Coordinate the Foundations regularly scheduled contact with > grantees. Maintain a tickler system for filing of reports, > convenings, scheduling of site visits, evaluation of projects, > project-specific inquiries. > 7. Provide timely administrative support in all aspects of the > grantmaking and monitoring including: proposal due diligence, > application reviews, site visits, grant write-ups, tracking > documentation, initial review of progress reports, and database > maintenance. > 8. Maintain database and files for all grantmaking programs, > produce monitoring reports and other analysis as required for > internal evaluation and reporting requirements. > 9. Provide guidance to grantees on grant modification processes and > procedures, and collaborate with Community Investment team and > grantees to ensure grant modification requests are properly > presented, accurate, and acceptable. > 10. Coordinate with Finance Department to manage grant award > documentation and payment disbursement process for all grantmaking > programs. > > Grants Compliance Monitoring > 11. Coordinate with Community Investment team, and independent > contractors to develop contract agreements, and monitor contract > deliverables, invoicing, payments, renewals, and terminations. > 12. Develops and maintains the Legal Compliance Manual and the > Conflict of Interest process. Ensure that Community Investment > team and the Board of Directors receive timely and accurate > conflict of interest disclosures notification. > 13. Ensure prospective grantee organizations meet with legal entity > requirements, pass public support tests and tax eligibility > requirements. > 14. Coordinate audit and compliance procedures for internal and > external grant file audits in cooperation with Finance Department. > > Other > 15. Assist with development of reports and collateral materials > related to the Foundations areas of interest and audience at the > direction of the Chief Community Investment Officer. > 16. Represent the Foundation at meetings, state conferences, and > government hearings as required. > 17. Complete special projects as assigned. > 18.
