In-person and virtual participation
SPNHC 2025 will be a hybrid conference with in-person and virtual registration
options. All participants, including presenters, must register.
In-person registration includes: the Icebreaker reception, coffee/tea breaks,
lunch on session days, transportation to and from accommodation, and access to
all sessions.
In-person daily registration includes access to all conference sessions for the
day, coffee/tea breaks, lunch, and access to the conference platform.
Virtual registration includes access to the conference platform, messaging
functions, and live and recorded videos of sessions.
Field trips<https://spnhc2025.ku.edu/fieldtrips>,
workshops<https://spnhc2025.ku.edu/workshops>, Trivia Night, Banquet, and
conference T-shirts are an additional selection and charge. NOTE: If you want
to pay for these additional charges using a different payment method, you must
add them after paying your initial conference registration costs. NOTE: All
field trips (select one only), and some workshops (select a max of one morning
and one afternoon or one all day) are concurrent.
In-person and virtual participants can access live-streamed presentations and
session recordings through the conference platform. Virtual presenters must
submit a pre-recorded video presentation but are encouraged to attend their
session to answer questions if their time zone permits. Posters will be
presented as physical posters and an optional PDF will be posted on the
conference platform to encourage discussion.

Claiming member discounts
Members of SPNHC can obtain their discount by selecting the appropriate ticket
type. Membership status validation will be done manually. If you are unsure of
your membership status, please inquire with the SPNHC membership manager at

Cancellations
We hope you will join us at SPNHC 2025 in person and online! However, we
recognize that unexpected changes occur. At any time, we encourage in-person
delegates unable to travel to switch to a virtual delegate.
Cancellations up to April 30 for in-person attendance: full refund, excluding
fees, excursions (booked separately), and t-shirts. Fees retained may include
currency, transaction, and exchange fees.
OR if switching to be a virtual delegate then a refund of the difference
between the in-person fee paid and virtual attendance excluding fees (as
above), excursions (booked separately), and t-shirts.
Cancellations between April 30 and May 10 for in-person attendance: 50% refund,
excluding fees, excursions (booked separately), and t-shirts. Retained fees may
include currency, transaction, exchange fees, printing, and food services.
OR if switching to be a virtual delegate then a refund of the difference
between the in-person fee paid and virtual attendance excluding fees,
excursions (booked separately), and t-shirts.
Cancellations after May 10 for in-person attendance: no refund. In-person
delegates who are unable to travel at the last minute will be automatically
switched to virtual delegates.
Other fees retained will support the subsidies we have offered to students and
our colleagues from low and lower-middle-income

In-person no-shows with no correspondence will not be refunded.

Substitutions
Substitutions of delegates are allowed at any time before May 10. For
substitution of delegates please notify the SPNHC Local Organizing Committee
