yes I did exactly that but there was some problem with the file. However
we tried it yesterday again and what seems to work was when I copied
text from the original file into a new document in OPEN OFFICE and saved
it. till now it works good :O)

Did you do "File" -> "Save As" and change the "File Type" to "Microsoft
