Hi Nicole,

So I have been at several institutions and all treated this a little 
differently.  And one of the questions I have for you is, are the collections 
deposited into a University account or unit checking account? And the other I 
have is, are you looking for guidance on when a department should establish 
these funds vs. what department funds might be used for.  In general, schools I 
have been at allow a department to utilize its funds for flowers for condolence 
purposes, for an immediate family member and for retirement gifts for long time 
employees ($$ usually at discretion of unit director)  Anything else, baby 
showers, weddings, birthdays, etc. was done through employee collections. 
Generally that was just done ad hoc through departments.  One institution 
actually allowed accounts to be set up for those occasions when I was there, 
but that was a very long time ago. Establishment of those accounts had special 
requirements. Miami's gift policy is currently under revision, but is silent on 
this topic currently.
