I guess the more appropriate way is to use Outlook features directly and/or
addOns for this or make your own visual basic tool.
there should be tons of it available, that even work with a closed Outlook.
SikuliX is not the first choice for such background watchdogs, since it
needs the screen, mouse and keyboard exclusive while running and a
frontmost visible Outlook.
