Thanks to those of you who have already registered for the Wikimedia
Conference 2016 – we are already very excited to welcome participants from
across the world in Berlin in April.

You have not yet registered for the conference? Your affiliation is
eligible [1] to attend the conference and you have been selected to
represent your affiliation in Berlin?

Then please be kindly reminded to register until Friday, January 15, 2016.
You have only one and a half weeks left! Please note that WMDE and WMF
teams will only be able to proceed as planned with regards to travel
booking and program design with all participants registered in time.

Dear Wikimedians,

We are delighted to inform you that the registration for the Wikimedia
Conference 2016 [1], which will be held in Berlin from Friday, April
22, through Sunday, April 24, is now open!

Following Christian’s invitation and Nicole’s email regarding the
Program Design Process [2], we would like to provide you with
important information regarding the eligibility for participation,
participant number regulation, registration procedure, specifics in
regards to the travel and hotel booking as well as the visa
application process.

== Eligibility criteria ==
The eligibility criteria for participating in the Wikimedia Conference
2016 are aligned to the Affiliates’ Agreements with the Wikimedia
Foundation. Chapters, Thematic Organizations and User Groups must have
been officially recognized by the Wikimedia Foundation by today
(December 1, 2015), must have shown signs of recent activity and be
up-to-date on their reporting, latest by January 1, 2016 to be
eligible to participate.

Before registering, please check the eligibility and status of your
affiliate[3]. Only affiliates with the status “ready to register” can
proceed with the registration process. For all others, we recommend to
catch up on your reports before January 1, 2016.

==Participant number regulation==
Chapters and Thematic Organizations can send two delegates; or up to
four, if they have paid staff; User Groups can send one delegate. The
eligibility table on meta lists each affiliate and the respective
number of delegates that can be sent to the Wikimedia Conference 2016
[3].

==Registration information==
To make the conference a success, it will be essential for the invited
affiliates to deliberately choose their delegates. We recommend to
follow the “How to select the delegates” information, which is
published on meta [4].

Persons who are selected by their organization to represent them at
the conference need to register via the registration form [5]. The
registration deadline is Friday, January 15, 2016. Please note that we
won’t be able to accept and process registrations after this deadline.

We also hope that several members of the Wikimedia Foundation Board of
Trustees and staff, the Funds Dissemination Committee as well as the
Affiliations Committee will participate in the conference. We see a
huge advantage in having their representatives on site and encourage
them to take part in a range of talks and discussions. Please also
register via the registration link.

In addition to the core-conference, pre-conference workshops on
program design, evaluation, and community learning on Wednesday and
Thursday, April 20-21, are organized by the Learning and Evaluation
team of the WMF [6]. Should you be interested in participating in
these workshops, you can indicate your interest in the registration
form as well.

For the purpose of helping affiliates to check that only their
selected representatives have registered and enable participants to
connect before the conference and stay in involved afterwards, we will
publish all participants’ names on the meta page [7] shortly after
registration.

Further information on the registration process can be retrieved from meta

==Hotel and travel booking==
WMDE has blocked a number of hotel rooms at Motel One Leipziger Platz,
which is in walking-distance to the conference venue as well as the
WMDE office.

we would like to refer to our call for registration for the Wikimedia
Conference from January 23, 2014. As we thoroughly hope that a lot of
Wikimedians will come to Berlin to actively participate in the
conference, please be kindly reminded to register until Monday,
February 17, 2014. You have one week left!

Dear Wikimedians,

We are delighted to update you today regarding the upcoming Wikimedia
Conference[1], which will be held in Berlin on April 10-13, 2014. We,
Daniela and Wenke from WMDE's event team, look forward to making the
logistics as smoothly as possible for everyone involved and to supporting
you in the upcoming months.

Please find below important information regarding the registration
procedure, program, eligibility for participation as well as specifics in
regards to travel and hotel bookings.

==Registration now open! ==

Registration for the Wikimedia Conference 2014 is now open. Persons who are
selected by their organization to represent them at the conference need to
register via the registration form.[2]

The registration will close on Monday, February 17. For visa applicants we
strongly recommend to register until Monday, February 3, 2014 and to check
the amount of time needed for applications to Schengen states.

We will publish all participants’ names on the meta page shortly after
their registration in order to help affiliations check that only their
selected representatives have registered. Please make sure to check this
page regularly.[3]

==Program outline==

The program team has published an outline of the program[4], based on all
feedback and discussions from the previous weeks. The conference will cover
two main themes: '''Organization, structures and grants''' and '''Success
and impact'''. All invited entities are asked to select their
representatives carefully according to these themes. The program team
especially encourages people with an interest in movement structures,
strategies, impact as well as collaboration and partnership to participate.

The official program of the conference will start on Friday, April 11,
2014. Groups who would like to arrange separate or special meetings are
welcome to use the conference venue on Thursday[5] already. Please get in
touch with the event management team to make respective arrangements.

==Who is invited to attend?==

We are glad to be able to invite not only Chapters but embrace the chance
to welcome the two newer affiliation forms in Berlin, too. Chapters and
Thematic organizations who have been officially recognized by the Wikimedia
Foundation before January 15, 2014 are encouraged to send two
representatives. For those who have not budgeted for the conference in
their annual plan or project grants, there are scholarships available for
two persons each. Organizations who would like to send more than two
persons will have to book and pay for all their travel and accommodation
themselves.

User groups who have been officially recognized by the Wikimedia Foundation
before January 15, 2014 AND have shown public signs of activity in the
preceding six months by publishing a blog post, report or announcement or
requesting a grant are invited to send two representatives. These are:
Wikimedians of Nepal, Esperanto kaj Libera Scio (ELiSo), Wikimedia
Community User Group Greece, New England Wikimedians, Wikisource Community
User Group, Wikimedia Community User Group Brasil. For those who have not
budgeted for the conference in their annual plan or project grants, there
are scholarships available for two persons each.

We also hope that several members of the Wikimedia Foundation Board of
Trustees and staff, the Funds Dissemination Committee as well as the
Affiliations Committee will participate in the conference. We see a huge
advantage in having their representatives on site and encourage them to
take part in a range of talks and discussions.

==Travel and hotel booking==

If you are a representative of a Chapter, Thematic organization or User
group and WMCON14 funding is included in your annual/project plan, please
arrange your travel as well as hotel booking yourself.

If you are a representative of a Chapter, Thematic organization or User
group and WMCON14 funding is not included in your annual/project plan, WMF
will arrange your travel and WMDE will do the hotel booking for you.

If you belong to the FDC, AffCom, WMF Board or WMF Staff, travel and hotel
booking is done by WMF for you.

All these groups are requested to register! Which group you belong to will
be requested in the registration form and which further steps you need to
take will be explained in your personalized confirmation email.

We are grateful that the Wikimedia Foundation is covering the costs for the
logistics and travel of the Wikimedia Conference and is helping with travel
and hotel bookings this year. Thank you for supporting this important
event!
