was suggested by some CMU friends as a good person to ask for more info.

Please pardon my slow response. I was on the road
several days.
With regard to the YAPC conference (which it a wonderful
thing to host!), the very best person to touch base with
is Kevin Lenzo. He was the chair of the two events we
hosted at Carnegie Mellon (he started it in 1999 and
followed up again in 2000)....and has all the rationales
and statistics for attendance. I was more local logistics
(ie, Kevin did the bulk of the work!).

University dormitory space was provided for the
visitors (along with a local hotel options for special
guests and/or those finding dorm options less than
optimal/desirable).
We used multiple meeting spaces (for breakout topics) and
primary lecture halls for the presentations...and tried
to keep the meeting spaces all in one building (our
university center) when possible. This makes the
experience much more positive for everyone...when they
don't need to split up too much and can have opportunities
to gather en masse. You also need to figure in dining spaces
for any lunches/dinners you might want to plan. Again,
we tried to keep these adjacent to the primary meeting areas
(and in some cases, revamping these meeting rooms throughout
the course of the conference).
As for hosting again...I don't think we have any
immediate plans. The goal was to have the conference
remain "affordable" for the user community and to
keep it viable by changes of venues/perspective as
needed.
