How do I create a custom form for indexing an item or file?

 

Scenario:  I want to index a pdf document which belongs to the finance 
department. The following are the fields with which it has to be indexed.

Department

Document Type

Date of Submission

Authorized by

 

So I want to index an item or a file in dspace with the above mentioned custom 
field.  But I could see only the default fields like [author name, title, 
etc.,].  Where should I create a custom form and how to create it?

 

Dspace version 1.6.0

I tried the steps enlisted in the excel spreadsheet.  Successfully built the 
Dublin_core.xml

This is how the contents of these two files look like.  

 

I went to dspace>>Administer>>Importmetadata>>Chose the Dublin_core.xml file 
from the sub-directory and clicked on upload.  It returned with an error.

 

Error:  An unknown error has occurred.

 

Operating system = Windows Vista Ultimate.

 

Is this the right way of uploading.  If not please let us know what should we 
do.

I've been using an Excel document with macros that export to XML, that was 
graciously provided by Tom McGhee at Seton Hall. It is attached. We are using 
DSpace 1.5.2, XMLUI (Manakin) and the batch import works pretty well for us.

There are three worksheets in the document. The instructions are on the 
“settings” sheet. The metadata is entered by a human into the “Dublin_core” 
sheet. The Manifest sheet is filled in automatically when you click on the 
“Build the Manifest!” button; I left it filled in from the last time I used it 
so you can see what it should look like.

The information in your Excel spreadsheet can just be copied and pasted into 
the “Dublin_core” sheet, and then you would change the headers so that they are 
Dublin Core metadata elements. (Make sure each element you use is also in the 
“Metadata Registry” in DSpace.) Then follow the directions on the “settings” 
sheet.

After you have created your XML files, follow the instructions in the DSpace 
Course to import files. Let me know if you have any more questions or problems. 
By the way, The DSpace Course assumes you are using Linux; we are using Windows 
and discovered the commands needed to be slightly altered to fit the Windows 
programming format... so just a heads up if you're not on Linux.

I have a database similar to the below in an excel spreadsheet which runs to 
more than thousand titles.  I have the corresponding pdf files in a folder with 
the ISBN no as filename (eg. For serial 1, the file name is 1234567890.pdf ).

What are the steps should be followed?

It's a small php script that creates full directory structure out of csv file. 
Just follow the instructions and take a look at the examples.
