Hello New to EDI, Howard is right, usually only new POs are sent when implementing EDI with a new supplier.
However, either scenario, send all open POs or send only new POs, is valid. The single governing factor is what your trading partner / supplier wants. In EDI, we seek to create a "hands off" flow of data, but to do that we must closely coordinate all aspects of the information exchange before implementation. This includes agreeing on message format, product codes, location codes, exception handling, pricing, and start-up issues like the one you indicated. So contact your trading partner and ask these questions. But before that, make sure you understand what your IT capabilities are, so you don't suggest something that you can't support. Then call with a recommendation, "We can either send all open POs or begin with the next new PO we generate ... we recommend the later. What's your preference?" Quite commonly, both the paper and the EDI are sent for a brief time so they can be compared side by side, in what is called a parallel test. Obviously, great care must be taken to avoid duplicating orders. Once both sides are satisfied that the information is being communicated accurately, the paper is stopped.
