While addressing the key elements outlined in the points listed above, it should be clear that the focus of this procurement is to assist UW Medicine to complete these components in order to successfully capitalize on the benefits of the Epic ADT/Hospital Billing applications. Responsibilities and deliverables include: Cutover and Activation Planning • Facilitate detailed planning sessions relative to switchover from legacy ADT and PFS systems to Epic modules. • Detailed analysis of various components of system cutover, including conversion of in-house patients, mapping/routing of pre-and post-conversion interfaces, staging and sequencing interdependent cutover tasks and related items. • Creation of contingency and “back-out” plans. • Procurement of required workspaces, equipment, and resources for pre- and post-activation command centers and call centers; development of user support schedules; creation of comprehensive activation resource schedules; creation and implementation of issue identification, documentation, and resolution processes. • Coordinating all-embracing system activation dress rehearsal event(s) that, as much as possible, replicate activation/cutover and validate cutover procedures.
