the Canadian International Development Agency is searching for an Accounting
& Contracts Assistant.  This position will be employed until 2010.

Job description are described bellow:

Position:Accounting & Contracts Assistant
Reports to: Reports to:
Responsible to supervise: Temporary support as may be required from time to
time

I. OBJECTIVE
The objective of the position is to assist the Accounting & Contracts
Manager in the management of accounting & contracts.

II. SCOPE OF WORK
The accounting & contracts assistant will support the Accounting & Contracts
Manager to:

A. Routines
1. Corporate cash and bank management
- Maintain petty cash
- On day to day basis collect and prepare vouchers, and control all office
expenditures
- Ensure advances made to staff/advisors are countable
- Whenever required, cash cheques at the Bank accompanied by the Driver
- Maintain Bank Statements received in every first week of the month under
Accounting & Contracts Manager's supervision;
- With supports from the Driver, ensure monthly telephone/
electricity/water/handphone bills are paid in time

2.Quickbook Pro accounting software:
- Maintain bank balances through Quickbook Pro accounting software;
- Ensure expenditures and transactions are coded using determined accounting
codes;
- On weekly basis enter coded expenditures and transactions into Quickbook
Pro accounting software


B.Personnel
3.Expatriate employees:
- On the last day of each month, collect timesheets for approval by the
Director;
- On the last day of each month, fax approved timesheets to Hickling HQ in
Ottawa
- Based on timesheets received, maintain employee's leave record.

4. Local Sub-contractors:

- Under supervision of the Accounting & Contracts Manager, prepare fee
payment for local sub-contractors respectively in accordance with their
contract.

5.Local Employees:

Salary & Benefits

- On the last day of each month, collect timesheets from employees, ensuring
all are approved by their respective supervisors;
- Based on the timesheets received, maintain employees' leave records;
- Under supervision of the Accounting & Contracts Manager, prepare salary
payment for employees respectively in accordance with their employment
agreement

Insurances

- Maintain insurance records of employees
- Provide necessary supports, particularly administrative supports, in
regard to hospitalization needs of employees
- Under supervision of the Accounting & Contracts Manager, prepare Jamsostek
insurance premium payment at the end of each month
- Regularly update Jamsostek insurance premium records of each employee;
- Maintain filing of insurance related documents

7. Income Tax:

- Under supervision of the Accounting & Contracts Manager, prepare and pay
monthly withholding income tax such as PPh21, PPh23, PPh25, PPh26 and VAT;
- Under supervision of the Accounting & Contracts Manager, update financial
data for annual tax return (SPT) for PPh21.

C. Inventory

8. Multi Risks Insurance

- In coordination with General Affairs Officer, ensure equipment/furniture
procured are properly insured
- Maintain and update the multi-risk insurance record on as required basis

D.Events Organization

9. Seminars, Training and Comparative Studies

- In cooperation with Secretaries, provide finance-management related
supports, such as reimbursement of expenses (air tickets, hotel
accommodation, meals etc.) in accordance with client's requirements.

E.Other

10.Reporting

- Help develop book-keeping related procedures, e.g.  on disbursement,
invoicing, etc
- Develop and implement cost control procedures in regard to all aspects of
project activity;

11. In consultation with the Accounting & Contracts Manager, establish
filing system for financial records and update both electronic and paper
files.

12. Provide back up during Accounting & Contracts Manager absences;

13. When approved by the Accounting & Contracts Manager, conduct other
related duties as requested by the management


III.REPORTING REQUIREMENT

The Accounting & Contracts Assistant will report to and will be supervised
by the Accounting & Contracts Manager


IV.  POSITION REQUIREMENTS

A.Education
-Minimum D3 in accountancy/finance

B. Work Experience:
- 3 years experience in accounting/finance related position

C. Special Skills
- Have a thorough understanding of all invoicing procedures;
- Able operate and make use of standard software such as MsExcel and MsWords

D. Special Training:
- Income tax PPh21, PPh23 and PPh26 related trainings

E.Personality
- Ability to work under pressure and meet deadlines
- Ability to work independently as well as part of a team
- Ability to take follow-up actions
- Full initiative
- Flexible

V. CHALLENGES

Besides strong computation skills, there are several qualities that the
Accounting & Contracts Assistant should have.  She should be able to
self-consciously and independently conduct routine works that are necessary
to keep the book up to date.   Although her focus of work is book-keeping
related activities, she should be someone who can communicate, both written
and spoken, very well.


In line with the level of accountability of the position, the Accounting &
Contracts Manager assistant should have the carefulness to detect any
mistakes in the financial paper works


VI.DECISION MAKING AUTHORITIES

In most cases, the Accounting & Contracts Assistant should consult with the
Accounting & Contracts Manager before she makes a decision
