We use the EDI 810 invoice, but also accept a text tab delimited file with 
three record types (Batch, header, distribution).  We also have a text tab 
delimited file format that has one record type and could be created and 
exported from Excel, although manual creation of files is a process control 
nightmare.  Our Accounts Payable (AP) department, however, came up with another 
process for the 98% of our vendors that cannot or will not send electronic 
invoice files.

AP receives and batches up invoices.  The invoices are sent to an image and 
data entry service drop box.  The service scans the images and then distributes 
the images for data entry to their data entry employees.  Data entry employees 
enter data from the invoice image into a template that maps to our text tab 
delimited invoice file format.  Once the data entry is complete for a batch, 
the invoice file and the images are FTP'd back to us for processing through our 
electronic invoice system.  As a bonus we also attach the invoice images to the 
invoice file.

The process is quick and relatively inexpensive and gets AP out of the data 
entry business.
