Deletion of a message is done in two steps:
1. The message is marked for deletion. In reality it's still there, but
with a flag telling that it's going to be deleted. These messages will
show as greyed in SquirrelMail. There's still a possibility to get the
flagged message back since it's not deleted yet.
2. The message is expunged, i.e. removed permanently from the folder.
I belive that Outlook only preforms the first step, and that messages
flagged for deletion aren't counted against the total. SquirrelMail, on
the other hand, usually preforms both steps (can be changed by the site
administrator) and also counts flagged messages as part of the total. To
expunge in Outlook you have to "compact" the folder using the some button
in the tools section. There should be a setting somewhere in Outlook to
perform both steps at once when removing messages.
When you click "Check Mail" in SquirrelMail the messages marked for
deletion is "found" and expunged thanks to the default setting in
SquirrelMail ("Auto Expunge").
I didn't really research my answer, so I might be wrong.
