In fundraising, the credit for the gift should go to the last entity. That means the
United Way, not Jane Smith, the source donor. Some fundraising programs
allow you to deal with this issue by creating a soft credit to the source donor. Soft
Credits are not, and should not, be included in fund raising totals for
financial purposes.
If you decide to create an account code to track soft credits, you'll have to be sure
to exclude those entries from your financial reports, or you won't be able
to balance your giving records to the accounting folks (not to mention your IRS 990
and audit - if you do them). Even though you won't directly solicit your
United Way donors, it is valuable to know who they are and to be able to include them
in any giving clubs when they qualify, send them your newsletter and so on.
The payments file seems the best place to do this to me, just keep in mind that
running reports will get a little more complicated than before, so be sure to
document your changes for the person who comes after you. You could also use create a
pay method for soft credit. Since that is a required field for payment
entry, you may as well use it to help separate your soft credits from your hard
credits.
