So, if our Ebase consultant came in, put a copy of our Ebase onto a zip
disk, took it with him to work on at his office....would he need this user
name and password to access it? (He's asking for a password) If so, would
Ebase have a record of this info if I dont?

You're right -

The ebase site requires you to enter a user name and password to download
ebase from the site - but it's only to download the zip file,  After you
download the file, you no longer need that user name and password.
