Dave,

I followed your instructions on entering a range in the post date of the
payment entry screen and did come up with a list that I was able to export.
Thanks for your (always wonderful) help.

The trial version has many more restrictions than they advertise. I have not
tried it personally but previous reports on this list and other FileMaker
lists confirm that it is not useful for real work.

Subject: exporting lists of donors

I am trying to export the names of donors who have given in a certain period
so they can be acknowledged in our newsletter.

I'm having trouble getting the ranges to work -- and what I want are people
who have contributed no matter the reason (membership, regular contribution,
etc.)

I can't build a query from the payment screen that searches all donor
records rather than the records of a particular donor.

Finally, when I think I have a list by using the payment report option in
reports -- I can only print it, I can't export the data to be imported into
a newsletter list.

What am I missing? It seems that this is a pretty standard need.

Thanks to all of you who helped answer my many other questions.

Hi:

A quick question from a group in Florida.

They have just received their new list enhancement data from this year's
projects. I beleive they have legacy list enhancement data on the system
from last year. I think they're using a Mac, but I'm not 100% certain (I'm
working off a pretty unclear voice mail message).

When they import, they get a prompt: There are records in the current
enhanced voter file. Do you wish to delete?
    With Yes/No/Cancel.

If they choose to delete, does this merely update those records with the new
enhancements?

THANKS in advance.

Michael

Not sure what the problem is. At the payment entry or view payments
screen, in find mode, enter a range of dates, e.g.,
1.1.2001...11.1.2001, in the Post Date field and hit the enter key.
That gives you a list of payments within that period. Of course, a
single person might be responsible for several payments. To get the
list of people responsible for those payments, go to the payment
entry screen and hit the Transfer to Names button. That will jump you
to the names file with the set of people related to the payments in
your list.

If that doesn't do what you're expecting, describe in great detail
what you do, what you get, and how that's different from what you
expect.

If you are using FileMaker, you can export directly from any file by
selecting the menu item File>Export Records.

They _do_ wish to delete. Presumably many (most) of the records in
this year's file will be the same people as last year's. The process
isn't as complex as updating - they delete all the records in the
file impenh_.10x, then import the new data. Same file, same
relationship to the names file, just new data.

Michael,

The answer to your question is yes. They should answer YES to the prompt, t=
o
delete the old enhanced data.

In essence, the process does a complete replace of the enhanced data,
throwing out the old and importing the new. That way, what appears in ebase
is only the current data.

We successfully imported our payment records but ebase/Filemaker
replaced 2000 with 1900 even though it was in a four-digit format in our
original database (Panorama). Is there any way to fix this in
ebase/Filemaker now or how can we re-export to correct this problem?

Working with layouts can be a bit frustrating because of the way all
the layout parts - header, footer, margins, body, etc., interact.

Easiest way I have found to sort out labels is to open up the lable
layouts one at a time and make sure that:
- margins are set to .5 inch top and bottom, .25 left and right (menu
item Layouts>Layout Setup)
- header and footer parts are deleted (grab the dotted line at the
bottom of each part and drag it up till it disappears.)
- adjust the horizontal position to suit - Filemaker doesn't have a
way to allow for the 3/16 inch gutter between the label columns.

Is the date correctly formatted with 4 digits in the export file? Or
did Panorama export a short date format?

Assuming you can isolate the incorrect records (by searching for all
payments with a post date in 1900, for example)...
Find the set of records to change
Put a cursor in the post date (this is the field with the incorrect
date, right?)
Select the FileMaker Replace Command from the Scripts Menu
Click the button to do a calculated replace
Replace with this formula...
Date (Month(Post Date), Day(Post Date), 2000)

I have the same problem and I have been told it is a function of Filemaker,
not ebase that causes this problem. As a really quick fix, I print the
labels on plain paper, then place them in the copy machine slightly offset
and print to the labels - perfect! Not the best long range fix, but if
you're like me, when you need labels, you don't have all day to work on
configuring the fix.
