[Framers] Glossary popups FrameMaker 12 to Responsive HTML

Hi all -

I'm using FrameMaker 12 unstructured.

In a document that will be published as Responsive HTML, I need the user to be 
able to point (or click) at part of a screenshot and a popup opens, explaining 
that feature.

I've tried using the marker types Glossary and GlossaryTerm, and they work fine 
as long as both are in text. But when I create a text frame on top of the 
screenshot in the anchored frame and put the marker in the text frame, it's a 
no-go.

I'm guessing it works when both are in the text because they're in the same 
flow (A:). But FrameMaker won't let me tag the text frame on the screenshot A 
and if I create a text frame outside the anchored frame and tag it A, 
FrameMaker won't let me drag it into the frame.

So long story short, is there a way to get this work? Should I use something 
other than Glossary markers? I've noticed that the Popup marker type is 
available but appears to do nothing and is no longer mentioned in FrameMaker 
Help.

Try creating a new layout, and use one of the layouts that is new to Fm 2015. 
Prior layouts may not provide this functionality.

Hi Don,

Do you mean that you want to create a list of terms in a file and have
something automatically mark those terms in your documents to be added to
an Index? I don't know if FM does this by itself, but I believe that IXgen (
http://www.fsatools.com/ixds.html) will do this. Index Markers by
Configuration, from SQUIDDS (part of Finalyzer:
http://www.finalyser.de/en/finalyser.html), MIGHT do this, but I've never
used the tool so I'm not positive.

Hi Framers,

Am I imagining things? I thought there was a way to generate an index based 
upon a list of terms, but I can't find anything in the documentation.

We're trying to build a glossary and I thought that tool might be useful.

Any tips?

I might be the only one confused... but what is the point of a defect
tracker to develop a glossary? Are you trying to use the tracker as a
means of handling review and edit? I mean... there's TONS of ways to
handle such a workflow, if the goal is merely:
* Someone comes up with a new term for the glossary, and defines it.
* The term and definition is shopped around various SMEs and interested
parties, for comments/edits.
* The term is added to some kind of FM file/book and the deliverable
(CHM file?) is re-generated and re-published.

Hell, it could be done with an Outlook task or an email chain; it could
be done on an internal, developmental wiki; it could be done in a
regular (e.g., weekly, monthly) meeting for all new term additions at
once.

I guess... uh, I guess I just don't understand why this is even a
question? Can you provide further details about tools limitations,
contributor requirements/restrictions, or other business needs that
might be impacting your choice of workflows, which is leading you to
reach out for advice...?

Hi All,

I have been assigned to create a comprehensive and a single glossary for 
documentation purposes. I am researching and evaluating several options at this 
time, and one of the suggestions i have received is to define a workflow (from 
Product Manager to Dev to Doc) using our defect tracking system.

We currently use Siebel to track defects. What are the pros and cons of using a 
defect tracking system to set up a workflow for a glossary? What are some of 
the concerns with this approach?

The eventual intent is to create a global file in Frame and use RoboHelp to 
make it available online to various groups within the company.

Please share your views when you have a minute.

about that.

The localization team in our company does use a legacy in-house system to add, 
review and edit terms and definitions to the localized glossary. This process 
has proved to be efficient and self-sufficient, however, it requires a 
considerable amount of developmental effort to replicate the same process and 
workflow for our (documentation) project. Our intent is to create a global file 
of terms and definitions and provide a read access to the others teams in the 
company.

 We have evaluated Wiki and Confluence as well, and it does not appear to 
fulfill our needs. We are talking at least 3000 to 4000 terms and definitions 
here.

Siebel was suggested to us, and I was wondering if anyone has used a defect 
tracking tool for glossary purposes before. Siebel is primarily a CRM tool, so 
am trying to understand better how we could use it to build a database of 
glossary terms and definitions.

Glossary for both paper and online help

How do you insert glossary items in your Framemaker file for use in the
paper version as an alphabetical list of glossary terms and in the
online help as drop-down hotspots/hovertext.

 

I use Framemaker 7.2 and Webworks Publisher 7.2 with the webhelp 5.0
output format.

 

I used to have a generated alphabetical list of glossary markers for the
paper manual and some other markers for the online part.

 

I have seen various ways of doing this in Framemaker

 

Using gotolink and newlink markers

Using acronymTitle and AbbreviationTitle makers.

 

I would prefer an automatic solution which lists all items in the paper
version of the glossary alphabetically.

Frame crashes when generating a Glossary

I marked a bunch of terms with the glossary marker. When I try to update
my book and generate the glossary, Frame crashes. I get that internal
error dialog. When I update the book without the glossary, everything is
fine. Has anyone else experienced this? What was the solution.

Question about glossary terms

I am creating unstructured guides in FrameMaker 7.2. The guides are
primarily for print, but our customers also received PDF copies.
 
There are terms that I need to define, so I have created a glossary. I
want to use a visual indicator, so that anyone using either the print or
the PDF guide would know that a term is defined in the glossary.
 
So far I have been using a graphic question mark icon that I place
directly beside a term. I describe the meaning of the icon in the
typographical conventions section of each guide's introduction.
 
Any thoughts on a better way to indicate glossary entries? I am not
wanting to use a cross-reference or hyperlink in particular, but I'm
willing to consider all suggestions.

Using colored text, such as green, could be helpful so that they can easily 
identify the defined/linked term at a glance. For instance, if the term used is 
a phrase like gain fluctuation or return loss, so that they don't think you're 
just defining fluctuation and loss, respectively.

Question about glossary terms

I am creating unstructured guides in FrameMaker 7.2. The guides are
primarily for print, but our customers also received PDF copies.

There are terms that I need to define, so I have created a glossary. I
want to use a visual indicator, so that anyone using either the print or
the PDF guide would know that a term is defined in the glossary.

So far I have been using a graphic question mark icon that I place
directly beside a term. I describe the meaning of the icon in the
typographical conventions section of each guide's introduction.

Any thoughts on a better way to indicate glossary entries? I am not
wanting to use a cross-reference or hyperlink in particular, but I'm
willing to consider all suggestions.

Question about glossary terms

Using colored text, such as green, could be helpful so that they can easily 
identify the defined/linked term at a glance. For instance, if the term used is 
a phrase like gain fluctuation or return loss, so that they don't think you're 
just defining fluctuation and loss, respectively.

I suspect that you're seeing the result of FrameMaker's handling of
tab stops.  I'm guessing that the paragraph tag that is being used for 
the collected glossary items lacks a defined tab stop position.
Without one or more defined tab positions (and the default is to have
none), you can type as many tab characters as you want (manually 
or via an escape code in a dialog box), and FrameMaker won't budge
so much as a single point.  Open the Paragraph Designer from your
glossary file and make sure that the Basic properties sheet shows
a tab defined at an appropriate location.

If you have FrameScript 4.0R2 and MSXML 4, you can easily extract a single 
element from an XML file. You could also avoid the XML step entirely with 
FrameScript.

I discovered a neat feature of FM 7.1 that helps a lot.

You can save a .FM file as XML, *even if it's unstructured*. It will use
your paragraph and character tag names as elements, so if you're looking
for all strings that you've marked with the character tag Term, you
just need to search for Termblah/Term.

Very handy!

I have to caution you that since it's XML, it is *not* line-oriented.
You can't use a typical search and replace tool (like sed) that is
line-oriented. Fortunately, I know how to handle this.

Joe,

Here is another technique (somewhat manual) to segregate and alphabetize
your desired terms into a glossary.

Use the FIND command to find "character tag"  (put character tag name in
field.) When you find first instance, open up the Special=>Marker window
and choose "glossary". The selected text is already copied into the
marker window. Click on the [New Marker] button. Repeat FIND to select
next instance, and repeat creating new marker. If you are in windows,
CTR-SH f  -- is the short cut for "find next."  ALT s m  -- is a
shortcut for opening the markers windows. 

When you are finished, Special=>Index of ... markers ... choose
"glossary" for type and generate. In the generated Index of Markers
document, you can manually delete the alpha sort characters and page
numbers. Or, you can edit the "IOM" reference page to have the document
not generate page numbers (delete <$pagenum>); go back to the source
document and regenerate the IOM document. In the generated file you can
search for [paragraph tag] "GroupTitlesIOM" and "change all" in doc
with text [blank] ... this will leave a generated document that only
contains an alpha sorted list of your terms.

If you have in-house expertise to develop a FrameMaker plug-in, it would
be fairly easy to automate these steps.

You could do that with a pgf tag for the term that has the font bold and 
the pagination set to Run-In; press Enter, not Tab, then use a non-bold 
pgf tag for your definition.

 You could do that with a pgf tag for the term that has the 
 font bold and the pagination set to Run-In; press Enter, not 
 Tab, then use a non-bold pgf tag for your definition.

Stuart, THANK YOU! That did the trick. I think that's how I did it
before, although of course the truth is lost in the mists of time.

You might not wish to go to these lengths, but the way we do glossaries is to 
set them up in a two-column [untitled, unruled) table, term in left-hand 
column, definition in right-hand column. We then insert glossary terms in the 
book text using xrefs to the glossary.

What this gets you:

. Ability to alphasort glossary terms with one command

. Simple formatting by adjusting column widths

. Easy way to apply special formatting to term in body text or glossary

. Guarantee that term is quoted in text exactly as it appears in glossary

. 'Free' hyperlinks in a PDF from a term to its definition

. Structure that Mif2Gos fairly simply to get pop-up glossary definitions in 
Windows help

. Easy method of spotting terms that are defined but not referenced (look for 
terms with no hyperlink)

. Guarantee that terms that are not defined in the glossary, but should be, 
will be spotted

You can use exactly the same idea for bibliographies.
