I have four lists: Actions = standalone tasks ready to be done anytime Projects = multistep projects, each with subtasks Someday = parking area for tasks and projects that I am not currently working on Waiting = tasks i have delegated to someone else but need to keep track of
I STAR every task that Is ready to do as soon as an opportunity arises. That usually means about half of the Action list and at least one task for every project in the Project list. I review every item in every list once a week to decide whether to delete, move, edit, promote to star, etc. When i am in action mode, I then work primarily from the Starred List. My only contexts are Errands (to call up when i am out and about), Weekend (for tasks that will take a large chunk of free time), and Evenings (for tasks that i can do around the house after work if I am motivated). Most tasks have no context, though, since I always have phone, computer, etc. with me. Don't use tags or priorities, and only use due dates if it's a hard deadline. I have ToDo on iPhone and iPad, and use Toodledo Pro account to keep it all synched wirelessly. My two big complaints are: 1. ToDo doesn't handle subtasks very well. You can't filter subtasks by context, for example, unless they are in the Starred List. This is tolerable for me because any task I am ready to do is starred already, so i work from contexts in that list. 2. The Focus list is basically worthless to me.
