Small office email wisdom needed
I'd buy a book if I could find one which addresses the management issues,
rather than just explains if the dialog box says Yes then you should press
it if that's what you want to do
Goals
1 sharing the load?
2 making sure messages get answered?
3 making sure old threads can be found without having to start and reenter
the program several times
Commentary to the BAT folks.
The helpfile on networks and etc is really pretty fair. I do suggest that
a chapter entitled "Some normal setups" would be good. I appreciate what I
have written is particular to us, but that's really because I don't know
the usual way of achieving the goals I set out above, which I think must be
pretty common.
I (largely) understand the bat and email servers and clients and etc
I'm trying to get right in my head a sound way of setting up email in a
small office
there are 3 sorts of users
Me, the boss. Some correspondence that only I can deal with, and an
interest in other correspondence
#2, the sales office supervisor
#3s plus several sales office staff
We run a lan, without TCP/IP. (Little Big Lan in fact, there's a piece of
non-bloatware for you, it goes on 1 floppy)
What I thought:
#3s have an equal chance of picking up new messages from customers, whether
they are enquiries or orders or cries for help or whatever. Just like when
the phone rings first one there gets to handle the call on their own
without assistance from anyone else most of the time. So I thought I
would create 1 user named say CustServ who exists on several PCs up and
live at the same time.
If the question was difficult they would be able to forward the message
internally to a user called Supervisor, or a user called Boss
Their email address would be CustServ@ourco
#2 Supervisor would normally be logged in as a regular CustServ with her
own special mailbox for emails forwarded to her. She would also have
access to messages in the CustServ Inbox, so she could look for messages
not getting dealt with. She would have 2 identities Custserv when she is
just helping out and Supervisor (reply address Supervisor@ourco) if she
wanted to ensure continuity of a particular chain of messages (thread)
#1 Boss would normally be logged in as Boss with the reply address of
Boss@ourco, but like the supervisor would be able to overview other regular
activity, and would be able to log in instead as CustServ, preferably
without having to quit and reenter
SO
Does this sound right? Is there a more usual or better way of
1 sharing the load?
2 making sure messages get answered?
3 making sure old threads can be found without having to start and reenter
the program several times
When I saw "Account Groups in the bat helpfile I thought I was there and I
still suspect I am, but I haven't understood.
Thanks for your patience
Steve
