How to best keep track of tax liabilities of a sole proprietorship
I am using GnuCash for my freelance business. My dad always taught me to set 30% of a check aside for the government's share. How would you enter this to keep track of the tax liability? I am thinking I'd have to enter it against my *Income:Sales* account as a transfer to *Liabilities:Tax* I figure at the end of the year *Asset:Checking Account* can transfer to satisfy the true Tax liability. One thing to note, I *don't* want the liability to effect reports on sales reports. :/ Am I just overthinking this? -- Chris___ gnucash-user mailing list gnucash-user@gnucash.org https://lists.gnucash.org/mailman/listinfo/gnucash-user - Please remember to CC this list on all your replies. I have several checking accounts and use them all for both personal and > business use. It seems unfeasible to set up two sets of books. Can/how do I > separate personal from business in one set of books? You don’t. You create the separation by creating two books, one for each. It is possible to duplicate accounts and name them accordingly but you’ll have to keep straight which is which and make sure not to use the wrong ones. There is no additional level of classification in GnuCash - everything is an account (no categories) but you can have multiple levels of accounts. The question of “Do I separate these concerns?” is usually answered by your tax filing decision. If you file your business as a pass-through on your personal return then you likely should use one GnuCash file. If however, you file a separate business return for a legally registered business entity, then you most likely should keep two files - one for business, one for personal. You should really talk to a CPA about the best route to take for your situation. An initial consultation is not usually that pricey and well worth the money. (especially if you have all of your questions lined up already) > > 2. I have several credit cards, use them the same way as checking. How do I > set up several credit card sub accounts, e.g., notional names AB Visa, CD > Mastercard, EF Visa, etc., and separate purchases for business and personal? It’s easy to set up a credit card type account for each card. Read over the Tutorial & Concepts Guide. As for tracking purchases for each one based on business vs. personal, that depends on how you use the cards. (and the answer to question #1) If you need separation, ideally, those cards should be in the business name and kept in a separate GnuCash file. If not, and you use any card for either concern, you’ll have a lot more manual work on your hands. Again, there is no extra layer of classification here. To accomplish expense separation in one file you’d have to set up your expenses like the following example: Expenses >Business >>Auto >>Insurance >Personal >>Rent >>Utilities Of course, you might have duplicate expense account names, but you’ll need to pay attention as to which parent they are under. (as I indicated in my answer to #1) > > 3. I do all my data entry manually and am not going to change. Not a problem. I do the same. I prefer not to import banking transactions because I don’t want to import a possible error. Manual entry also serves as a check for both me and the bank. > > 4. I have several income streams, including farming, flight instruction, > writing, custom farming (e.g., mowing or plowing for someone else), military > retirement, social security benefits. Some are business and some are > personal. Any thing to consider when I set them up? I have a similar situation (not the same streams mind you), so I created several sub accounts under “income” (which I renamed ‘revenue’ for personal taste) I have the following: Business Sales Labor Exchange Gifts Received Rents The Business Sales account has sub-accounts for me to track revenue from each type of work I do. (my attempt to sneak in some analytical accounting, which GnuCash is not quite set up for) Labor Exchange is for any personal work I do that is not part of my regular business. You can indicate which if any categories (as with the expenses) you want to mark as “tax related.” This will help with reporting at the end of the year. > > As I see it, my main uncertainties are about mixing personal and business and > about having a number of different accounts of the same type that are used > for both personal and business (i.e., checking and credit cards). No real way around that except two sets of books (GnuCash files). Alternative, you could try the intermediate parent account system I outlined above, but I think you’ll find it tough to keep straight. If you have separate bank accounts and credit cards for business, that makes everything much easier, even with a single GnuCash file. (the new Transaction report will allow you to filter expense accounts against an asset account, so you could see all ‘auto’ expenses that were paid for by the business checking account) Someone else might have some tips concerning the use of notes/memos as a field to ‘mark’ expenses as deductible for business purposes, even when filing as a pass-through on a
Re: Farmer Question
Jim, I am "sorry" to report that in my humble opinion GnuCash is an ideal program for your needs. The downside is that it does require some TLC to set up your books and it will probably consume more of your free time than you would like. That said, it works nicely with many bank accounts simultaneously, many credit cards or other sources of credit, and it can be as detailed as you care to make it. If your business use does not require heavy tax documentation in your accounting system you can probably include that too, unless your accountant recommends otherwise. As far as naming accounts is concerned, settle on a scheme that you like and be consistent. I personally like to use a 'Top level first' strategy so for example I name my credit card accounts Liability:Credit Card:Bank_A VISA DLC where is the last four digits of the credit card account number. My wife's accounts get different initials in the name and the dogs gets RC and GC. Have fun! OK, you do things much as I do them, except that I have two sets of checking/savings accounts, one set mainly personal (a credit union where I used to work) and the other mainly business (a set of accounts at a local S). I do have a PayPal account (with a Debit card and PayPal Credit) that I use for both personal and business. I have one set of books / one GnuCash file. I have a "bank" account for each checking account (each checking account has a "debit" card) and each savings account. I have a "bank" type account for the PayPal (debit) account. I have a credit card account for my lone general purpose credit card (at the credit union), for my Care Credit card (used only for medical expenses not covered by my insurance), and my PayPal Credit. Plus a "cash" account for cash in my wallet and a company cash account, mostly used when I at something like a trade show selling company merch (mostly novelty USB thumb drives). Then I have "income" accounts for each of my customers (mostly webhosting, but two regular Linux Admin jobs, and an assorted group of mostly one-time programming or linux admin jobs). I have an account for my pension (an income account), and an accounts receivable for my business. Plus a pile of expense accounts (for various sorts of expenses, both personal and business). My only "trick" is to use well named accounts (eg use names that concisely describe the account) and putting meaningful information in the description field of the transactions. At tax filing time, one can suitable customize the income & expense and transaction reports to provide just the sort of info you need to fill in the forms correctly and accuractly. > > As I see it, my main uncertainties are about mixing personal and business > and about having a number of different accounts of the same type that are > used for both personal and business (i.e., checking and credit cards). > > It occurs to me that if I have to ask these questions the prospect of > using double-entry bookkeeping may be more than I should attempt. Re: [GNUCASH] Commas on graph
If you mean you want to see commas as a thousands separator, that is dependent on currency/locale I should think. I have mine set to US Dollar/US. I don’t see any setting for that display in particular, but this option does exist in my OS locale settings. All reports I run that are over $1,000.00 show a thousands separator. If you want to use commas as a decimal separator, then you’ll have to set the appropriate currency/locale. Farmer Question
I've used Quicken for years and am considering switching to gnucash mainly because Quicken is going to a subscription pay model and I don't want to be held hostage by it or by an operating system (I always have in the back of my mind to swithc from Windows to Linux). I know little of accounting. In reading the manuals, I have a number of questions about setting up the gnucash system. 1. I have several checking accounts and use them all for both personal and business use. It seems unfeasible to set up two sets of books. Can/how do I separate personal from business in one set of books? 2. I have several credit cards, use them the same way as checking. How do I set up several credit card sub accounts, e.g., notional names AB Visa, CD Mastercard, EF Visa, etc., and separate purchases for business and personal? 3. I do all my data entry manually and am not going to change. 4. I have several income streams, including farming, flight instruction, writing, custom farming (e.g., mowing or plowing for someone else), military retirement, social security benefits. Some are business and some are personal. Any thing to consider when I set them up? As I see it, my main uncertainties are about mixing personal and business and about having a number of different accounts of the same type that are used for both personal and business (i.e., checking and credit cards). It occurs to me that if I have to ask these questions the prospect of using double-entry bookkeeping may be more than I should attempt. If you think that is the case feel free to say so. I'm trying to figure out if I want to go this way. I tried QuickBooks about 8-10 years ago and gave it up after a couple of months. I have the time and energy to put in, just not sure if I'm smart enough. Re: Updated Finance-Quote to 1.44; GnuCash still not retrieving quotes
It is curious that alphavantage is not one of the choices under the "Unknown" button in the security editor after the "Get Online Quotes" box is checked. After re-reading your initial message I see that F::Q does appear to be functioning as a standalone but it is not integrated correctly into GnuCash. If you click on Help in the Security Editor there is a link in the help to go to another section called "Steps to enable On-line price updating". There you can find instructions on how to run the “gnc-fq-dump” test program and a few additional hints. If that does not solve your problem there should be someone either here or at the IRC chat page that can help solve whatever error remains after running those tests. If that help file is not bundled in that Ubuntu package you should be be able to find it online. Alas, I myself have not been able to get it to work in Debian Stretch where I would prefer to use it, but I have not found time to do the tests that the help suggests. It is a reduction of a liability (the mortgage). In addition to running the Income Statement for a period you should run a Balance Sheet for the start of the period (immediately before) and the end of the period. It is there that you should see the reduction of the liability. Re: Income Statement report to show loan paydown amount?
Check out the Tutorial and Concepts guide. (The entries I list below are simplified and don’t include multi-level account names, yours will vary) There are two ways to handle credit cards. The method I prefer is to enter any charges on the card as follows: Dr. Expense Cr. Credit Card Liability (as a general rule to help me keep things straight, I enter expenditures in the account where the money is coming from - in this case, I’d enter it in the credit card register. If I were paying cash, I’d enter it in the cash register, and if writing a check or using a debit card, I’d use the checking register, etc.) Now, regardless of when you pay the credit card balance, the amounts for each expense account will show up in their proper periods. (as they should) Concerning loans, this is a bit different. Generally, loans are for acquiring assets, not expenses. If you used the proceeds of a loan for expenses, those purchases would require their own transactions. First you’d have the loan transaction: Dr. Cash Cr. Loan Then when you spend some of that money - say on home improvements you’d enter: Dr. Expense:Home Improvement Cr. Cash Making a payment on a loan or a credit card is NOT an expense. It is a shift from an asset to a liability, in this case, a reduction in assets, and a reduction in liability. (taking out a loan or credit line is the opposite for both - they increase) Charging on a credit card is where the expense happens. The place to see this change is NOT on the Income Statement. (also listed separately as Profit & Loss Statement) That report will only show revenue and expenses, not changes in assets and liabilities. (which is what happens when you take out or pay off loans/credit) The proper report for that is the Balance Sheet. A Balance Sheet however, is not a time-period report. It is a snapshot. If you want to see the change from one date to the next, you’ll have to run two Balance Sheet reports, one for the start and end dates, then manually calculate the changes. Another report you might find useful which will show ALL money movements is the Cash Flow report. This will show all exchange of funds into and out of selected accounts. By default, this will show pretty much everything, but you could limit it to just your cash/checking accounts and your credit/loan accounts, save it with a special name and run it as desired for any period. The tricky part seems to be that a payment against a loan account should show as the lowering of outstanding principal, but payment against a credit card account should show just the expense account items in that account (not a lowering of the outstanding total credit). Re: Accounts as hyperlinks ignores the report options date range bug
That would beg the question then of how one goes about encoding date ranges in account hyperlinks. GnuCash creates the hyperlinks. The user just sets the option to do so. Now, if this were a custom report that was programmed differently, I could see the point of the question, but since this is a default report included with GnuCash, I’m left a bit mystified as to how this is accomplished. I too expected to see the relevant transactions that were used to generate the report, or at least be dropped into the account register at the opening date of the report for my further investigation. I certainly did not expect to simply see the account register opened to the latest date. I guess the report needs some tweaking. I would think a filtered view of the account register showing only transactions in the report date range would be what one would expect when clicking that hyperlink. If that is the intended behavior, then it is not working. If that is not the intended behavior, then I suppose an enhancement request is in order. stock updates of the Johannesburg Stock Exchange (JSE)?
Hello, I am new to GNUcash. I was reading the manual a few minutes ago and understand that I will need to install "Pearl Strawberry". My question however rather is - does yahoo provide stock prices for the johannesburg stock exchange? ... since I can not find it in "Table A.4. Yahoo Codes for Exchanges and Markets" of the manual - I assume they do not and therefore gnucash won't be able to automatically update my stock prices online? I have followed the instructions on https://wiki.gnucash.org/wiki/FAQ#Q:_Why_doesn.27t_online_quoting_work.3F I am using version 1.44 of F::Q. I have got my key and added it to the environment file as outlined (using Ubuntu 17.10). When I search on Security Editor under the Unknown button I cannot find any sign of AlphaVantage or anything remotely like it! -- Sent from: http://gnucash.1415818.n4.nabble.com/GnuCash-User-f1415819.html ___ gnucash-user mailing list gnucash-user@gnucash.org https://lists.gnucash.org/mailman/listinfo/gnucash-user - Please remember to CC this list on all your replies.
