To be honest, I would suggest something like an open source CRM application instead of building / using something within OOo. That however will also depend on current size of customer base and expected growth. Typically open source CRM's are downloadable for free and can be installed and managed by yourself. Have a look at sugarCRM open source version ( http://www.sugarforge.org/content/open-source/)..
