VANCOUVER ART GALLERY ASSOCIATION 1 FULLTIME POSITION AVAILABLE ASSISTANT REGISTRAR, DOCUMENTATION SUMMARY Reporting to the Registrar of Collections, the Assistant Registrar of Documentation is responsible for the Gallery's electronic and manual collection documentation records and the implementation and operation of the Gallery's collections management system, STAR. The incumbent works with staff in registration, curatorial, conservation, preparation and other professional/technical areas to provide for an effective collections management system and accurate and accessible documentation of the permanent collection and works on loan to/from the Gallery. Responsibilities include overseeing development, implementation and ongoing operation of the STAR system; development of policies, procedures, data standards and data entry guidelines; data entry and data upgrading according to professional guidelines and standards; supporting users of the STAR system with training and advice; preparation of collections statistics and reports including responding to internal and external queries; assisting with the preparation and documentation of acquisition; assisting with exhibitions where required; and undertaking other related duties as required. The Assistant Registrar - Documentation works within the overall goals of the Gallery's Registration Department and provides a strong liaison to relevant network services and other database systems. S/he applies a good understanding of the Gallery's larger needs with an eye for detail and ensures the collections management system and electronic records are up to date, accessible and secure. QUALIFICATIONS The successful incumbent will have an undergraduate or graduate degree in Museum Studies, Library/Information Sciences or other relevant fields with 2-4 years experience in information management or registration tasks ideally in a museum/art gallery setting. Excellent communication and computer skills are required. Previous experience working with database systems and understanding of the behind-the-scenes operation are important attributes. Strong attention to detail, demonstrated ability to follow through on projects in an organized and efficient manner, ability to work well with co-workers and independently will be sought.
