However this requires having some IT personnel to organize this. I mean this cannot be the responsibility of a technical writer to do it.

However, it's always possible to use the following quick and dirty trick:

1) You, Mary, configure XMLmind XML Editor to your likings. Let's suppose you have customized the DITA bookmap configuration by using the various dialog boxes of XMLmind XML Editor.

The customizations you have created this way are found in the following folder:

%APPDATA%\XMLmind\XMLEditor\custom\DITA BookMap

2) Tell you coworkers to copy verbatim the above folder to their own
