Dear community, the year 2015 is over, and we have achieved a lot of exciting things, thanks to your amazing work, dedication, passion and support - thank you so much for being part of our community and working with us on the joint goal of fostering LibreOffice! In order to support the community even better, we would like to create a better budgetting process, have a concrete plan for 2016 already now, with a few "pools" or "buckets" defined, ideally: 1. community events (aimed at getting face-time for community contributors) 2. infrastructure (e.g. compute power/hardware/storage, cloud, VMs), 3. marketing (aimed at representing the project to the outside world) 4. other (anything that does not fit into the above) The idea is to have a good plan for 2016 already now, while keeping the administrative overhead low, and have two authorizers (one of them being a board member or deputy, the other one from the wider community) responsible for each budget, which means getting receipts, approving and tracking expenses, and clarifying questions with Florian or Sophie. To get a better understanding of your needs, we ask you to send us your budget requests within *three weeks* from this e-mail, i.e. by 2016-03-02 to flo...@documentfoundation.org While I monitor some of the lists, please always send your proposals/requests *directly* to me so they are not lost! Please let us know your requests for funds *alongside* some items you envision to be paid from these funds. The items are not binding, the spending in the end is the responsibility of the authorizers, but some examples help the board in getting a better understanding of the funds required to best match your needs. If possible, please also mention the amount of travel costs associated. We'll factor in some margin, but concrete numbers and ideas are very much welcome to have a plan for 2016. As a sample, a request could look like this: ## We'd like to request a 2016 budget of 1000 € for community events 500 € for infrastructure 1500 € for marketing Expenses we envision are 1. marketing: attendance at XYZ trade show to show LibreOffice to ABC user group (700 € booth costs, 300 € for collaterals and 500 € of travel, totalling to 1500 €), 2. community: a community weekend to discuss tasks and ideas (600 € hotel, 100 € for snacks and 300 € travel, totalling to 1000 €), 3. infrastructure: dedicated server to QA localized versions (500 €) ## Alongside that, we will also provide some mechanism in Redmine for approvals and tracking of expenses, and will follow-up with details on this later on. Hello, shortly after the annual report, TDF will also make its monthly accounting ledgers public. We're applying latest fixes to the translation, and I expect publication sometime next week. I doubt that qualifies for a PR on its own, but a short announce on our blog might be worthwhile. I try to get the data extracted to a wiki table, and if that fails or is too time consuming, will publish in ODS. Hello, within the next couple of days, I will start the selection of content for our annual report, which - for the first time - will be published in English and German in parallel, and be shorter than the previous one, to have an easy-to-handout document for events, tradeshows and marketing purposes. To have enough time to work on both versions in parallel, I have to close down the data collection rather soon, but no later than immediately after FOSDEM. As for what Redmine provides, I love the idea of having everything integrated within one tool. For some things, Redmine simply was put online too late - we now have ownCloud for a public file store. For others, while Redmine provides the basic tool, it's not extensive enough - I cannot imagine dropping MediaWiki with all its plugins and features in favor of the rather simple Redmine-integrated wiki. Still, I we should think about merging tools - I e.g. can imagine folding the public ownCloud into Redmine for the sake of having less tools, and as only the file store is used for ownCloud. For the internal ownCloud, with its CalDAV and CardDAV, that'll be harder, Redmine doesn't provide a replacement. Hope that helps a bit! Hi, just briefly on two topics, as I'm rather swamped these days: I'm glad the projects use Redmine and find it useful, that's great! What we should take care of is that everything that is product related should _not_ go into Redmine. For the design team, without knowing the concrete workflow, as an example: Iterations of designs can be handled in Redmine, but the issue to change icons in LibO should be in Bugzilla then. [libreoffice-marketing] conference planning tool
Hello, one of the items discussed in Bern was to set-up a conference planning tool. Last time I checked (a few years ago), everything was a big mess, and every organizer was hacking their favorite tool to an extend that made re-use and/or upgrading impossible. ;-) Feedback from this years' conference organizers was also that such a tool is missing. Basic features needed are call for papers, registration of participants and speakers, and an easy (!) scheduling. I think of something similar that schools use for planning their schedules - you add some dependencies and limitations, and then a few proposals are made. Before thinking about coming up with our own solution, we should check what existing tools are on the market, or if other projects are working on that (I heard rumors that other FLOSS projects are already funding efforts here). [libreoffice-marketing] LinuxTag impressions
Hello everyone, just being back from a fantastic LinuxTag in Berlin, I wanted to share my impressions with you. LinuxTag is one of the major events about Linux, free and open source software in Europe, and has for years already been one of the most important trade shows for the German community. After having taken place at the Berlin fairgrounds for the last six years or so, in 2014 it was held in a new venue, an old postal railway station called Station. It took place in parallel to the Droidcon, and shared one day with re:publica. LibreOffice was present with a booth, and Italo Vignoli and Andreas Mantke each had a talk, respectively a workshop. The audience at the booth was great, and lots of good talks and meetings with a very overall positive feedback. Besides sponsoring the lanyards for the event, so nearly every visitor had a LibreOffice logo around their neck :-) we also had quite a chunk of balloons that we handed out to the visitors. Would social networks only attract curious people more than actual contributors? That is my fear, but perhaps there are other opinions on this? [libreoffice-marketing] CeBIT 2014 impressions
CeBIT 2014: the community presenting itself in Hannover March is usually one of the busiest months of the year, at least for those of us located in Germany. Quite a chunk of events in parallel - CeBIT in Hannover, Linux-Infotag in Augsburg, and Chemnitzer Linux-Tage, to name a few - mark the beginning of the trade show season. While it has agreeably sized down the past years, CeBIT still is the major event to attend and to present ourselves. Thanks to the organization of especially Thomas Krumbein from Freies Office Deutschland e.V., we once again had a beautiful, shared booth, about 16 m² in size, where also FrODeV and Collabora presented themselves. Thanks to Thomas' experience, everything was extremely well prepared - flyers, brochures, flags, we even had a green floor and green LibreOffice balloons! CeBIT hash a rather mixed audience. While every year the trade show organizers claim more business people - it feels as it should be about 180% already... - there are also quite a few private end-users, students and students around. Talks at CeBIT are usually very worthy, and we even got to know about one rather large migration project going on at a pretty known corporation, which has not been made public yet. Plus, not to forget, many people stop by to congratulate and thank us for all the work we do, and showing us their appreciation for LibreOffice. LibreOffice was also represented at the Special Conference Open Source, as they call it, a public forum with talks and lectures around open source, open standards and free software, which is organized by Medialinx (formerly Linux New Media). Italo gave a talk about Migrating to LibreOffice: a Reference Protocol, and I explained the legal setup of TDF, with its boards and bodies, which was received very well. As usual, we shared a private appartment - something that is quite common at CeBIT, where regular hotels can easily cost a few hundred € per night (!), as essentially all Hannover is prepared for the major event of the year. Even if that saved us a lot of costs, CeBIT still is one of the more expensive trade shows, not only owed due to its length (it lasts from Monday to Friday, used to be even longer in the past), but also due to the high costs of building a booth, renting a space, and of course getting people in to Hannover. In comparison to other events, there are only a few free project spaces available, and those are too small for us, so I am happy Thomas took over the burden to plan and organize the booth for us. Still, being there is a must, to see others, and of course, to be seen. Talks to potential adopters yield a wide interest in LibreOffice, with rather concrete questions asked, and good contacts are made - so I am very much looking forward to CeBIT 2015! Jacqueline and Thomas have done a tremendous job for that, but TDF per se has failed (including myself, so excuse being so harsh with words here :-) While 7-10k € is a chunk of money, my personal take is this could be a wise investment, but _only_ if we prepare things accordingly and in time: materials, talks, people at the booth, and then also finding sponsors to cover parts of the cost. CeBIT is the place to meet especially business users and to be there, to be seen, which is an opportunity we shouldn't let pass. Hello, I'd like to bring your attention to next year's CeBIT in Hannover. CeBIT is amongst the longest and most important trade shows, at least in Europe, and we have been there ever since, mostly due to the laudable efforts of Jacqueline and Thomas. It takes place early March and lasts (IMHO) 5 days. Given the international recognition and audience of CeBIT, it definitely makes sense to represent TDF internationally here, should we attend, e.g. by having people join for one or two days from the various at least European countries we are active in, and be present with talks. Thomas Krumbein from FrODeV kindly checked prices and conditions, and is willing to organize CeBIT and staff the booth for the full week (but of course, more than just one person is needed, see above). The drawback of CeBIT is the high costs, ranging around 7-10k € for the booth and booth rental, for about 12 m². While there are surely options of having a smaller booth, those don't make much sense - I'd rather prefer to not exhibit there, or to solely send in talk proposals, than joining at a small booth nobody looks at. Last year, we paid about 4k € or so, but feedback was that by not having an individual booth, our recognition was rather low. How do people generally feel about attending CeBIT and the associated costs? Is this something we should look forward into planning, and start looking for sponsors to cover parts of the cost, or shall we go for a different approach? [libreoffice-marketing] LibreOffice Conference - Registration is now open
Dear community, in less than four weeks, the LibreOffice Conference 2013 will take place in Milan, Italy. LibOCon is the global and annual event for the whole LibreOffice community and ecosystem, with creators, adopters and users meeting and gathering, exchanging ideas and thoughts. After the Call for Papers has been finished, we are currently working hard to prepare the schedule out of those many great proposals we have received. In order to help the organizers with their plannings, we today ask you to register if you want to take part in this year's conference. This helps us in estimating the amount of attendants and ensuring that enough capacities are available for everyone. We also need this information to send you last-minute updates via e-mail. Registering is easy - just send an e-mail to confere...@libreoffice.org and state: 1. your first and last name 2. your e-mail address 3. your organization/affiliation, if applicable 4. your IRC nickname, if you want Participation at the conference will cost 10 € per person, payable directly at the venue, which helps the local organizers in producing required material. In 2012, we went with a professional video producer form university, including a professor for media-related studies, but still, we ran into issues - I guess c'est la vie. :-) The problem is that you usually have to take local companies, as flying in externals from other countries doesn't make that much sense economically. The best you can usually do is to trust those who are in charge and make that for a living, but sometimes it can fail as well. I don't know what recommendation I could give other than that, which is the way we did it for 2012, with the outcome you have seen... Photo related problems, perhaps it would be best to have a designated photographer for the conference whose ONLY purpose would be to go around, take photos along with the disclaimer agreements from the people in the shots. That way, we would no longer have to rely on people's generosity for photo shots at our conferences. The sheer amount of pictures is alright, the quality as well, however, I agree that a designated photographer knows better what is allowed and what not, and only produces pictures we can publish without reviewing. This is by far not a theoretical problem - I recall people who wrote to us after the conference stating that any individual picture of them might NOT be shown, so... [libreoffice-marketing] LibOCon videos
Hello, I have good news to all of you, finally - the videos from last year's LibreOffice Conference have been cut and put online by the company in charge of the recordings. Unfortunately, due to unforeseen technical difficulties, it took much longer than anticipated, and in the end, they had to hand-cut and lipsync videos and slides, which took an incredible amount of time, explaining the huge delay. I am currently evaluating the technical options of hosting those videos together with their special player on our own infrastructure, and expect to finally have the files online on our servers soon, available to the general public. You are probably aware that all the slides have already been available since last November or so at http://conference.libreoffice.org/talks/ Again, sorry for this massive delay. As to pictures, we have provided technical facilities for uploading them, and many people made us of these. However, as sometimes it was a weird mixture of publishable and unpublishable, public and private pictures, and so far, no volunteer for reviewing them has shown up, they are not online. Hello, at the moment, we are looking for volunteers who could help moderate this mailing list. If you are interested, the only requirement is that you are subscribed to the list yourself and read its mails in a somehow timely manner, but that's about it. Moderation means dealing with e-mails that do not automatically make it to the list, which you then manually forward, or reject. This happens either when an e-mail comes from an unknown sender, e.g. when a project member uses a different address for posting. It also occurs when someone unexperienced writes to the list, thinking it's a private account, but in fact it's a public list. You'll receive the message to be moderated via e-mail, which you then can either moderate through, or reject. Is someone interested in joining our efforts? [libreoffice-marketing] Fostering project internal communication
Hello, sorry for spamming all the lists, but in the light of recent events and discussions, I'd like to make all of you aware of an important mailing list, that so far has not been used as extensively as it should be, which led to some frustration and communication issues. As part of our mission to foster the project internal communication, I'd like to tell you about our so called projects mailing list, which Sophie initiated quite a while ago, and which should be used for communication amongst the various projects - e.g. design and marketing, development and marketing, UX and development, and the like. The list's intention is not to be a gossip list where everything should be thrown at, but to make all affected projects aware of important changes. Philosophy: Low traffic, but important topics. Some examples are: Change of version numbers, a new slogan, design changes, new products. In other words: Everything that has an impact on other areas of working than the one where the change originally comes from. If one team decides LibreOffice will now be called different, and has a shiny new colour, surely marketing should know in time. Well, a bit of a made up example, but you get the point... ;-) We have seen some unpleasant events in the past, that based on my experience, are mostly due to the lack of communication, or due to miscommunication. To avoid that in the future, I'd like to call out to everyone of you, if you are active in one of the subprojects, to also join this mailing list by sending an empty e-mail to projects+subscr...@global.libreoffice.org and following the instructions mailed back. At least one or two representatives from *each* project should join this list, to act as a gateway.
