bars

Hi, all!

I am posting for a coworker, but I have no answers or where to start either.

In our FrameMaker 10 book, we add the change bar style to cross references that 
have changed for a revision. When we modify that page for a subsequent 
revision, we remove the change bar style. These change bars reappear on cross 
references at random. The reappearance seems to relate to the PDF process 
because when I open the FrameMaker file to remove the errant change bar from 
the cross reference, the change bar that appears in the PDF doesn't always 
appear in the FrameMaker file.
I have run into this situation multiple times. Any thoughts?

The book is in VERY unstructured Frame, but we cannot fix that at this point 
(although I don't see how that would affect this).

In our FrameMaker 10 book, we add the change bar style to cross
references that have changed for a revision. When we modify that page for
a subsequent revision, we remove the change bar style. These change bars
reappear on cross references at random. The reappearance seems to relate
to the PDF process because when I open the FrameMaker file to remove the
errant change bar from the cross reference, the change bar that appears
in the PDF doesn't always appear in the FrameMaker file. 

I have run into this situation multiple times. Any thoughts? 

 

The book is in VERY unstructured Frame, but we cannot fix that at this
point (although I don't see how that would affect this).

One thought is that the change bars option might be on for a character tag, and
then that tag is used as part of some of your xrefs.

It is possible that one of your users has added changebars manually (as an 
override). In that case you will have to remove them by applying the default 
font for the paragraph to the text in question.

BTW: I have seen this happen when users are not aware of the automatic nature 
of change bars and they want to make sure it happens.

It's a time-consuming nightmare to remove them.

Use Find/Change to search for Character Format and set the formatting dialog to 
all As Is except for Change Bars, which are seleted.  This will find anything 
that is tagged with the change bar format, whether it's content within a table, 
a cell in a table, or a row of a table. Once the tagged content is highlighted 
by the Find, you simply remove that formatting via the Character Designer.  Or 
you could define a no character bar character format that is set to all As Is 
except for Change Bars, which you deselect. 
 
Then there is always the global Clear All Change Bars command (under 
FormatDocumentChange Bars in Frame versions through FM8.0).

Well, you can remove all change bars in the document easily enough. Go to 
Format  Document  Properties. In the dialog, select Clear All Change Bars and 
click Set.

Finding by character format led my brain down the character format/tag path for

But the thread was on the Free Framers list (fram...@omsys.com), not
FrameUsers (framers@lists.frameusers.com) -- as is the addressing
annoyance. 

On FrameUsers, Reply All addresses both the sender to whom you're
replying and the list, while Reply addresses only the former. On Free
Framers, Reply and Reply All do exactly the same thing, which strikes me
as counter-intuitive and unhelpful. Like Seonaid, I've more than once
replied just to the sender by accident. This makes the list archives
less useful because many of the questions to the list aren't answered on
the list.

I've managed to do this a little differently than the others have
mentioned. We start the content that needs the change bar prior to the
graphic, include the graphic, and then at least the first character of
the para immediately follows. Yes, it then looks like there is a change
in the first line of the next para, but seems to work well enough for
our people. Not necessarily the best way, but it works.

"How do I get change bars to appear alongside graphics/anchored  
frames? The help file indicates they should appear automatically (when  
set) against non-referenced graphics but I can?t get this to happen.  
All my graphics are in anchored frames."

Any suggestions as to what is going on for them, and how they might  
resolve this? I have offered a work around but there is probably a

I'd be interested to find out about this too.  I've always put change 
bars on graphics manually (a line in an anchored frame).  Does mean I 
have to remember to remove them later, but not too much of a problem.

That only puts a short bar with the paragraph and does not extend the  
full length of the anchored frame. Which is the really annoying thing.

This is what I have suggested and seems to have got around the problem  
unless something better emerges:

What I've done is set up the anchored frame in AutoText.  Set to Outside 
Text Frame and Side farther from binding.  In the frame I've put a line 
that is the same colour and width as Frame's change bars, and the same 
distance from the text.  The Aframe is only about 1cm square, but the 
line extends the height of the page, but of course is only visible 
within the frame.  That way I can insert the frame quickly using 
AutoText, and resize the Aframe to make the line visible exactly where I 
want it.

FM 8 - Change Bars

I've "managed" to do this a little differently than the others have
mentioned. We start the content that needs the change bar prior to the
graphic, include the graphic, and then at least the first character of
the para immediately follows. Yes, it then looks like there is a change
in the first line of the next para, but seems to work well enough for
our people. Not necessarily the best way, but it works.

I believe that I've faked it out by enter a space in my anchor tag for the
anchored frame. I'm not in FM right now, but I think that will put the
change bar along the entire anchored frame.

Hi Linda,

That only puts a short bar with the paragraph and does not extend the  
full length of the anchored frame. Which is the really annoying thing.

This is what I have suggested and seems to have got around the problem  
unless something better emerges:
 In the past (in flight manuals, for example) we have resorted to
 putting an anchored frame that is the same height as the image's frame
 outside the column (on the same side as the change bars of course) and
 then using the line drawing tool to draw a vertical line in the
 anchored frame. This allows you to have the line follow the image if
 it reflows and can be easily deleted when required by deleting the
 anchored frame - you just have to remember to do that manually.

I was reminded of that approach by Dave (thanks).

It is not the best but does the job.

Ah, it does work if the anchored frame is set to At Insertion Point, but it
does just the short line if you have it set to Below Current Line. I think
that's what I was thinking about. I frequently shrink wrap graphics, so they
end up set to At Insertion Point.

Another way that I sort of works, but is still a bit of a kludge (but not
something you have to remember to after) is this:

1. Enter a space in the anchor tag.

2. Go the paragraph below the anchored frame, and enter a space there
somewhere.

3. Delete that extra space.

It will be a bit ambiguous about that next paragraph, so it's certainly
imperfect. 

I found that I do like the track edits feature in FM, which shows the actual
text edits (but I don't think it helps if you just replace the graphic
that's in an anchored frame).

What I've done is set up the anchored frame in AutoText.  Set to Outside 
Text Frame and Side farther from binding.  In the frame I've put a line 
that is the same colour and width as Frame's change bars, and the same 
distance from the text.  The Aframe is only about 1cm square, but the 
line extends the height of the page, but of course is only visible 
within the frame.  That way I can insert the frame quickly using 
AutoText, and resize the Aframe to make the line visible exactly where I 
want it.

Can one selectively remove Change Bars in a Document?

Hi, all.

Using FM 8 (latest version) on a Windows XP SP3 system.

Is there any way to do selective removal of Change Bars? I.e., without
removing them from the whole document (from the menu item that does
this)?

Reasons and comments:

1. In some of my specification documents, I explicit note that some text
changes, without content or meaning differences, do not get Change Bars
(to avoid too many situations where people go looking at Change Bars for
content change and see no real change!). As an aside, it is good that
format changes do not trigger Change Bars - whew!

2. Occasionally (often enough to be a pain), I find that changing the
text INSIDE a table, and then undoing it, doesn't remove the Change
Bars!

3. I also noted that sometimes, doing an Update References SOMETIMES
causes references to tables - not all of them either (wish it was
consistent!) - to get flagged with Change Bars, even though they did not
change at all (either number or page or figure name etc.). These, at
least, I can usually fix manually (sigh) with a Set Default Font ...
but I do have to go looking for them - which is a pain!

Anywa, for tables, I have tried using the Use Default Font method and
that does not ALWAYS work. I have also noted, that till the file gets
saved, sometimes the Change Bars do not update!

However, SOMETIMES, none of the above methods work for text inside the
table! Then, I get stuck with the Change Bar in places where I cannot
remove them.

Hence my question ...

Select the area that has change bars; open the Character Designer, and from 
the Commands drop-down menu choose Set Window to As Is (or use Shift-F8). 
Turn off the Change Bar property and click Apply.

Select the text you want to (de-)change-bar, then hit ESC, c, and h (in 
sequence, none at the same time). This toggles the change bar on and off.

Thanks! This seems to work in body in normal text paragraphs well, but
has a bit of difficulty with text inside paragraphs ... I may need to do
more experimentation.

Can one selectively "remove" Change Bars in a Document?

Hi, all.

Using FM 8 (latest version) on a Windows XP SP3 system.

Is there any way to do selective removal of Change Bars? I.e., without
removing them from the whole document (from the menu item that does
this)?

Reasons and comments:

1. In some of my specification documents, I explicit note that some text
changes, without content or meaning differences, do not get Change Bars
(to avoid too many situations where people go looking at Change Bars for
content change and see no real change!). As an aside, it is good that
format changes do not trigger Change Bars - whew!

2. Occasionally (often enough to be a pain), I find that changing the
text INSIDE a table, and then undoing it, doesn't remove the Change
Bars!

3. I also noted that sometimes, doing an "Update References" SOMETIMES
causes references to tables - not all of them either (wish it was
consistent!) - to get flagged with Change Bars, even though they did not
change at all (either number or page or figure name etc.). These, at
least, I can usually fix manually (sigh) with a "Set Default Font" ...
but I do have to go looking for them - which is a pain!

Anywa, for tables, I have tried using the "Use Default Font" method and
that does not ALWAYS work. I have also noted, that till the file gets
saved, sometimes the Change Bars do not update!

However, SOMETIMES, none of the above methods work for text inside the
table! Then, I get stuck with the Change Bar in places where I cannot
remove them.

Select the area that has change bars; open the Character Designer, and from 
the Commands drop-down menu choose Set Window to As Is (or use Shift-F8). 
Turn off the Change Bar property and click Apply.

Seeking effective doc compare solution for Vers A. vs. Vers D change bars

SUMMARY: I am looking for an effective document comparison tool for
FrameMaker that will detect changes between two files, where I will
apply change bars to indicate the changes.

 

I am working with a client who creates a version A and has it translated
into several languages. Then the client internally publishes Version B,
Version C and eventually Version D in English only for internal use.
Each subsequent version has change bars only showing changes from the
previous version. 

 

I need to take the source English Version D and make it show change
bars for *all* differences back to Version A. I have Version A and
Version D for Doc Compare. As most of you know, the Doc Compare
utility in FrameMaker (this is version 6.0) is not very strong in
tables. There is a sort of fuzzy logic where in an entire table will
show that all of its contents have changed if more than 2/3 of the table
cells have changes in them. (I know about the work around to save tables
to paragraphs in individual files and then compare that; am looking for
something less painful

 

Has anyone found an effective tool outside of FrameMaker for comparing
documents and marking all text (including table contents) that has
changed, and thus should be showing change bars.

You may have to check for conditional text. Revision bars are often
set in some conditions. You may have to change that directly or just
make the offending paragraph (object) unconditional.

Also change bars may be the result of an element set to display the
change bar, so if these documents are structured, you may have to look
into the EDD.

Further, there may be a character format set to use change bars.

Try first to Format  Document  Change Bars  Clear All Change Bars
 If the change bars then show when you open the file (test by
closing and reopening), some of the above may be the offending
factor.

Can't help on RoboHelp, but for the change bars, check your paragraph styles 
don't have change bars set. It's on the "Default Font" tab of the paragraph 
designer. And ditto character styles.

Another thought...is there a character style with an as is setting for the
change bar? I've had some fun recently when I couldn't get things to work
like I thought and that was the problem.

Hi Becky,

If you're going to use automatic change bars, it's important to understand 
what is marked as a change when this command is activated. For example, 
updated cross-references are marked as a change; updated graphics that are 
imported by reference are not marked as a change; updated graphics that are 
imported with a different file name are marked as a change; etc.


If you're experiencing undesirable results, mark the changes manually. It 
takes a little longer, but the peace of mind is worth it.


Also, the compare document feature mentioned in a previous e-mail doesn't do 
a good job identifying changes in tables or graphics. It also introduces 
conditional text to the document, which adds a layer of complexity to the 
document. It's a useful tool, but probably not the best solution for your 
situation.

docs, I suppose. I don't recall any oddities with graphics, but maybe
they just didn't impact me enough to make an impression.

2) In the Comparison Options dialog, set Mark Insertions With to
Nothing. 
3) Set Mark Deletions With to Replacement Text and make sure the
replacement text box is empty.

Depends on your goal -- if you want to frustrate Frame-hating
co-workers, it seems to be working. ;-)

In the absence of such a goal, though, I'd say it's a really bad idea. 

I can't imagine working that way. Even if I needed to mark changes as I
worked, I'd do it manually so that only substantive changes get marked,
not automatically updated things like xrefs and trivial edits like
typos. 

A much better way to track changes, IMO, is to use FM's Compare
Documents function (File > Utilities > Compare Documents; check the
manual or help for info about the options available). Run the comparison
after you're finished updating the document, comparing it to the
previous version -- you did save the previous version before starting to
make changes, right?

I had one like that here a while back.  The previous TW had ignored the
built in change bar capability, and created a special changed
paragraph tag that included a graphic on the reference page for the
change bar.  Took a while to find that one...

Better diff tool that change bars?

I am wondering how others keep track of changes made to their books.  I am
the only technical writer at my company, and we have a rigorous system of
reviews such that people are looking at the manuals who don't edit/read them
regularly.  Those engineers who have been doing reviews on the manuals have
complained about not having a good diff tool for Frame.  They don't seem
satisfied with the tools available within Frame.  What do the rest of you
do?  Thanks!

I generally do what Steve suggests. I run the compare utility on the old book 
versus the new book. Then I collect all of the newly created files 
(file1cmp.fm, file2cmp.fm, etc.) and create a new book with them. I use the 
existing graphics, TOC, and index files and then PDF the whole mess for the 
reviewers.

Works pretty well, although sometimes there are a lot of phantom changes caused 
by name changes to linked graphics and the like. I've developed some search 
techniques that show the change bars, insert, and delete conditions and when my 
reviewers want a better road map of the actual changes, I to that extra 
scrubbing as well.

Hi, Molly:

If you're circulating your documents as PDFs, take a look at Acrobat's 
review-cycle feature, and also the document comparison feature that has 
several levels of granularity. Acrobat 8 can enable PDF documents for 
comments by users who view the documents with Reader 8 or Reader 7, so 
users don't need full Acrobat.

Hi All,



I am wondering how others keep track of changes made to their books.  I am
the only technical writer at my company, and we have a rigorous system of
reviews such that people are looking at the manuals who don't edit/read them
regularly.  Those engineers who have been doing reviews on the manuals have
complained about not having a good diff tool for Frame.  They don't seem
satisfied with the tools available within Frame.  What do the rest of you
do?  Thanks!

I generally do what Steve suggests. I run the compare utility on the old book 
versus the new book. Then I collect all of the newly created files 
(file1cmp.fm, file2cmp.fm, etc.) and create a new book with them. I use the 
existing graphics, TOC, and index files and then PDF the whole mess for the 
reviewers.

Works pretty well, although sometimes there are a lot of phantom changes caused 
by name changes to linked graphics and the like. I've developed some search 
techniques that show the change bars, insert, and delete conditions and when my 
reviewers want a "better" road map of the actual changes, I to that extra 
scrubbing as well.

When you say you cleaned the files, do you mean that you saved the FM
files as MIF to remove hidden Word characters and then reopened and
saved the MIFs as FM files?

If not, and if hidden Word chacters are triggering the change bars,
this would clear it.

Change Bars

Sometimes the change bar setting seems to get stuck in the end of flow markers 
at the end of table cells. If you go to the end of the last paragraph and press 
enter, then backspace, sometimes that works to replace the sick end of flow 
marker with an ok one.

Each file is from a word document, cleaned and saved as RTF.
