Even if he puts it someplace else, When properly
loaded, Legacy will look through his computer looking
for similar named files (bypassing into
subdirectories). I moved my whole catalog of pictures
and after it found the first, it asked 'is this where
the rest are'. It is very intuitive.

You are quite right in that he would have to install Legacy to view the
files. The best way is to send him your backup file (usually in
C:\Legacy\Data) which he can import using FileRestore Family file.
The interesting question is the multimedia files. I don't know for sure,
