At Memorial University I am required to prepare an annual report of policy 
activity on behalf of Vice-Presidents Council, for submission to the Audit and 
Risk Committee of the Board of Regents. It is submitted in late-December and 
the outline is:



Introduction

Current total count of policies and related procedures in the University Policy 
Collection



Policy Development progress in current year:

*            Count of and titles of new policies established through approval 
of the Board of Regents

*            Count of and titles of existing policies which were updated with 
approval of the Board of Regents

*            Titles of policies which received Incidental (secondary) 
Amendments by Vice-Presidents Council, along with the rationale for the 
amendment

*            Number of policies deleted from the University Policy Collection



Objectives and priorities for Policy work for subsequent year, which derive 
from:

*            Vice-Presidents Council approving proposals employees for new or 
revised policies.

*            Review of those policies in the University Policy Collection which 
fell in the 4-year review cycle.

*            Analyzing policy gaps through the collaborative, risk assessment 
approach.

Tinu, in our office we submit an annual report to the EVP for Administration 
(where we report). This report is somewhat fluid, but we generally include the 
following items:



* a list of policies that were approved (both Administrative and Regents', by 
approval date, and whether they went through a public comment period or through 
our abbreviated method for minor revisions);

* a list of committees/task forces that we either participated in or 
facilitated - our office has ad hoc committees as needed by policy topic, 
rather than a policy committee, so these can be quite substantial - and we are 
included in a number of campus-wide committees;

* a brief summary of our website's Google Analytics data;

* professional development;

* special projects (such as digitizing our historical files, etc.) or 
accomplishments

Hi all,

So lovely meeting many of you last week at the conference.

I'm working on my first annual report and was wondering what metrics your 
programs use to measure and communicate your program's/office's progress, 
achievements, accomplishments or value to your university. I believe someone 
started mentioning this during one of the presentations (number of 
meetings/"touches" across campus) and I submitted it as a question for the 
Policy Potpourri session but had to catch an early flight and couldn't stay for 
the discussion.

It's very general and assigns authority to the DVP of Finance and Adm. to 
allocate space with the Exec. Director of Facilities. We also have a Facilities 
Council where requests can be submitted for review by a council of faculty and 
staff.

Our policy is very broad regarding space assignments, simply stating that our 
treasurer has the authority on our main campus and the chancellors have the 
authority on our regional campuses. This is the first item listed in our 
Regulations Governing the Use and Assignment of University 
Facilities<http://www.purdue.edu/policies/facilities-safety/ivb1.html>.



We are working on updating this policy, but the space assignment authority 
won't change.
