Hi Holly, At ODU, each policy has its own list of definitions "as used in this policy." I do keep a running list of these definitions and it is available on our website. In many cases, because a term may have different meaning in different policies, that term will be listed more than once in my running list. (I also note for each term the policy number in which it was used.)
Our Policy Review Committee uses this list as a tool when we are reviewing policies. If we see that a policy owner has added a definition of a term that is similar to, but slightly different than, the same term used in another policy, we may suggest that the policy owner revise their definition to match a definition that was already used, as long as its intended meaning is the same.
