Gail,

Before you start deleting data, check with your users on the business side.
Retention requirements for EDI documents should be the same as for paper
documents. If they save PO copies for 10 years, you should save yours for
10 years. The same applies to shipping docs, invoices, cash receipts, etc.

That doesn't mean you have to keep the EDI docs online. Check with your
system administrator and work out an archiving strategy that will allow you
to keep the important archived documents offline. Now all you have to do is
to determine how long you need to keep the docs online. I have found that
one year covers nearly all demands by auditors and business units. Your
mileage may vary.

Oh, and if I were you, I would start campaigning to have an EDI expert who
knows your environment and business on retainer for those times when you
need help. Also, see if you can schedule yourself for TLE training. In
Hawaii. (Or Atlanta, if you prefer.)

Good luck.

Subject: [EDI-L] Need assistance with Trusted Link Purges

Hi,

I have been asked to 'develop a purge program for EDI' because we are
replicating user spaces. I am looking for input about what data to
save and how to go about setting this up, and the technical aspects of
using or replicating user spaces. Although I am a programmer, I have
not used user spaces and do not know the implications of replicating
them.

I am not very experienced with EDI and do not know if there are any
legal requirements about keeping data. Our EDI coordinator quit a few
weeks ago and because I was the backup I think it is assumed I somehow
absorbed the knowledge and experience when he left. I have since
learned he will not be replaced, but there was not a lot of
communication about the overall set up, and all I did was handle minor
issues that arose during the daily processes.

Can anyone share what they are doing with Trusted Link or point me to
documentation that discusses pros and cons about what to save or purge?

Thanks

Gail Nelsen
