I'd suggest you arrange an in-person meeting. Preferably away from distractions. We had a great one for the ELM project at Barony Rosendal after the SOCBIN in Bergen about a decade ago. Ask Rein Aasland about that one.
You also have many good places on VoksenÄsen and Holmenkollen for a suitable get together. Once you have all met face to face it becomes a lot easier to work together remotely.
