Hey everyone,

we have discussed this on IRC before, but I thought I'd quickly recap this on 
the mailinglist, so everyone has another chance at reading it.

I'm proposing to alter the system of Xubuntu community meetings this cycle. As 
previously noted by others, it is extremely hard – if not simply impossible – 
to find a suitable time for everyone in the team. In the 14.04 cycle some 
people were systematically excluded, because of their TZ. Another issue that 
was brought up is that holding meetings can be tedious and strenuous, if it's 
always the same person holding them (in the past, Pasi has done a great job on 
this though!).

PROPOSAL

We cycle through team leads (alphabetically by team name[1]). Whoever's turn it 
is, he or she
(1) sets the meeting time (according to his or her schedule)
(2) chairs the meeting and
(3) handles the meeting minutes.

As a result, we won't have fixed times, but times will vary and I hope this way 
all members of the team will be able to join at least one meeting per month or 
so.

With respect to the frequency, we should always schedule the next meeting 
within the following 7-14 days, depending on how much there is to 
discuss/decide. This is also up to the person responsible for that meeting.
In my position of Artwork Lead, I'll start this cycle and schedule the next 
meeting (in a separate message though for better readability). Next up would be 
our new Documentation lead David Pires (slickymaster).

If nobody of the aforementioned (and mostly affected) Xubuntu team leads[1] 
objects, I will assume that we'll roll with this during the Utopic cycle.
